1. Introduction

The Estates at Acqualina project (TEAA) is comprised of two 55-story high-rise luxury
condos with a five-story Villa in between. Villa serves as the amenities facility for the tower
residents, which includes Bowling Alley, Ice Skating Rink, Theatre, Children’s Room, Teen’s
Room on Level 1, a full service restaurant on Level 2, Wall Street Room and Residents Club
on Level 3, Lounge and Bar on Level 4, and Health Club on Level 5.

TEAA has two phases. South Tower and Villa are phase I and North Tower is Phase
II. Phase I started in October 2018 and is projecting to finish by August 2021. Phase II
started in April 2019 and is projecting to finish by March 2022.

The Owner is A3 Development and Owner’s Representative is the Trump Group,


who contracted Cohen Freedman Encinosa Architects (CFE) as the Architects of Record,
Feller as the MEP engineers, CHM as the structural engineer, STA Architects and
Reddymade Architects as Interior Designers. This project went through three different
General Contractors, Moss Construction, Coastal Construction and Suffolk construction.

I first started this project with Coastal Construction in October 2018 when Moss
Construction was terminated by Owner. When Coastal Construction took over this job, the
project just finished deep soil mix and no subcontractors had been signed up. My initial role
in the project was the project manager, responsible for the procurement of subcontracts for
the project, including drafting detailed scopes of work, preparing Request for Proposal (RFP)
packages, evaluating and levelling bids, conducting value engineering analysis, and issuing
final Recommendation to Award (RTA). As more subcontractors were on board, my
responsibilities evolved into managing coordination among subcontractors, design and
scope changes, reviewing and negotiating change orders, reviewing and processing
submittals, RFIs and managing procurement of deliverables, and issuing Monthly Project
Construction Report with my area focused on the Villa and Lobbies.

In July 2020, Coastal Construction failed to negotiate a final contract with A3


Development and was terminated and Suffolk Construction negotiated a Cost + Fixed Fee
with Guaranteed Maximum Price Contract to continue the construction. As recommended by
the Trump Group to Suffolk Construction, I continued this project as a Suffolk project
manager in August 2020.

2. My Approach

Data from AT Kearney (2017)1 show that six out of ten projects run into over-budget
and behind-schedule. Project delays can be caused by a multitude of events, and the cost

magnitude of project delays vary significantly on both budget and schedule. Thus, I am
committed to identify challenges and find the best methods for best practices and disciplined
execution for the project’s success.

With the privileges of working for both Coastal Construction and Suffolk Construction
for the same project, I experienced the uniqueness of this project and identified the following
key delay challenges for this project.

1. Delays caused by budget and design discrepancies.


2. Delays caused by incomplete and uncoordinated design.
3. Delays caused by late Villa Level 2 restaurant redesign.

Delays Caused by Budget and Design Discrepancies

Budget allocated for Villa was $400/SF, which was before the drawings were
developed. After 75% construction drawings were issued, Coastal Construction sent the
drawings out for bid. When the bids came back, the total cost for Villa came to be double the
budget. Owner Representative expressed the budget concerns and made it clear to Coastal
Construction that it was imperative that we found pathways to meet the budget.

Delays Caused by Incomplete & Uncoordinated Design

Incomplete and uncoordinated design drawings presented coordination and delay


issues. One example was the backlit fire engraving artwork designed by Karl Lagerfeld, who
drew inspiration from a traditional Roman piazza. Photos taken by Lagerfeld himself of
Roman fountains and arches would be etched into the lobby’s large wall panels (see
Appendix B). These one-of-a-kind artwork panels, were shown on Interior Design drawings,
which required power & lighting control and structural supports. However, no information
was shown on Structural, Electrical or Lighting drawings. As the artwork panels were part of
the Furniture Fixture and Equipment (FFE) package, neither General Contractor, Coastal
Construction or Suffolk Construction, was in control of this scope.

Delays Caused by Major and Late Level 2 Restaurant Changes

Towards the end of September 2020, the restaurant operator visited the jobsite and
initiated various design changes to the level 2 restaurant. Due to these design changes,
designers took much longer to approve millwork shop drawings. The Restaurant Operator,
STA architects and Owner Representative met multiple times to decide on the extent of the
changes, but it was not until beginning of November 2020, Owner Representative finally
informed Suffolk Construction of the discussions of the Restaurant changes.

