Guidelines for Internship Report

The internship program provides opportunities to experiment and pursue careers that
match academic and personal interests. There are many benefits to completing an
internship including increased job confidence, the chance to develop industry-specific
abilities, and the opportunity to apply the skills you have learned in the classroom in a real-
world setting. Internship experiences also increase the likelihood of building professional
networking contacts and mentoring relationships. This program helps students become
viable, experienced job applicants when seeking employment after graduation. In fact,
many employers consider internship experience in the hiring process and often look to their
own interns as the best potential candidates for full-time positions.

The duration of the internship program is three months of organizational attachment and
after that students will finalize the report. The students must submit the internship report
after properly signed by the supervisor within the stipulated time before Viva-voce. The
students should always maintain good communication with the Internship report
supervisor and need to follow his/her instructions to complete your report.

1. General Instructions
The general structure of an Internship report is always the same, regardless of the topic or
the orientation.

• Report must be written in the English language.


• Each chapter of the report must be started on a new page.
• Reference style can be the latest edition of APA, Harvard, Chicago, Oxford (for
example APA 6th edition).

• Length of the report should be a minimum of 45 and a maximum of 75 pages (35,000
to 60,000 words approximately).
• Print three copies of the Internship report. You need to submit one copy to the
respective supervisor, one copy to the Office of the Head of the Department and
keep one copy for yourself.

2. Organization of the Internship Report

The internship report manuscript consists of four major sections and should be placed in
the order listed:

I. Preliminary Pages
Cover Page

• Topic name
• Course code and course title
• Submitted to (Department of Business Administration)
• Supervised by (Name, designation, Department, and name of the University)
• Submitted by (Name, ID, major, Program, Department, and name of the
University)
• Logo of the University
• Department and name of the University
• Date

Letter of Transmittal
A letter of transmittal is a short cover letter used to submit the report to the
supervisor.
Letter of Declaration
A letter of declaration is an explicit acknowledgment, statement, or
announcement about the originality of the report.
Letter of Supervisor Certificate
A letter needs to be collected from the respective supervisor.
Acknowledgement
An acknowledgement refers to the section at the beginning of your report
where you show your appreciation for the people who contributed to your
report.
Executive Summary
An executive summary provides an overview of the main points of the report.
It is often written to share with individuals who may not have time to review
the entire report. The reader should be able to make a decision based only
on the executive summary.

Table of Contents
The table of content is an organized listing of your document’s chapters and
sections clearly leveled by page numbers.
List of Table
A list of tables is a reference tool that allows the readers to navigate to data
quickly and easily in your report.
List of Figure
The list of figures identifies the titles and locations of figures, drawings,
photos, maps in your report.
List of Abbreviations
List of Abbreviations is an approach that will help you in increasing the
readability of the report.

II. Body of the Report


An Internship report of the BBA Program should cover the following chapters:

Chapter One: Overview of the Study/Introduction


The purpose of the first chapter is to lead the readers to the theme of the Internship report
and arouse their interest in the topic. The introduction normally contains the following
issues:

• background of the study


• significance of the study/rationale of the study
• problem statements and research question(s)
• objectives of the study
• research philosophy
• limitation of the study.

Chapter Two: Literature Review and Theoretical Framework


This chapter can contain the following issues that need to address properly:

1. Literature Review

A literature review is an overview of major writings and other sources on a selected topic.
Sources covered in the review may include scholarly journal articles, books, government
and non-government reports, newspapers, websites, etc. The literature review provides a
description, summary, and evaluation of each source. In the conclusion of a literature
review, the student needs to identify where research gaps exist.
2. Theoretical Framework

The theoretical framework is the structure that can hold or support a theory of a study. The
theoretical framework introduces and describes the theory which explains why the
research problem under this study exists. For example, if your topic is customer
satisfaction, then you can focus on customer satisfaction models already developed by
different authors; and which one you are using in your report, and why. This part normally
contains the following issues:

• define key concepts


• evaluate and combine relevant theories and models
• explain the assumptions and expectations that guide your study.

Chapter Three: Methodology


This chapter describes and justifies the data gathering method used. This chapter also
outlines how the data was analyzed. Although this section varies depending on the method
and analysis technique chosen, many of the following areas typically are addressed:

• description of research design


• source of data including primary and secondary data
• data analysis tools and techniques
• description of population and sample
• description of and justification for the type of sampling method used
• development of instrument or method for making observations (e.g.,
question guide, categories for content analysis)

• administration of instrument or method for making observations (e.g.,
questionnaire, interviews, observation, content analysis)

Chapter Four: Overview of the Organization


The organization overview is a nonfinancial description that shares key issues of the
organization. It should include information that will help interested external candidates
better assess their fit with the organization and better understand the organization's goals
and beneficiaries. This chapter normally contains the following issues:

• introduction of the organization


• mission of the organization
• vision of the organization
• service areas of the organization
• training and development process of the organization
• hierarchy of the organization
• corporate address and internship branch address of the organization
• logo of the organization.

Chapter Five: Data Analysis and Findings


1. Data Analysis
Data analysis is the process of collecting and organizing data in order to draw helpful
conclusions from it. The process of data analysis uses analytical and logical reasoning to
gain information from the data. Easy-to-understand tables and graphics will greatly
enhance the readability of the written report. As a general rule, all tables and figures should
contain:

• identification number corresponding to the list of tables and the list of


figures
• a title that conveys the content of the table or figure, also corresponding
to the list of tables and the list of figures, and

• appropriate column labels and row labels for tables, and figure legends
defining specific elements in the figure.

2. Findings of the Study


The findings of the study are the principal outcomes of a research project; what the project
suggested, revealed, or indicated. This usually refers to the totality of outcomes, rather than
the conclusions or recommendations drawn from them. As soon as you have gathered and
analyzed your data, you can start to write up the findings part of your report, which is your
chance to present the most notable findings of your study and relate them to the objective
of the study in the introduction chapter. These issues need to remember in writing findings:

• always reveal the findings of your study in the past tense


• the length of the findings varies from one study findings to another
depending on the amount of data collected and analyzed
• avoid revealing results that are not relevant to your objective of the
study.

Chapter Six: Recommendations and Conclusion


1. Recommendations
Recommendations are often included with a report’s conclusion, although they serve
different purposes. Whereas a conclusion offers you the opportunity to summarize or
review your report’s main ideas, recommendations suggest actions to be taken in response
to the findings of your report. What makes a good recommendation? Effective
recommendations:

• describe a suggested course of action to be taken to solve a particular


problem
• are written as action statements
• are stated in a clear, specific language
• should be expressed in order of importance
• are based on the case built up in the body of the report.

2. Conclusion
First, introduce the work and then briefly state the major results. Then state the major
points of the discussion. Finally, end with a statement of how this work contributes to the
overall field of study.

III. References

• The list of references has the short title REFERENCES in bold letters, and it is not
numbered.
• The list of references contains all the sources cited in the body of the report (in-text
citation).

• The appendices contain all such clarifying information that does not serve any
purpose if presented in the actual text.
• Typical appendices are questionnaires used in the internship report, outlines for
semi-structured interviews, and detailed data descriptions.
• The appendices are numbered consecutively.
