Frequently Asked Questions – proGres v4 Resettlement Module
1. How do I create a Resettlement Case?
There are two ways in proGres v4 to create a resettlement case:
1) Case creation from a Registration Group can be found in the Resettlement Module User Guide section 4.
2) Case creation from the Individual Associated View can be found in the Resettlement Module User Guide section
4.2.
2. How do I remove case members including the PRA from a Resettlement Case?
Section 11.2 in the Resettlement Module User Guide addresses how to remove Case Members and section 11.3
explains how to remove the PRA.
3. How do I change the PRA?
Please refer to section 11.4 of the Resettlement Module User Guide on how to change the PRA.
4. How do I add or remove Individuals to a Resettlement Case which were not part of the original Registration
Group?
Adding individuals to a Resettlement Case which were not part of the original Registration Group can be found in
section 11.1 in the Resettlement Module User Guide.
Removing case members can be found in section 11.2 of the Resettlement Module User Guide.
5. How can I add relatives to Section 3 of the RRF?
The Case Members’ relatives will not automatically appear in section 3 of the RRF and must be added separately.
How to do this please refer to Section 6.2 of the Resettlement Module User Guide.
6. How can I update Resettlement Cases in batch?
Operations may want to update multiple Resettlement Cases at the same time. For example, departure of large
groups, acceptance of many cases, or any other updates necessary. To update multiple Resettlement Cases at the same
time please see section 5.1.2 in the Resettlement Module User Guide.
7. Can I process a Resettlement Case post-submission or do I have to process each individual Case Member?
Resettlement Cases in the post-submission stage can be processed by using the Update Resettlement Case button in
the Resettlement Case form or in the Resettlement Case entity (for batch updating). This feature will allow the user to
select all or some Case Members to be updated simultaneously to the next process step.
8. How do I print the RRF?
The completed RRF in ProGres v4 will be generated directly from proGres and can be found in section 6.3 of the
Resettlement Module User Guide.
9. How do I add Specific Needs (SPN) Code to the Case Member?
To add a new SPN code to a Case Member the Individual record associated with the Case Member in the Registration
Module must first have this SPN record included there. How to do this, please refer to section 1.7.5 of the
Registration Module User Guide. Once the SPN record has been added to the Individual, it can then be added to the
Case Member in the Resettlement Module. To do this, please refer to section 6.2 in the Resettlement Module User
Guide.
10. Why can't I see the BIA and BID for the case member?
BIAs and BIDs are entities within the Child Protection Module that are linked to Child Protection Cases. However,
BIA and BID records are only visible to those users who the Child Protection Case they are associated with has been
shared. Therefore, for BIAs and BIDs to be available to include with a Resettlement Case Member, the owner or
manager of the Child Protection Case will have to share it with the Resettlement user. Once it has been shared the
BIA or BID will be available to be added to the BIA and BID section of the Resettlement Case Member. To
understand the Child Protection security features related to sharing Child Protection Cases further, please refer to
section 1.5 of the Child Protection Module User Guide.
11. When does a resettlement case get closed?
There are various Resettlement Process statuses that will close a Resettlement Case. However, all case members must
all have been changed to these statuses for the case to close. The following statuses will close the case:
Erroneous, Departed, Withdrawn, Not Recommended for Consideration, Not Recommended for Submission, Not
Recommended for Resubmission, and Recommended for Resubmission.
Furthermore, changing the Case Members to Departed will inactivate the Individual records in the Registration
Module and it will then change them closed after a set period of time. After the case member departs the process
status in the Registration Module is first changed to Inactive and then after some time changed to Closed. The time
involved from moving from Inactive to Closed can be defined by the individual operations.
12. How can I do parallel submissions?
There are no restrictions in proGres v4 to create and submit multiple resettlement cases for the same Case Members,
however parallel submission should be done in accordance with SOPs.
13. What shall I fill out when resubmitting a Resettlement Case?
Resubmission of the resettlement case should be in line with operational SOPs. If it is decided to resubmit the
Resettlement Case, you can create a new resettlement case by copying the existing one to a new form. This can be
found in section 10.3 of the Resettlement Module User Guide.
14. How do I withdraw a Resettlement Case?
With regards to how to withdraw a Resettlement Case please see section 10.4 of the Resettlement Module User
Guide. The reasoning why a Resettlement Case would be withdrawn should be no different than when you were
working with proGres v3
15. How do I put a Resettlement Case on Hold
With regards to how to put a Resettlement Case on hold please refer to section 10.7 of the Resettlement Module User
Guide. Why an operation would put a case on hold should be no different than when you were working with proGres
v3.
16. What is a Departure Arrangement?
A Departure Arrangement is a separate entity in the Resettlement Module which can be used to capture more detailed
information regarding the departure arrangements of the Case Members within a Resettlement Case. Departure
Arrangements can be used to track information such as ABNs, Flight Numbers, places of departure/arrival and
individual legs of a journey. Please refer to section 8 of the Resettlement Module User Guide for more information on
Departure Arrangements.