All these challenges put the project at the risk of either over-budget or behind
schedule. How to mitigate these delay risks caused by design is key to success.

3. My Achievements

The risk of project delays is always present regardless of project planning, but there
are strategies that can mitigate the likelihood of delays as well as the magnitude of the delay
if issues are identified prior to and during construction. Planning, communication and
assessment of the project and associated risks are the general principles behind the
strategies. While some causes of project delays are out of the control of both the Owner and
Contractor, proper project planning and execution can help mitigate these risks. Other
causes of project delays can be anticipated and mitigated from the very beginning of the
project, especially during the procurement process.

Delay Mitigation during Procurement Process

To mitigate the potential delay impact of design and budget issues during the
procurement process, the Owner, Designer, and General Contractor can and should
proactively work together during the needs assessment and design phase to flush out all
user needs and potential design and cost challenges related to the project. Further, the
General Contractor should review the proposals received from Subcontractors and
communicate openly with the Owner and Designer on areas that are unclear, impractical, or
unrealistic given the budget suggested. On the same note, the Owner should review prior
request for proposals for similar projects and use learned lessons of what was experienced
during the execution of those projects.

To help the design team to find potential pathways to meet the budget for the Villa, I
created a spreadsheet identifying the major features of the design by room and by level. For
each major feature, I identified the total construction cost based on the proposals received
from the market. Then, I added a column, identifying the credit required for each
feature/room to meet the budget.

This spreadsheet was presented to Owner, Owner’s Representative, and


Reddymade Architects for review and a meeting was scheduled to review the pathways with
all parties. In this meeting, we brainstormed what could be done to meet the budget. Each
idea that came up was thoroughly discussed and evaluated by all parties and the following
key materials/design changes were made (Appendix C):

1. Laser cut backlit swan panel walls at Grand Stair changed to Venetian plaster. The
cost for the swan pane wall finishes was over $500,000 per level, which is $2 million

for all levels. Owner expressed that the Grand Stair would not be used as often as
most people would take the Grand Stair elevator to go up and down instead of the
stairs. As a result, the laser-cut backlit swan panel wall finishes were deleted and
replaced with Venetian plaster finishes.
2. 3Form resin wall finish changed to MDF with emulsion paint finish at the Bowling
Alley wall. Coastal expressed the concern that the ball might hit the Bowling Alley
walls and completely destroy the high-end 3Form resin wall finishes. In addition, no
one would notice that 3Form resin wall finish from far. This wall finish was then
agreed to downgrade to MDF wall with emulsion paint finish.
3. 3Form resin material for front desk finishes changed to MDF with emulsion paint
finish at front desk at Villa. Reddymade architects agreed to change it to a less
expensive material while still maintaining the look of the front desk.
4. Backlit Aktural panels changed to wall covering at the Galleries and Teen’s Room.
Based on proposals received from subcontractors, backlit Aktural panels were
approximately $300/SF installed. Most of the Aktural panels were inside the Teen’s
room and on one side of the corridor walls on Villa Level one. In the end, Reddymade
architects agreed to change them to wall covering finishes.
5. Underside of the Grand Stair stone finish changed to plaster finish. Originally, the
underside of the Grand Stair had the same stone finish as the walking side of the
Grand Stairs. As no one would ever walk the underside of the stairs, there was no
need to have a stone finish. This was then changed to a white plaster finish. The
linear light on the steps of the stairs was also deleted.
6. Curved metal inlay in Terrazzo changed to straight metal inlay. Originally the metal
inlay in Terrazzo was curved, which requires bending and therefore more costly.
Reddymade architects agreed to change it to straight metal inlay with the design
intent largely maintained.
7. Frameless glass enclosure with fire sprinkler system on both sides of Residents Club
perimeter walls changed to two-hour fire-rated drywall. Fire-rated 12’ high glazing
wall came back to be extremely costly with concealed fire sprinkler heads on both
sides of room. Reddymade architects agreed to downgrade it to two-hour fire-rated
drywall finishes.
8. Elevator Cab Interior Finishes Value Engineering. The allowance budget for cab
interior finishes was $75,000 per cab and $525,000 for seven cabs. The interior cab
wall finish was laminated glazing with woven fabric in between, which cost over $1
million with the initial feedback from the market. Reddymade architects agreed to
reduce this wall finish from four walls to two walls, and they also picked four different
types of metal woven fabric finishes.

