1) PURPOSE OF THE POLICY

The purpose of this policy is the provide employees guidelines about the eligibility and
procedure of availing leaves of different types. This policy will be effective from 1 July
2018.

2l SCOPE

This policy applies to all the permanent employees working in the company.

This policy is not applicable for expatriate, contractual employees and subcontract
employees.

3) DEFINITION

A) Employee - means all the employees of Tiger lT Bangladesh Limited irrespective


of grades and positions.

4l LEAVE YEAR
For the purpose of calculating leave period, January to December of each year shall
be treated as one full year.
5) PROCUDERE OF AVAILING LEAVE

A) Any employee who desires to obtain leave of absence shall apply to the
supervisor/reporting manager/employer for the same in writing stating his leave
address therein.

B) The supervisor / reporting manager / employer or his authorized officer shall issue
orders on the application within two days of the application prior to the
commencement of leave applied for.

Provided that if due to urgent reasons the leave applied for is to commence on the
date of application orwithin three days thereof the order shall be given on the same
day.

c) lf the leave asked for is granted, a leave pass shall be issued to the employee.

D) lf the leave asked for is refused or postponed the fact of such refusal or
postponement, and the reasons thereof shall be communicated to the employee
before the date on which the leave was expected to be commenced. and shall also
be recorded in a register to be maintained by the employer for the purpose.

E) lf the employee, after convincing of leave, desires an extension thereof, he shall,


if such leave is due to him, apply sufficiently in advance before the expiry of the
leave to the employer who shall, as far as practicable, send a written reply either
granting or refusing extension of leave to the employee.

The incumbent must notify the First Supervisor or the Departmental Head or
concerned HR person over telephone or through messages as soon as possible
and subsequently process application upon resuming duty.
F) Application for any leave, if not approved in advance, must be submitted to the
proper authority within 3 (three) working days from the date of return to duty, failing
which the entire period of absence shall be treated as Unauthorized Absence
without pay.

G) Leave can be taken using e-mail or leave form as appropriate.

6) ELIGIBILITY

Employees of all grades shall be entitled to the following categories of leaves -


A) Casual Leave
B) Sick Leave
C) Festival Leave
D) Earned Leave
E) Maternity Leave
F) Paternity Leave

7l ENTITLEMENT & LEAVE TERMS AND CONDITIONS

A) Causai Leave (CL):


An employee to meet his/her emergency situations and or an enforceable situation of
personal nature may request for leave of absence from his/her work, which is adjusted
from casual leave.

Yearly Entitlement:

All employees are entitled to enjoy 10 days casual leave in a year.

Terms and Procedure:

a) CL cannot be available more than three (3) days at a time.


b) Casual Leave cannot be prefixed and suffixed with any other type of leave or
Holidays.
c) Any absence beyond 3 days of sanctioned Casual Leave period shall be.
adjusted from Earned Leave, if available. Othenryise, shall be treated as Leave
without pay.
d) Casual leave cannot be carried fonruard and un-availed casual leaves shall be
lapsed at the year end.
e) Employee joining in different dates shall be eligible for pro-rated CL from the
date of joining till the end of leave year.

B) Sick Leave (SL):

Sick leave is granted due to personal illness of the employee.

Yearly Entitlement:

a. Employees are entitled to 14 days sick leave in a calendar year.


b. Sick Leave cannot be accumulated and cannot be carried fonryard to the next year.

Terms and Procedure:

a) Sick Leave is granted for 1-2 days in general. SL more than 2 consecutive days
must be recommended/supported by certificate from any registered Medical
practitioner in the prescribed from. The employee must fonrvard Doctor's
recommendation for sick leave to the Management.

b) SL cannot be taken immediately before or after earned leave to provide an


extended leave period. lf an employee falls sick during annual leave he must first
avail his entire annual leave before applying for Medical Leave.

c) ln case of serious prolonged illness, an employee may be permitted to utilize


his/her earned and casual leave after exhausting his Sick Leave to cover the
absence an account of illness.

d) lf an employee has exhausted, all types of paid leave including those accumulated
to cover his absence due to prolonged illness and is still absent due to illness, any
further sick leave will be without pay unless othenruise decided by the concerned
department on advice from HR.

e) During the period of sick Leave, an employee is expected to maintain regular


contact with his supervisor (or make other suitable arrangements) in order that the .

supervisor knows the employee's health condition and the expected date of his
return to work. Sick Leave benefits are contingent upon maintenance of regular
contacts.

Depending on the nature of illness, the employee will have to obtain fitness
certificate from an authorized Medical Practitioner to return to work if the leave is
more than 5 days.

s) The Company may ask for a medical checkup for a person who is taking regular
sick leave.

h) Employee joining in different dates shall be eligible for pro-rated SL from the date
of joining till the end of leave year.

It is important that all employees understand sick leave requirement and


provisions, and that the leave privilege is not abused. Management is responsible
for monitoring the continued use of Sick Leave closely. The following actions are
involved in this process.

