#HubSpotTipsAndTricks
If you navigate to biblequest.co.uk/hubspot Hacks or HubSpot Dash Hacks, you can access the library of kind of tips, tricks, and advice that the consultants that be able quest have shared with each other and with you. There's different you can search for your answer in the top or there's different tiles that kind of help you navigate to the the type of support or the area of her. Spot that you're looking for support in such as within pipelines. Um, let's go for this one. This one is popular. How to track substages and exit criteria within a single deal stage using tags. So this is a guide on how you can keep your pipeline concise, not kind of. What's the word I'm looking for? Hmm, uh, you know, lots of stages. That is not the word I'm looking for. It's the word that came to my mouth. They how you can keep it concise. Not, you know, I had pointless stages by adding in tags to capture kind of substages within each of those stages. And I like to make them colored. So it's kind of like if it's red. These are the tasks that sit within this stage of the pipeline. This example was higher Ed. So and when a student in this case is accepted, these are the tasks that sit within that that substage. These aren't linear, so it's not like they can be a stage per action. So we put them as like substage tags underneath. And then once that task was completed, it it went changed from red to green. And we managed this with tasks. So creating tasks for the. That the the different task tags and um. Using that to drive creation of the different red or green based on a standardised task title and then the status of that, whether someone Internet or not. I don't know if that was a good description, but yeah, not just this hack. There's, there's many of them. Like I say, broken down into the different areas are tools of HubSpot. And if there's something that you're hoping to achieve that you don't see on here, then we all love a challenge. So reach out and I'm sure we can figure out. Had to solve it.
If you listen to your customers, they will eventually tell you exactly what problems they have, and what they want.
Well, you spoke and we listened!
Introducing Agilepitchs 2 way sync with HubSpot.
Starting with tasks, Agilepitch will now automate tasks directly within HubSpot, and also sync deal health, key risk and custom tasks.
In the example below, you will see an example of Agilepitch creating, managing and closing all tasks within HubSpot. No need to prep for the next day with using Agilepitch. We got it covered.
One of the core skills I developed scaling Storylane to $10M ARR:
Pattern recognition.
For example:
I read every phone notification I get.
- Slack
- Linear
- Whatsapp
- Gmail
- LinkedIn
- Intercom
- Hubspot
- Everything.
Phone stays silent. I scan notifications regularly.
After years of this, I recognized the pattern of routine notifications. When something breaks that pattern, I can easily spot it.
Just last week it helped me catch a critical HubSpot integration issue in 30 minutes. What normally would have taken 2 weeks to escalate, I spotted immediately.
How you build this?
Consistent daily input over months.
The progress looks something like this:
Week 1: Everything looks like noise
Month 3: Exceptions become obvious
Year 1+: You act on instinct
The faster you spot anomalies, the faster you can act.
Yes, it takes time and effort.
But this allows you to move faster and save everyone's time.
Pattern recognition is extremely underrated.
Warning: Want to clone a record? Don't use the "clone record" feature unless you want a blank record with a name that just happens to match the original.
HubSpot's cloning feature is solid for standard opjects however when you clone a custom object's record it just makes an empty shell of the original with no value/data carrying over to the new record. This applies to both the properties and associations.
Why bring this up instead of highlighting a cool feature HubSpot CAN do?
Learning from other's mistakes is equally as valuable (and saves time) as highlighting new features that one can use.
What's something that you think others should be mindful of when using HubSpot?
Any features you think need specific attention?
Want to learn how to use Custom Code Actions in HubSpot?
But have 0 knowledge of how to code? Then this is for you!
When they launched, I thought Custom Code Actions were amazing.
Like, you could write your own code and have HubSpot basically do *anything* in a workflow!
The annoying part: I didn't know anything about how to write code.
Sure, I had dabbled a bit in HTML/CSS, and I could kind of understand some of the terms and things happening in a block of JS, but don't ask me to write it!
My first CCAs were written by a developer partner of the agency I worked at. 20+ hours including project management, briefing, etc. etc., for a simple Record Association action.
I remember contemplating going all-in on a Javascript course at Codecademy or similar just to learn to be able to do this.
But then ChatGPT and its contemporaries came around!
I still won't say I'm a developer, not by a long shot.
But with the right mental models and instructions for GPT to write them, I now make CCAs in a blink.
This Friday, I'm going to show you my methodology for writing CCA's that are robust and safe, do what they need and follow coding best practices, without having to learn any coding!
So if you're a #HubSpot consultant or admin without developer knowledge, and want to learn how to use CCA's to automate anything in your HubSpot, sign up for the Sprocketeer Power Hour using the details below!