Another example of mitigating design and budget discrepancies is the buy-out of
elevator cab finishes. In August 2020, I followed up the pricing of the woven metal laminated
in glass interior cab finish with Otis, the Elevator Subcontractor. In September 2020, it came
back to be between $569,000 and $852,000, which was still higher than the budget
(Appendix D1). I requested price breakdown from Otis, but the cost did not come down as of
September 2020. I then requested Otis to price with three interior cab finish subcontractors.
This gave Owner twelve (12) options to pick from and greatly improved the cost
effectiveness. In addition, the ID drawing showed two Cab Operating Panel (COP) with the
second one being a redundant one. Avoidance of all non-essential cost, especially those for
which the client will not pay is important. I revised the bid tab and put the cost of supplying
and installing the second COP as an add alternate and requested Reddymade and Owner to
review for final deletion and it was agreed that the second COP was not needed at the cost
of $140,000. Furthermore, I removed Otis’ standby time from the base bid and directed them
to apply the run time included in 3.71.3 of their base contract to supervise interior cab
finishes installation.

As a result of these adjustments, the November 2020 bid tab showed many of the
options were under budget with minimum two subcontractors came under budget in each
material selection (Appendix D2). The success of this buy-out is measured by the success
of achieving the required deliverable through the approved budget and the approved date of
delivery. This is achieved by studying carefully the contractual documents, providing
effective cost management, conducting open communication with all parties, committing to
achieve the contractual demands and overcoming project constraints represented in any
deviation that affects scope, time or cost. This approach greatly improved the relationship
with Ownership.

Delay Mitigation During Construction

Srdic & Selih (2015)2 stated that to avoid project delays “more attention should be
paid to … producing adequate design drawings and documents.” Among the most common
causes of delays that I have noticed during the construction phase of projects is
uncoordinated or incomplete design drawings. Several reasons can be attributed to design
drawings not being actually “ready for construction”: poor quality control from the designer of
record, pressure from owner for design drawings to be delivered on unrealistic timelines, and
lack of thorough review by the General Contractor during the bid phase. Other reasons can

be that the design is one-of-a-kind or first-of-its-kind and unclear owner and user
requirements being relayed to the designer.

How to Resolve Steidl Panel Uncoordinated Design

Another strategy to mitigate delays due to design issues would be establishing a


clear and open channel of communication between the Owner, Designer and General
Contractor during construction phases of the project. The General Contractor should invest
adequate resources in evaluating constructability issues of the design. A good example
would be to establish a mutually agreed upon request for information process. Furthermore,
a strict understanding of the deadlines to respond to request for information should be
established. Clearly defining impacts, both on budget and schedule, should also be included
in the RFIs. In addition, a system for prioritizing RFI entries should be established between
all parties, so critical issues are treated as such across the project delivery team.

In order to get the uncoordinated Steidl design issue resolved, we had to receive
design drawings for Steidl panels due to it being one-of-a-kind artwork. First, I put this as an
issue in the Constraint Log, which was then discussed in the weekly Wednesday Owner
Architect Contractor (OAC) meeting. Meanwhile, I issued an RFI requesting this information.
In September 2020, Mayor of Munich had not received a contract for this scope of work.
However, in order to move forward, Owner’s representative immediately scheduled Zoom
calls with Mayor of Munich in Germany to discuss the information required. As weight
information was received for Steidl panels in the first Zoom meeting, I sent this information
to the drywall and framing subcontractor to start the calculations for structural supports of
the Steidl panels. However, lighting information was still pending after the first meeting. This
Zoom call with Mayor of Munich, Interior Designer, Lighting Designer, Low Voltage
Engineer, Electrical Engineer and Suffolk Construction continued for three weeks until we
received key electrical, lighting and low voltage information for field rough-in. I followed up
with each design team member for them to post official responses in Procore. This issue
was officially closed in November 2021 and by that time the drywall had been installed in the
lobby everywhere except the Steidl locations.

