COMMUNICATION

“Communication is simply the act of transferring information from one place, person or
group to another.”

Every communication involves (at least) one sender, a message and a recipient. This may
sound simple, but communication is actually a very complex subject.

The transmission of the message from sender to recipient can be affected by a huge range of
things. These include our emotions, the cultural situation, the medium used to communicate,
and even our location. The complexity is why good communication skills are considered so
desirable by employers around the world: accurate, effective and unambiguous
communication is actually extremely hard.

Verbal Communication
Verbal communication is defined as communication to express our views, information, and ideas in
the form of sound and words. The spoken part usually involves face-to-face communication.
Communication through radio, television, or mobile phones is also called verbal communication.

The series of words and grammar rules define the language. Two or more persons can quickly
communicate if they are aware of their languages. It might be difficult for people to communicate
without a common known language. For effective communication, there must be a common
language, which everyone present can understand.

Verbal communication skills
 Listen carefully
We should be well prepared to listen. We should concentrate on the conversation with the speaker
rather than thinking about what we will reply to.

 Maintain eye contact


We should always maintain eye contact with the speaker during the conversation, either in a
meeting or personally. The proper eye contact depicts that how much we are interested in his/her
thoughts. It is also a sign of appreciation for the speaker.

 Avoid distractions
We should avoid any distractions during the communication, such as checking mobile phones,
people passing nearby, opening and closing doors, etc.
If there is a lot of noise, we can suggest moving to another place for communication.

 Do not interrupt the speaker


We should not interrupt the speaker in between the conversation. It seems like disrespect for the
speaker.

 Be clear while speaking


Sometimes, we require emotional energy to understand what another person wants to say. Always
try to be clear while speaking and listening.

 Focus on the non-verbal communication cues
Verbal communication is communication using spoken words. But, it also focuses on how we
represent the information. Our facial expressions, body language, eye contact, etc. reflects our way
of talking. Hence, non-verbal cues should not be avoided.

 Be confident
We should always be confident while speaking. Do not think what others will say. Confidence
depicts our abilities and importance to ourselves. The voice tone, body language, and awareness
reflect our confidence during the discussion.

 Be open-minded
We should avoid making judgments or comments about the speaker. Everyone has its perspective,
so we should respect the views and thoughts of others.

 Be a soft-spoken person.
The people who talk politely with a smile on their face are more likeable. It makes the conversation
more effective also adds enjoyment to their lives.

 Represent the information in short


We should not add paragraphs or stories to our discussion. It makes the listener bored, and he/she
may get distracted. We should try to represent our ideas and information as short as we can. It makes
our communication more clear and interested.

Types of Verbal Communication

Public Communication
The public communication is defined as the communication of a person with the public. It involves a
massive assembly of people. For example, the Prime Minister addressing the public about the multiple
developing projects; Other examples include elections, campaigns, public speeches, etc.

Small-Group Communication
The small group communication is defined as communication within two or more people. The number of
people participating in such communication is enough to have a good interaction with each other; For
example, school meetings, board meetings, press conferences, office meetings, team meetings, family
gatherings, etc.
Sometimes, such conversations can become chaotic due to some issues being discussed.

Intrapersonal Communication
Intrapersonal communication is communication within us. It is also called as internal communication. It
includes self-thinking, analysis, thoughts, assessments, etc. associated with the inner state of mind.
The person's internal thoughts or feelings play a vital role in intrapersonal communication. It also includes
various activities, such as solo speaking, solo writing, solo dancing, concentration, and self-awareness.

Interpersonal Communication
Interpersonal communication is the communication between us and others over the channel. The
communication can be online, face-to-face, video conference on mobile, etc.
Interpersonal skills are essential, whether we are a manager, employee, or looking for work. Such skills are
also known as soft skills that determine how well a person can communicate, behave, and relate to others.

Tips to enhance verbal communication skills


• Keep changing the voice tone.
The same tone during communication makes the communication process bored. We should
try to vary the voice tone according to the words or feelings. It helps to keep the audience
engaged in our discussion.

• Do not forget to think from the perspective of the audience


Good knowledge about the topic does not mean that all the audience can understand your
point of view. We should first think of ourselves as an audience and understand what we are
trying to communicate. The provided information should be clear, precise, with technical
knowledge

• Be positive
The positively oriented people are more likeable and have a great stand in front of the audience.
We should try to filter the positive things. The positivity in our communications helps us to build
strong teams, boosts audience engagement, and many more.

• Think before speaking


Effective verbal communication includes spoken words, but it should not hurt the people around
us. Try to organize the information and thoughts in advance. We can take some time to organize
our views before speaking. It will filter our mistakes and makes the communication process
smoother.

• Have Patience
Having patience signifies that a person can listen and understand the speaker carefully. It helps us
to avoid being irritated at any point during communication. It also helps to avoid making selfish
decisions.

• Include feedback during the communication


Communication is a two-way process. Giving and receiving during a communication makes it
more effective. We can use non-verbal cues to respond to the speaker, such as nodding head, a
smile on the face, etc. It shows the value of the thoughts of the speaker.

Presentation skills
Presentation skills can be defined as a set of abilities that enable an individual to: interact with the
audience; transmit the messages with clarity; engage the audience in the presentation; and
interpret and understand the mindsets of the listeners. These skills refine the way you put forward
your messages and enhance your persuasive powers.
The present era places great emphasis on good presentation skills. This is because they play an
important role in convincing the clients and customers. Internally, management with good
presentation skills is better able to communicate the mission and vision of the organization to the
employees.