C) Festival Leave

a) Every employee shall be allowed to 21 days of festival holidays in a calendar year.

b) The company shall fix the day and dates of such leaves at the beginning of the
year and shall be communicated to the employees.

c) Arrangement should be made so that the employees under the roaster duty can
avail the festival leaves too.

D) Annual Leave (EL):


Yearly Entitlement:
a) All employees who have completed one year of continuous service with the
company shall be allowed to 20 days of Annual Leave during the following 12
months with wages.

b) lf an employee does not in the period of 12 months, take leave either in whole or
in part, to which he is entitled, under section (a), such leaves shall be added to the
leave which he is entitled to in the succeeding period of 12 months.

Provided that an employee shall cease to earn any leave due to him amounts 60
days.

c) lf any employee applies for earn leave and is refused by the employer for any
reasons, such refused leave shall be added to the credit of such employee beyond
the limit of sub section (b)

Terms and Procedure:

a) To avail earned leave during the year, a leave plan detailing the dates and period
of the leave must be approved by the supervisor; departmental list must be
submitted to HRD at the beginning of the year- by February 28.

a. Annual leave should be approved at least three days before the Ieave is enforced.

b. Weekly holidays or the government and company-approved holidays either


prefixed or suffixed with the earned leave will not be considered as leave but those
falling in-between the earned leave or intervening the earned leave will be counted
as Annual leave.

c. Management reserves the right to refuse or suggests alternate dates if the dates
do not complement company's operation. Efforts will however be made to
accommodate the needs and convenience of the employees.

Leave Encashment Benefit:

a. Annual leave encashment, if any, shall be made as per applicable law.


Encashment shall be made in January every year.

b. The encashment benefit shall be provided on the basis of the last gross salary.

E. Maternity Leave:

Entitlement:

a) All female employees shall be entitled to Maternity Leave for a period of 112 (One
hundred twelve) days where 56 days prenatal and 56 days postnatal.

b) A woman shall not be entitled to such maternity benefits unless she worked under
TigerlT for a period of not less than 6 months immediately preceding the day of
her delivery.

c) Calculation of maternity benefits shall be as per the section 48 of the Bangladesh


Labour Law 2008.

d) In addition to the above leave and benefits, she shall also be entitled to 2 months
special maternity leave with salary so that she can take enough care of her child.

e) No female employees shall be entitled to maternity leave during the tenure of their
service with company in case she has two or more surviving children during her
delivery. But in that case, she may enjoy any other leave which is due to her. She
will also not be entitled to special leave as mentioned clause "d" above.

Terms and Procedure:

a) A female employee shall notify HR though her first supervisor of her expected
delivery date along with medical certificate at least 04 (four) months prior to the
expected delivery date.

b) A female employee must apply in writing at least 8 weeks before the expected
Maternity Leave as per the prescribed form.

c) Birth Certificate of the newly born child must be submitted to HR as soon as the
employee joins the office.

F. Paternity Leave

Paternity Leave is offered to the biological father for the purpose of providing care for his
newborn child. This is a privilege for the employee with full salary. All regular/permanent
employees have completed six month of continuous service in the company are eligible
for this leave.

Entitlement:

a) 05 days with full pay at each occasion and maximum twice during entire service
period in the company.

b) Employee already having 2 or more children shall not be eligible for such leave.
They should take other leaves.

Terms and Procedure:

a) This leave can be availed on or after the birth of the child as the employee wish to
avail.

b) The employee is required to submit prescribed leave application to the


Departmental Head/Reporting Officer for acknowledging and pre-approval of the
leave and send to the HR Department for further approval of the Management and
records.

c) The employee should notify at least 5 days in advance before availing such leave.

d) Paternity leave cannot be carried forward and not en-cashable.

8) SPECIAL LEAVE:

Special long duration religious leaves like Holy Hajj etc. can be granted at the sole
discretion of the CEO of the company on a case to case basis.

e) LEAVE FOR TEMPORARY/CONTRACTUAL EMPLOYEES:

All temporary/ Contractual employees will be entitled to leave in accordance with the
duration of service period as stipulated in his/her employment contract or terms and
conditions stated in his/her appointment letter.

10) LEAVE RECORD:

a) Human Resources shall maintain a leave record for allemployees and it should be
kept up-to-date for each employee.

b) A designated HR Representative is responsible for monitoring the data entry of


leave for all employees to prepare the monthly Leave Report. The Representative
will submit the monthly Leave Report to the Head of Human Resources or as
required.

c) Leave records are kept for 3 (three) years with all twelve completed and signed.
monthly leave reports and all necessary supporting documents attached to the
relevant year's attendance record card.

11) LEAVE PLAN:

a) Department Heads are responsible for drawing up an annual leave plan in


consultation with their employees.

b) The leave plan should ensure that all ongoing activities can be maintained
continuously and that the employee who will be present in the office should be
capable of satisfactorily carrying out the jobs left by the employee who is on Leave.

12) AMENDMENT OF THE POLTCY

Company reserve the right to add, delete, edit, ament, modify, review the entire or
part of this policy at any time at the discretion of the management.