How to Handle Level 2 Restaurant Design Changes

In November 2020, I heard that major changes were coming for Level 2 Restaurant
due to Operator changes. However, as nothing was officially transmitted to Suffolk
Construction advising Level 2 Restaurant design changes, I requested that Owner issue a
stop work order so we can officially stop Subcontractors from working on deleted items and
requested a subsequent meeting between Owner Representative, Suffolk Construction and
STA Architects to have a focused review for Villa Level 2 design revisions. This meeting was

needed to be held immediately to review what approved submittals have been deleted and
stop work in these submittals. This meeting was also needed to review any/all disciplines
affected by these design revisions and determine any other items that were to be revised,
added or deleted as well. At the end of the meeting, we came up with a coloured drawing
showing the major design changes of Villa Level 2 and a Stop Work Order was received
shortly after (Appendix E).

In addition, during the procurement process of Villa Millwork scope of work,


Mortensen Millwork offered an Onsite Superintendent for Hold-to Dimensions for
$99,000.00. At the time between discussion with Trump Group and Coastal construction, it
was decided that this could be an add alternate in the subcontract (refer to 11.5 in Exhibit A
of Mortensen Subcontract Agreement-Appendix F).

The previous schedule developed with Coastal Construction was to release work into
fabrication in October 2020 and begin installation starting January 2021. Based on the
design changes on Villa level 2, a delay was experienced in millwork fabrication and framing
installation due to late design revisions. Therefore, Mortensen Millwork was unable to obtain
field dimensions in time to release this work as originally scheduled, which would push
TEAA millwork fabrication to the 1st quarter of 2021.

To mitigate the schedule delays, the framing installation and millwork fabrication
have to overlap to meet schedule. In these scenarios, I advised releasing work based on
Hold-to dimensions. This would allow Suffolk Construction to still maintain the fabrication
schedule in order to meet installation dates without waiting for framing work to be
completed. The add alternate for this service was $99,000.00 and I negotiated it down to
$64,680.00. As this service would provide a mutual benefit and help to maintain the original
schedule presented in the millwork package, I presented a change order to exercise this add
alternate in the subcontract, which was immediately approved by Owner. This change order
brought the required resources and provided an optimum work sequence in order to
maintain project schedule and achieve the project objectives. This is achieved by analysing
schedules, monitoring the project progress and performance, reporting the variances, and
recommending the required corrective actions.

4. Conclusion

In summary, design issues are a very common cause of project delays and project
delays are an inherent risk to both project budget and schedule. However, there are
strategies that help mitigate this risk and both the Owner and General Contractor can take
steps to mitigate the impact of delays during the procurement phases and construction

phase of the project life cycle. These strategies include the importance of open
communication and establishing processes and priorities as a project team to ensure all the
parties’ interest are aligned. Planning for delays is the underlying theme of the risk mitigation
strategies. Project delivery teams have a responsibility to deliver their projects on-time and
under budget. Carefully assessing and preparing for potential project delays is part of that
responsibility.

Proposal #1-02: Custom Elevator Cabs for Elevators P1, P2, P3, P4, P5, P6, Sophie Mallebranche
and Cristina Grajales Wall Panels.

South Tower Elevators P1, P2, P3, P4, P5, P6 Custom Elevator Cab Interiors
1. Prepare the existing elevator cab to receive new custom interior.
2. Ceiling to be furnished and installed by-others. We will coordinate the installation and weld
any brackets to support the ceiling and will provide any type of ceiling lift to install the ceiling.
The ceiling will be mounted with threaded rod and if the ceiling will remain a 9’, steady
brackets be installed to keep the ceiling from swaying while the elevator is in travel.
3. Furnish and install 2” base board faced with 304-series #4 (brushed) stainless steel, per ID
drawing ID-L-220 Elevation 11.
4. Furnish and install 304-series #4 (brushed) stainless steel reveals between outer leading
edge of panels and cab fronts.
5. Furnish and install two panels (Sophie Mallebranche) or four panels (Cristina Grajales) to the
sidewalls faced with clear glass and the selected woven/mesh insert. The panels will be
captured in 1/8” aluminum angles. Please note: 1/8” aluminum captured along edges. A
backer material color will need to be selected due to this material being transparent.
6. Furnish and install one (1) 304-series #4 (brushed) stainless steel cylindrical handrail on each
side wall.
7. Elevator Front, Rear, Return and Transom will be Otis Brushed Stainless. One (1) Brushed
Stainless Steel Main Cab Operating Panel (COP) with MAD TTG 21” Touchscreen with
Keypad, and one (1) Brushed Stainless Steel auxiliary COP with MAD Auxiliary Touch screen
per elevator.