Importance of Presentation Skills


• Interaction with others is a routine job of businesses in today’s world. The importance of good
presentation skills is established on the basis of following points:

• They help an individual in enhancing his own growth opportunities. In addition, it also grooms the
personality of the presenter and elevates his levels of confidence.

• In case of striking deals and gaining clients, it is essential for the business professionals to
understand the audience. Good presentation skills enable an individual to mold his message
according to the traits of the audience. This increases the probability of successful transmission of
messages.

• Lastly, business professionals have to arrange seminars and give presentations almost every day.
Having good presentation skills not only increases an individual’s chances of success, but also

The best presenters are constantly improving their skills. To get better, you must be able to look
honestly at your performance, assess the feedback you get, and figure out what you need to do to
improve. That takes analytical thinking.

More importantly, you need to have a firm grasp of the information you are about to communicate to
others. You need to analyze your audience and be prepared to think quickly if asked questions that
force you to demonstrate that you are fully aware of the material and its implications.

You do not want to be the person who spends half of their presentation time trying to find a cable to
connect their laptop to the projector. Many things can go wrong just before a presentation, and they
probably will, unless you are organized.

Additionally, presentation preparation also means keeping track of notes, information, and start/stop
times. Finally, you will want to proofread and fine-tune all the materials you plan to use for the
presentation.

How to Improve Your Presentation Skills

1) Research your audience. Knowing the needs of your audience can help you tailor your presentation
to target their interests and explain how your company can be of use in their specific situation. You can
then develop messages that can be better understood by your target audience. For instance, in case of an
analytical audience, you can add more facts and figures in your presentation.

2) Structuring your presentation effectively. The best way to do this is to start with telling the
audience, in the introduction, what you are going to present. Follow this by presenting the idea, and
finish off the presentation by repeating the main points.

3) Practice, practice, practice...but don't memorize. Release but do not go for memorizing
the presentation. Rehearsals reduce your anxiety and enable you to look confident on the
presentation day. Make sure you practice out loud, as it enables you to identify an eliminate
errors more efficiently. Do not memorize anything as it will make your presentation look
mechanical. This can reduce the degree of audience engagement.

• I study so many case studies on verbal communication and presentation
skills for completing this course ,so let’s have a view in detail below:

CASE 1: The promising chemist who buried his results


John, a research chemist for a major petro-chemical company, wrote a dense
report about some new compounds he had synthesized in the laboratory from
oil-refining by – products. The bulk of the report Considered of tables listing
their chemical and physical properties, diagrams of their molecular structure,
chemical formulas and computer printouts of toxicity tests. Buried at the end
of the report was a casual speculation that one of the compounds might be a
particularly effective insecticide.

Seven years later, the same oil company launched a major research programs
to find more effective but environmentally safe insecticides. After six months
of Research, someone uncovered John’s report and his toxicity tests
A few hours of further testing confirmed that one of John’s compounds was
the safe, economical insecticides they had been looking for.

Recognition is what actually he deserved but didn’t get it just


because of not doing proper verbal communication so this is the
loss and cost of John.

• Possible solution

Now for solution it’s too late after seven year of pass days but at
the time of invention. John supposed to communicate with right
person with full confidence will surly help him out.

John had since left the company, because he felt that the
importance of his research was not being appreciated.

Solution and review:

According to above case study we can get to know that:

• Communication error

John have found a very new component that might be effective


insecticide and he also make a report to present his new invention
but because of not proper verbal communication or also because of
not presenting that information to right person that leads him into
trouble of not getting him the recognition what he actually
deserves.

• Case2: The unaccepted current regulator proposal

The Precision Electric company worked day and night to develop a new
current regulator designed to cut the electric power consumption in aluminium
plants by 35% .They knew that, although the competition was fierce, the
regulator could be produced more cheaply, was more reliable, and worked
more efficiently than the competitor’s products. The owner, eager to capture
the market, personally but somewhat hastily put together a 120-page proposal
to the three major aluminium manufactures, recommending that their regulators
be installed at all company plants.

She devoted the first 87 pages of the proposal to the mathematical theory and
engineering design behind his new regulator, and the next 32 to descriptions of
the new assembly line she planned to set up to produce regulators quickly.
Buried in an appendix were the test results that compared her regulator’s
performance with present models, and a poorly drawn graph showed how much
the dollar savings would be. Precision Electric didn’t get the contracts, despite
having the best product. Six months later, the company field for bankruptcy

• Communication error:

Here communication error is making proposal of 120pages because no one


is interested in reading all those 120pages.

Second, proposal should be considered of benefits of product rather making


them understanding about what benefit the are going to avail .

• Costs/losses:
The company became bankruptcy because of not presenting right proposal
to customers, and this led them to loss.

• Possible solutions:
Here if company try to convince their customer with verbal communication
that will help to find new customer. In that proposal business need to focus
on benefits of product rather than explain then 82 pages about mathematical
theory and engineering design.

• Seminar
As my proficiency drag is communication. Marcos is verbal
communication and presentation skills have attended one seminar
on health life nutrition on which Mr Rahul Patel has resented the
seminar in which he prepares for presentation also.

From that seminar I learnt so many things like how you need to
communicate with your audience how you need to co-ordinate
with your audience. How and when to make your pitch high and
low? How you need to co-ordinate with your audience? When to
say in speed and when to say slow? Non-verbal communication
also plays very important role in communication like your
gestures, how you move your hand, your eye contact with your
audience.