17. How do I submit a Resettlement Case?
Once the review is completed, submission of the Resettlement Case to the resettlement country will follow the same
procedure as when you were working with proGres v3 except how you document this in proGres v4 will be different.
Submission through HQ, the regional office or directly from the operation to the resettlement country can be found in
section 5.7 of the Resettlement Module User Guide.
18. How do I generate an XML?
XML files can be generated and exported directly from proGres v4 without having to use proGres reporter. After the
generation of the XML file, it can be sent to the resettlement country as per the SOPs already in place.
On how to export the XML file in proGres v4, please see section 13 of the Resettlement Module User Guide.
19. How do submission queues work?
Submission queues are a new feature to proGres v4 and will allow the operation to organize and track group
submissions, and resettlement country quotas. In addition, when an operation is preparing two different submissions
for two upcoming circuit rides, submission queues can also help to organize the work.
On how to create and manage a submission queue please refer to section 12 of the Resettlement Module User Guide.
20. What does it mean to add a resettlement interview to the resettlement case?
ProGres V4 can accommodate interview notes to the full transcript pertaining to the resettlement case. This may be a
good idea for you to consider when the RRF needs clarifying - for example any colleague (with access rights) can go
back to the interview notes to clarify missing information. To add a Resettlement Interview record to the
Resettlement Case please see section 5.4.1 in the Resettlement Module User Guide.
21. Where do I see the Resettlement Cases that an individual belongs to in the Registration Module?
A view can be configured in the Individual entity grid in the Registration Module which can add a new column: Has
Individual Resettlement Case. This will show a Yes or No value depending on whether an Individual is a member of
an Active or Hold Resettlement Case or one that has been closed due to departure. However, this will not show which
Resettlement Case the individual is a member of only that they are in a Resettlement Case.
To see what case an Individual is a member of, once in the Individual record using the Navigation Pane dropdown
next to the Individual ID, scroll to Case Management and select the Resettlement Cases entity which will show all the
Resettlement Cases this individual is a member of. Please note that to view these the user must have permissions to
access the Resettlement Module.
22. Do I have to write the RRF in proGres v4?
One added benefit of proGres v4 is that the RRF will be generated directly from the database with all sections of the
RRF filled in.
The user can either write the narrative directly into the system or if preferred, the user can write the narrative on a
word document and then copy it into the data base.
23. Which RRF shall I use?
Depending on the specifics of the operation, there could be different RRFs to choose from. The default RRF is the
RRF Standard which is found in the Issue Document feature in the Resettlement Case. There is also a feature to
create a custom RRF. More about how to do this is found in section 6 of the Resettlement Module User Guide.
24. Which processing methodology shall I select?
The selection of the processing methodology is determined by an operation’s SOPs. Unless specified in the SOPs, the
default processing mythology is the Global Standard. Please refer to section 14 of the Resettlement Module User
Guide for more information on configuring process methodologies.
25. When will there be guidance on the RST module to reflect all of the changes to the module?
The user guides for each module are updated periodically after each major update to proGres. Please check the
PRIMES User Support SharePoint site for the latest versions of each of the user guides.
26. Why does the RST case size changes to 0 when the RST Case is Withdrawn?
A Resettlement Case size reflects the number of active Case Members within the case. If a case is Abandoned or
Withdrawn all of the Case Member’s process statuses are changed to Closed. Therefore, there are no longer any
active Case Members within the Resettlement Case.
27. From where does the RRF pull its data in v4? Registration or Resettlement Modules or both?
The RRF is comprised of data pulled from both the Individual records in the Registration Module and the Submission
and RRF sections in the Resettlement Module. Any biodata in the RRF relating to any of the Case Members is
generated from what is recorded in corresponding fields of the individual record. Some records such as specific needs
and relatives can be added or removed in the Resettlement Module which allows the user to adjust which of these
records appear on the RRF.
28. What is the difference between linked cases and connections for Resettlement Cases? When should I use
which?
ProGres v4 will allow the case worker to link cases in the system which will also be reflected on the RRF – to link a
case to another please see section 10.5 in the Resettlement Module User Guide. You will also need to choose the
reason why you chosen to link the case.
29. Why is there is no separate Submission Review section for HUB level review following Country level review?
Multiple levels of reviews can be added to the Reviews section of the Resettlement Case. Please refer to section
5.6.1 of the Resettlement Module User Guide for further information.
30. How can I have a Resettlement Case overview printed and included in the physical file?
It is not possible to print an overview if the Resettlement Case but the RRF can be printed and stored in a physical
file.
31. If a case is withdrawn, can it be reactivated and used again?
If a case has been withdrawn, all the case members will be removed and closed. The case cannot be reactivated, but
the case can be copied using the copy function and a new case created. For how to do this, please refer to section
10.3 of the Resettlement Module User Guide.