3. Lead time for Wall Panels: Quoted lead times begin after submittals are approved and all
RFIs are answered. Metal Fabric will be shipping from overseas. Quoted lead time may be
affected by Customs processing and/or other delays that neither Otis nor Visions Elevator,
Inc can control.
4. Lead time for Cab Operating Panels (COPs) and Touch Screens: 12-14 weeks from signed
approvals.
5. Installation of side panels: 5 to 7 working days not including coordination of ceiling
installation.
6. Installation of P1, P2, P3, P4, P5, P6 COPs: 6 working days per elevator (2 COPs per

3. Furnish and install custom Forms & Surfaces Level E-105 vertical wall laminated glass
panels to the sidewalls only, inset with ViviTela Mesh Reflect. The panels will be captured in
custom aluminum framework, color to be white gold.
4. Furnish and install #4 satin finish stainless steel reveals to the vertical corners and horizontal
frieze area.
5. Furnish and install # 4 satin finish stainless steel baseboards to all three walls. The substrate
to be 1” fire rated MDF.
6. Furnish and install (2) #4 satin finish stainless steel Compass style handrails to each of the
sidewalls.
7. Elevator Front, Rear, Return and Transom will be Otis Brushed Stainless. One (1) Brushed
Stainless Steel Main Cab Operating Panel (COP) with MAD TTG 21” Touchscreen with

contractor will be needed prior to any fabrication to prevent any dimensional or
clearance issues required for installation.
3. Furnish and install 2” base board faced with 304-series #4 (brushed) stainless steel, per ID
drawing ID-V-250 Elevation 9.
4. Furnish and install rear wall as follows: Two (2) vertical raised panels faced with 304-series
#4 (brushed) stainless steel; these panels will be captured in 1/8” aluminum angles.
5. Furnish and install side walls as follows: Two (2) vertical raised panels faced with Venetian
Plaster - Exterior Rated – Color Silver, per customer approved specification and sample.
Panel will be constructed of ¾” fire-rated MDF and captured in 1/8” aluminum angles. Please

We are pleased to submit the following proposal for the above referenced project.

Description: Six (6) Custom Elevator Cab Interiors | North & South Tower | Woven Metal
1. Prepare the existing elevator cab to receive new custom interior.
2. Ceiling to be furnished and installed by-others. We will coordinate the installation and weld
any brackets to support the ceiling and will provide any type of ceiling lift to install the
ceiling. The ceiling will be mounted with threaded rod and if the ceiling will remain a 9’,
steady brackets be installed to keep the ceiling from swaying while the elevator is in travel.
3. Furnish and install 2” base board faced with 304-series #4 (brushed) stainless steel, per ID
drawing ID-L-220 Elevation 11.
4. Furnish and install 304-series #4 (brushed) stainless steel reveals between outer leading
edge of panels and cab fronts.
5. Furnish and install two panels to the sidewalls faced with clear glass and the Sophie
Mallenbrach woven metal insert. The panels will be captured in 1/8” aluminum angles.
Please note: 1/8” aluminum captured along edges. A backer material color will need to be
selected due to this material being transparent.
6. Furnish and install one (1) 304-series #4 (brushed) stainless steel cylindrical handrail on each
side wall.