🔎 Managing Associations in Bulk
Tired of editing associations one by one in HubSpot? Now you can bulk-remove associations from up to 10 records at once. This update streamlines data clean-up for companies and contacts, eliminating manual effort and freeing up your team’s time.
Currently available for deletions (limit of 10 records), this feature works across all Hubs and tiers, with expanded capabilities on the horizon.

🚨 New episode of How I Fixed Your Data is live! 🎙️
This time, I sat down with Jasper Meurs, HubSpot consultant and Koalify 🐨 fan, to tackle a challenge unique to the higher education SaaS space:
When US universities use subdomains for each department (e.g. math.university.edu, business.university.edu), HubSpot creates separate company records for each one. The result?
❌ Hundreds of duplicate company records
❌ Broken reporting on product adoption
❌ Manual merges that wasted hours
💡 In this episode, you’ll learn:
✅ Why subdomains cause chaos for CRM data
✅ How Jasper used rules in Koalify to automate merges
✅ His domain length calculation hack to identify the main domain
✅ Why Jasper prefers a phased approach with spot checks
✅ The balance between automation & manual review for edge cases like multi-campus systems
The results?
✔️ Lightning-fast duplicate cleanup (minutes instead of hours)
✔️ Accurate reporting on institutional adoption
✔️ Happier clients with cleaner data
If you’ve ever wrestled with duplicates in HubSpot (especially when subdomains are involved) you won’t want to miss this one.

I had a great time joining Jonas De Mets on Koalify’s show How I Fixed Your Data 🎙️
We dug into a problem I see all too often in higher ed SaaS: when every university department has its own subdomain, HubSpot treats them as separate companies. The result? Duplicates everywhere, messy reporting, and a lot of wasted time.
In the episode, I walk through how I tackled this challenge with Koalify:
- Automating merges with smart rules
- My domain length hack to identify the real parent domain
- Why I always mix automation with manual spot checks for edge cases
The payoff: cleaner data, better reporting, and clients who finally trust their CRM again.

🚀 HubSpot just introduced a brand-new Project object and I am going thru it in my newest video.
It’s still early, and a few things are missing for now, but I’ve already seen features in development, including:
📝Subtasks
📝Project dependencies
📝Project task cards
📝Project templates
I’m really excited to see how this evolves and where HubSpot takes it next!

🔎 Improved Organisation & Search of Workflow Variables
This update makes HubSpot workflows far easier and faster. Before, finding variables or action data from earlier workflow steps meant digging through hidden dropdowns that most people didn’t even realise existed.
Now, everything is clearly organised and visible, so you can quickly see and reuse action data in the next step. Combined with improved search and smarter suggestions, this update reduces frustration, saves time, and makes workflows more accessible to everyone - not just advanced users.

The team’s been moving fast at Hintible. We just rolled out batch video recording straight from HubSpot tasks.
Why’s that a big deal? Because recording 1:1 intros used to feel like a grind. Now, a rep can knock out 25 personalized clips in just a few minutes, each automatically tied to a Hintible journey.
No juggling tabs. No losing context. Just crank through tasks, and every prospect gets a video that feels made for them.
This is how you scale personalization without burning out your team.
