Our Lima office is a key part of our growing community, and we're looking for a Workplace Experience Assistant/Front Desk Administrator who will be the welcoming face of our space.
Role Summary:
As the Front Desk Admin, you will be the first point of contact for guests, employees, and affiliates, ensuring a warm, professional, and efficient greeting, while actively supporting the smooth running of daily office operations. You will also play a key role in coordinating with vendors and overseeing contracts or services, planning and executing employee events and engagement initiatives, and drafting clear, professional internal updates and announcements in English.
Key Responsibilities:
- Greet and assist all visitors and staff with a professional, welcoming demeanor.
- Manage visitor check-ins, issue parking passes, and follow all security protocols.
- Maintain the reception area to ensure it is tidy and presentable at all times.
- Receive, sort, and distribute any mail and deliveries including insurance cards.
- Arrange and coordinate recreational, dining, and business activities as needed.
- Support office operations including mail handling, supply management, and onboarding.
- Coordinate janitorial and maintenance requests with appropriate teams.
- Organize on-site events, including booking space, managing setup and logistics.
- Assist with scheduling and coordinating office appointments with third-party vendors.
- Address inquiries or complaints from employees and guests in a professional, solution-focused manner.
- Support workplace safety by following emergency protocols and escalating when necessary.
- Liaise with vendors providing workplace goods and services.
- Communicate clearly within the team and follow manager direction.
- Draft internal updates and announcements in English.
- Apply standard procedures to solve routine issues and complete assigned tasks.
- Provide administrative support to HR and the Workplace Experience team as needed.
- Order and maintain inventory of office supplies/stationery.
- Handle basic queries and direct them to the appropriate person or department.
Requirements:
- Prior experience in front desk, or administrative role preferred.
- Experience in an international company or multicultural environment.
- Well-groomed, with a professional and approachable attitude.
- Highly organized with attention to detail.
- Ability to multitask and stay calm under pressure.
- Proficient in spoken and written English.
- A degree in Administration, International Business, or a related field.
- Proven experience coordinating with vendors and managing contracts or services.
- Skilled at planning and executing employee events, activities, and engagement initiatives.
- Proficiency in workplace software tools (Google Workspace, Excel, Slack/Teams, booking systems, etc.).
