Profile Management is a new tool in BFS that will be used to maintain user profiles. Access to manage user profiles will be granted via SARA. Currently, the Profile Management functionality is designed to populate user profile values in BearBuy. How it works
Access to updating Profile Management is by role. Permission will be requested via SARA. Profile settings can be set up by individual or as groups (note that a single user cannot be in both). Multiple values can be populated in each area and one value designated as the default value. Values can be deleted from the profile or inactivated in the profile. Profile values are active in BearBuy upon save in BFS. BearBuy users are not restricted to use the profile values. They are able to select values not in their profile. If a value (such as fund) becomes invalid, the system will mark that value as not active in Profile Management * (Testing is ongoing for this functionality). Each change to Profile Management is recorded with the name of the processor and date. It is easy to see who changed the records. Data in a profile can be exported to Excel
Considerations
Departments need to consider how they set up users who have activity in multiple administrative departments (due to limitations of group profiles). A user can update their profile values directly in BearBuy. It is possible for the user to override the profile settings set up in Profile Management and the changes will persist until the next refresh from BFS.