1. Prepare the existing cab interior to receive a New Construction installation of customer
elevator cab interiors.
2. Furnish and install custom Forms & Surfaces Level E-105 vertical wall laminated glass panels
to the sidewalls only, inset with Vivitela Mesh Reflect. The panels will be captured in custom
aluminum framework, color to be white gold.
3. Furnish and install 2” base board faced with 304-series #4 (brushed) stainless steel, per ID
drawing ID-V-250 Elevation.
4. Furnish and install rear wall as follows: Two (2) vertical raised panels faced with 304-series
#4 (brushed) stainless steel; these panels will be captured in 1/8” aluminum angles.
5. Furnish and install side walls as follows: Two (2) vertical raised panels faced with Venetian
Plaster - Exterior Rated – Color Silver, per customer approved specification and sample.
6. Panel will be constructed of ¾” fire-rated MDF and captured in 1/8” aluminum angles.

Notes:
1. This proposal replaces Otis proposal for cab finishes by M&J Elevator Interiors submitted on

2. If custom elevator finishes are not installed prior to elevator final inspection due to no fault of
Otis or Otis subcontractor, additional fees will apply for elevator re-balancing, permitting and
re-inspections.

3. Prices are based on elevators P1-P4 in the South Tower and P5-P6 in the North Tower
receiving identical finishes. Because of material quantity pricing, if there are changes to the
interior for one or more elevators, prices for all elevators will be adjusted.
4. If Otis Elevator is directed by Suffolk Construction to change the material supplier and/or
custom cab vendor, all items on this proposal will be requoted.
5. Work to be performed during normal working hours of the elevator trade, Monday through
Thursday 6:00 am to 4:30 pm. Overtime is not included in this proposal.
6. Flooring is by others. Flooring is to be installed prior to rebalancing.
7. (1) year standard manufacture warranty on installation and materials.
8. Detail breakdown of pricing is attached to this proposal.
9. Mock-ups are not included in this proposal.
10. Offsite storage of material is not included in this proposal.

Terms:
1. 50% down payment, Balance, 50% Progress Payment at Installation.
2. A fully executed change order is required to indicate acceptance of this proposal.
3. Lead time for Wall Panels: Quoted lead times begin after submittals are approved and all
RFIs are answered. Quoted lead time may be affected by Customs processing and/or other
delays that neither Otis nor Visions Elevator, Inc can control.
4. Lead time for Cab Operating Panels (COPs) and Touch Screens: 12-14 weeks from signed
approvals.
5. Installation of side panels: 5 to 7 working days not including coordination of ceiling
installation.
6. Installation of P1, P2, P3, P4, P5, P6 COPs: 6 working days per elevator (2 COPs per
elevator).

1. Furnish and Install cab panels as per M&J Elevator Interiors proposal 65071R1 dated
11/18/20 (attached). All inclusions and exclusions in the M&J Elevator Interiors proposal are
incorporated in this proposal.
2. Side walls: Custom unfinished MDF panels. Venetian Plaster finish provided and applied by
others.
3. Rear wall: Three (3) Raised Vertical Brushed Stainless Steel #4 panels.
4. All walls to have Brushed Stainless Steel #4 Reveals, Base and Frieze.
5. Elevator Front will be Otis Brushed Stainless. One (1) Brushed Stainless Steel Main Applied
Cab Operating Panel (COP), as shown on Final Layout approved 3-17-20.

Materials, Fabrication and Labor……………………………………………$33,112

Notes:
1. If custom elevator finishes are not installed prior to elevator final inspection due to no fault of
Otis or Otis subcontractor, additional fees will apply for elevator re-balancing, permitting and
re-inspections.
2. If Otis Elevator is directed by Suffolk Construction to change the material supplier and/or
custom cab vendor, all items on this proposal will be requoted.
3. Venetian Plaster Finish is provided and applied by others. Final acceptance of cab finishes
provided by Otis and M&J Elevator Interiors is not contingent on completed punchlist items
related to the Venetian Plaster Finish. If Venetian Plaster Finish is not installed prior to
elevator balancing, an additional rebalancing fee will be charged.
4. Flooring is by others. If flooring is not installed prior to elevator balancing, an additional
rebalancing fee will be charged.
5. Ceiling is by others. If the Ceiling not installed prior to elevator balancing an additional
rebalancing fee will be charged.
6. Work to be performed during normal working hours of the elevator trade, Monday through
Thursday 6:00 am to 4:30 pm. Overtime is not included in this proposal.
7. (1) year standard manufacture warranty on installation and materials.
8. Detail breakdown of pricing is attached to this proposal.

