  • Most event challenges don’t originate on-site. They surface much earlier during sourcing and contracting. When expectations aren’t fully defined upfront, even the best venues are left making assumptions. And assumptions, on either side, are where programs lose efficiency, flexibility, and momentum. The strongest programs I see start with alignment before outreach ever begins: • A clear objective for the meeting • Budget parameters that reflect reality • Defined decision and signing timelines • An accurate understanding of attendee demand • A thoughtful plan for how the program will flow When those elements are established early, hotel partners can respond strategically pricing appropriately, structuring contracts responsibly, and preparing to deliver at a high level. That’s when sourcing becomes collaborative instead of reactive. The takeaway isn’t about pointing to where things go wrong. It’s about recognizing where clarity creates better outcomes for everyone involved. Planning doesn’t fail at the venue. It succeeds when the foundation is built correctly. #eventprof

  • One of the most important parts of my role happens before a contract is ever signed!  This week, I’m in Dallas conducting site visits at Omni Las Colinas, Thompson Dallas, and Sheraton Dallas. Hotel site visits are critical for both our team and our clients. They allow us to assess flow, layout, service levels, and overall fit—especially for large-scale programs of 200+ attendees. What looks good on paper doesn’t always translate on site. If you’re already sourcing for 2027–2029, you’re setting yourself up for stronger options, better alignment, and fewer surprises down the line. who’s actually managing the chaos? Flights are delayed.
Arrival days are blown up.
Everyone is affected — nationwide. And suddenly the questions start flying: 
• What does the force majeure clause state?
• What flexibility does the hotel and group have?
• What does the client/stakeholders want to do?
• What does leadership expect?
• Who’s making the call? If you don’t have a meeting broker…

    𝗧𝗵𝗲 𝗰𝗼𝗹𝗱 𝗲𝗺𝗮𝗶𝗹 𝗜 𝗮𝗹𝗺𝗼𝘀𝘁 𝗱𝗲𝗹𝗲𝘁𝗲𝗱 𝗷𝘂𝘀𝘁 𝘀𝗮𝘃𝗲𝗱 𝗺𝗲 𝘁𝗵𝗼𝘂𝘀𝗮𝗻𝗱𝘀 𝗼𝗳 𝗱𝗼𝗹𝗹𝗮𝗿𝘀... There's a massive difference between knowing what you 𝘴𝘩𝘰𝘶𝘭𝘥 stop doing... ...and actually finding someone who can do it better than you. For the last few years, I've been the one sourcing event venues for our live experiences. Researching locations. Negotiating contracts. Managing communications. The whole nine yards. I didn't hate it. But every hour I spent on this was an hour I wasn't spending on what I'm actually built for—coaching, strategy, and serving our clients at the highest level. This year, I got crystal clear: this needed to come off my plate. Not someday. Now. Here's what's wild... The moment I got serious about it, I got a cold email from someone I'd never heard of. Subject line was something like "Help with Events" (the kind of message I delete 99 times out of 100). But I opened it. And that email led me to Andrea Leventhal, CMP: a hotel negotiator and hospitality pro who has completely transformed how we do live events. Andrea just secured the Ritz-Carlton Dove Mountain in Tucson, Arizona for our next experience. She handled research, negotiations, contracts, communications—the entire process. Seamless. What doesn't belong on your plate because someone else can do it better. 𝟮) 𝗦𝗲𝗲𝗸, 𝗱𝗼𝗻'𝘁 𝗷𝘂𝘀𝘁 𝗻𝗲𝗲𝗱 Put it out there—even if you don't know where the solution will come from. "Man, it would be incredible if I had someone to handle X in my business." 𝟯) 𝗪𝗵𝗲𝗻 𝘁𝗵𝗲 𝗿𝗶𝗴𝗵𝘁 𝗽𝗲𝗿𝘀𝗼𝗻 𝘀𝗵𝗼𝘄𝘀 𝘂𝗽, 𝗮𝗰𝘁 Don't overthink it. Trust your gut. If you're running events, whether it's client experiences, team off-sites, or anything requiring venue sourcing and room blocks…Andrea is your person. True hospitality expert. Killer negotiator.
