Even a small shift in utilisation rate can move the needle on profitability. A simple driver-based model in Excel helps quantify this impact clearly. How to build it: 1. 𝗗𝗲𝗳𝗶𝗻𝗲 𝗞𝗲𝘆 𝗗𝗿𝗶𝘃𝗲𝗿𝘀 – Inputs like total headcount, billable %, average billing rate, and average cost per resource. 2. 𝗖𝗼𝗺𝗽𝘂𝘁𝗲 𝗥𝗲𝘃𝗲𝗻𝘂𝗲 𝗮𝗻𝗱 𝗖𝗼𝘀𝘁 o Revenue = Headcount × Utilisation × Billing Rate × Working Days o Cost = Headcount × Cost per Resource × Working Days 3. 𝗖𝗮𝗹𝗰𝘂𝗹𝗮𝘁𝗲 𝗠𝗮𝗿𝗴𝗶𝗻 – Margin % = (Revenue – Cost) / Revenue 4. 𝗥𝘂𝗻 𝗦𝗰𝗲𝗻𝗮𝗿𝗶𝗼𝘀 – Use Excel’s Data Table or Scenario Manager to simulate utilisation changes (for example, 70%, 75%, 80%) and see the margin sensitivity. 5. 𝗩𝗶𝘀𝘂𝗮𝗹𝗶𝘀𝗲 𝗜𝗺𝗽𝗮𝗰𝘁 – Insert a simple line or combo chart showing how each 1% change in utilisation affects margins. This structure helps business finance teams communicate the financial leverage of utilisation to delivery leaders and drive better decision-making.