Notes:
1. If custom elevator finishes are not installed prior to elevator final inspection due to no fault of
Otis or Otis subcontractor, additional fees will apply for elevator re-balancing, permitting and
re-inspections.
2. Prices are based on elevators P1-P4 in the South Tower and P5-P6 in the North Tower
receiving identical finishes. Because of material quantity pricing, if there are changes to the
interior for one or more elevators, prices for all elevators will be adjusted.
3. If Otis Elevator is directed by Suffolk Construction to change the material supplier and/or
custom cab vendor, all items on this proposal will be requoted.
4. Work to be performed during normal working hours of the elevator trade, Monday through
Thursday 6:00 am to 4:30 pm. Overtime is not included in this proposal.
5. Flooring is by others. Flooring is to be installed prior to rebalancing.
6. (1) year standard manufacture warranty on installation and materials.
7. Detail breakdown of pricing is attached to this proposal.
8. Mock-ups are not included in this proposal.
9. Offsite storage of material is not included in this proposal.

Terms:
1. 50% down payment, Balance, 50% Progress Payment at Installation.
2. A fully executed change order is required to indicate acceptance of this proposal.
3. Lead time for Wall Panels: Quoted lead times begin after submittals are approved and all
RFIs are answered. Quoted lead time may be affected by Customs processing and/or other
delays that neither Otis nor Visions Elevator, Inc can control.
4. Lead time for Cab Operating Panels (COPs) and Touch Screens: 12-14 weeks from signed
approvals.
5. Installation of side panels: 5 to 7 working days not including coordination of ceiling
installation.
6. Installation of P1, P2, P3, P4, P5, P6 COPs: 6 working days per elevator (2 COPs per
elevator).

Existing Cab Shell Information:

 Door Opening: 42” x 96” Single Speed Side Opening (Front & Rear).
Wall Finishes:
We propose to furnish & Install four (4) vertical raised panels. Each side wall to have two (2) panels. Panels to be
faced with laminated safety glass with a Sophie Mallenbrache wire mesh interlayer with a mirror backer. Each
piece of glass will have an etched ANSI logo (as required by code) in the lower corner. Glass panels to be edged
with 16ga Satin (#4) finish stainless steel (type 304) perimeter L-trim. All panels to be attached to cab shell walls
using z-clips to permit future removal. Panels separating each other to have a butt seam, reveals separating panels
from front/rear corners are 1” wide. 8” Frieze and reveals to be 20ga satin (#4) finish stainless steel (Type 304) and
will be on the same plane and are adhered to cab shell with industrial grade contact adhesive. 4” protruded base to
be 20ga satin (#4) finish stainless steel and Code required lower ventilation to be accomplished through punched
ventilation slots in base.

Wall finishes not to exceed 9’ in height.

Ceiling:
We propose to furnish & install a new suspended support frame to support Brambiers provided ceiling. Support frame
to be fabricated out of Aluminum angle and weld. Edge of frame to be held approximately ¾” from face of walls and
transoms. We will also provide a means to access the escape hatch from the car top to meet code requirements.

Handrails:
We propose to furnish & install new 2” diameter satin finish stainless steel tubular handrails onto each side wall
with solid satin stainless steel standoffs to include concealed threaded set pins on underside. Handrail ends to be
returned. Handrails to be mounted at 32” above finish floor height to meet code requirements. Car front handrails
not included.

We propose to furnish & install a new suspended support frame to support provided Brambiers ceiling. Support frame
to be fabricated out of Aluminum angle and weld. Edge of frame to be held approximately ¾” from face of walls and
transoms. We will also provide a means to access the escape hatch from the car top to meet code requirements.
Handrails:
We propose to furnish & install new oval-vertical mount satin (#4) finish stainless steel tubular handrails by
(Lustre Products) for rear & side walls with solid standoffs to include concealed threaded set pins on underside.
Handrail ends to be returned and to be mounted at 32” above finish floor height to meet code requirements. Car
front handrails not included.

