All persons attending the Conference must complete an online registration form. Please read the below information before you complete the online registration form.
Important note: There is a limit of 2 submissions per speaker registration.

Registration Fees
All fees are in Australian Dollars (AUD), inclusive of a 10% Goods and Services Tax (GST).

In-Advance Registration
To be entitled to the In-Advance Registration fee, you must have registered and paid by 29 August 2025, 11:59 AEST.
Visa Requirements
All visitors to Australia must have a valid visa to travel to and enter Australia. Please note that, for international participants, to obtain an Australian visa an invitation letter is not required. Once you have registered and paid the registration fees in full then your confirmation of registration or tax invoices for payment of registration fees is sufficient to lodge with your visa application, however a welcome letter will automatically be emailed to you upon completing your registration

Please note that communications sent by external travel providers are not associated with Arinex Pty Ltd. All official event travel and accommodation arrangements, and communications regarding your registration will be sent to you directly by Arinex Pty Ltd.
If you receive any external communications, please note that proceeding with booking with an external provider is at your own risk and no liability will be borne by the Conference. Please contact register.aupec2025@arinexgroup.com if you have any queries.
Registration Terms and Conditions
Full Conference registrations receive the following:
- Morning, lunch and afternoon tea catering
- Access to the Welcome Reception
- Access to the Conference dinner
- Opportunity to purchase additional guest tickets for social functions, if required
- Entry to the trade exhibition across the Conference days
- Access to discounted accommodation rates at nearby hotels, available exclusively for Conference attendees.
Registration confirmation
Your completed registration and successful payment will be acknowledged via email with a confirmation of your requirements according to your registration form. Your registration will only be processed or confirmed if payment does accompany your form.
Name badge
Each delegate of the Conference will receive a name badge upon registration. The badge will be your official pass and must be visible at all times to obtain entry to all sessions and to social functions. The Conference Managers expect appropriate behaviour from attendees and reserve the right to revoke the badge and privileges of anyone behaving inappropriately.
Credit Card
Please note the preferred payment method for online registrations is by credit card, but there is the option to request a tax invoice. Accepted credit cards are MasterCard, Visa, EFTPOS and American Express. Please note all transactions by credit card will appear on your statement as payment to ‘Conference by Arinex’.
EFT/Invoice
Payment via EFT will be available from the registration open date and will close one (1) month prior to the conference. Attendees will receive an invoice for the registration fee within their registration confirmation email that is sent upon completion of the registration form. Payment via eft is required within 14 days from the date of invoice.
Registrations with outstanding EFT payments over 14 days, will be advised of cancellation if payment is not received within 7 days of notification.
Cancellation and Refund Policy
Cancellations must be notified in writing to the Conference Managers at register.aupec2025@arinexgroup.com.
Note: there will be a $150 administration fee charged for refunds on duplicate registration payments.
- Cancellations before 24 August 2025 will incur a A$150.00 cancellation fee.
- Cancellations on or after 25 August 2025 will receive no refund.
- Social Payments are non-refundable as at 25 August 2025.
The program is correct at the time of publishing. The organisers reserve the right to delete, modify or alter items from the program or to delete, modify or alter any aspect of the Conference timetabling and delivery at their sole discretion and without notice. Neither the host organisation(s) nor the Conference Managers will accept any liability for any loss or inconvenience caused to any party consequent to such changes.
The Conference Managers reserve the right to use any recordings whether audio or video and/or any photographs taken at any stage during the Conference for promotional, advertising or reporting of the Conference and/or its content at their sole discretion.
The Organiser of IEEE AUPEC 2025 Conference (the “Event”) reserve the right to remove from the venue/Event at any time any attendee deemed to be causing, or potentially causing, a disturbance or exhibiting disruptive or inappropriate behaviour. Such removal does not constitute a right to refund of any fees paid. Please view the Code of Conduct here which all attendees are expected to comply with.