Job Specific Qualifications


1.) Pricing includes on site survey and Installation performed by Retro Elevator.
2.) Pricing based on completing (3) cabs per mobilization, three (3) total mobilizations.
3.) Shop drawings will be generated and submitted for approval within two-three (2-3) weeks of receipt of
signed proposal/purchase order.
4.) Upon receipt of approved drawings/samples, components can be installed within fifteen to twenty (15-20)
weeks.
5.) All material will be treated to comply with flame spread & smoke density requirements of ASME A17.1.
General Qualifications
 Schedule will be activated upon receipt of a signed copy of this proposal. After acceptance by all parties by signature, this document
shall be considered a binding contract. The sole and exclusive venue for any dispute arising from this Agreement shall be in the circuit
court in and for Pinellas County, Florida, and the Parties expressly waive the right to proceed in any other jurisdiction or forum.
 Allow three weeks for shop drawing delivery (if applicable) from the receipt of complete information regarding scope of work to be
performed. Shop drawings can be initiated upon receipt of written notice to proceed or the execution of this document and the receipt
of information mentioned above.
 Allow eight - ten weeks after receiving deposit and complete/approved shop drawings and control samples (if applicable) for ordering
materials, fabrication and delivery. Please note that no material will be ordered until deposit is received.
 Retro Elevator to warranty all workmanship and materials for one year from completion of contract. No warranties are honored unless
payment is made in full.
 All prices are based on our current price schedule and will remain in effect for 30 days. This proposal may be withdrawn if not
accepted within 30 days from submission date.
 Any pricing provided, at your request, prior to field survey of subject elevators shall be subject to additional cost should additional work
be required beyond or in order to accommodate proposed scope of work.
 Cancellation of project will result in cancellation fee equal to costs incurred by Retro Elevator up to cancellation date, to include all
labor, engineering, survey, and material costs incurred.
Installation Qualifications
 This proposal is based on all work being performed during our regular working hours of 7a.m. – 4:30 p.m. Monday-Friday, to include
an uninterrupted 8 hour shift between the above mentioned time period. Overtime, weekend, or other arrangements can be made in
advance, however, the cost for these arrangements shall be in addition to the price stated below. Any interruption of the daily work
schedule, which requires us to remobilize, shall result in a price adjustment to the price stated below.
 When cladding lobby doors, cab doors, lobby door frames, and elevator fronts to include transom and strike jamb, with any metals or
other materials the need to adjust doors may exist and should be handled by your maintenance company prior to our job site
mobilization. Should this be the case we will notify you in writing after we perform a field survey of the equipment. The price of this
adjustment shall be the customers’ responsibility and not part of our contract. Escutcheon tubes are not included.
 Your elevator maintenance company shall perform any adjusting to the elevator equipment (if required) as a result of new finishes.
The cost of performing these adjustments shall be handled directly with your elevator maintenance provider and are not included in
this proposal.
 Permits and inspections are not included unless otherwise noted.
 Our installation crew(s) will require an adequate staging and storage area adjacent to the elevator lobbies at the ground floor in
addition to 110v-AC power for our tools to accommodate installation.
 Once an elevator is taken out of service to perform installation, it shall remain out of operation for the entirety of work.
 Retro Elevator shall not be responsible for any damages to finishes once installed and accepted by contracted party.
 If installation is delayed due to circumstances beyond our control causing our installers to standby, additional charges will be billed
equal to our normal hourly billing rate per hour.

We propose to furnish material and labor, complete with above specifications, for the sum of : $319,175.
Option #1: $227,915.
Option #2: $273,347.
Option #3 $213,143.
Payments to be made as follows:
20% Deposit of Total Contract Amount Due Upon acceptance of proposal.
50% Draw of Total Contract Amount Due Upon Receipt of Approved shop drawings.
30% Balance of Total Contract Amount Due Upon completion of work. (Progress billed if not completed in the same
month).

All material is guaranteed to be as described above and warranted for one


year. All work to be completed in a workmanlike manner according to
standard practices. Any alteration or deviation from above specifications
involving extra costs will be executed only upon written orders and will

contingent upon strikes, accidents or delays beyond our control. Our Retro Elevator Corp. – David Kaufman
workers are fully covered by Workmen’s Compensation Insurance.

Acceptance of Proposal - The above prices, specifications and

to do the work as specified. Payment will be made as outlined above. All
