Sample Questions

Evaluate the following for tone, courtesy, clarity, consideration &organization and state
what needs to be improved and make the necessary changes:
(10 marks)
In your letter that accompanied the return of your leather jacket, you claim that the jacket came
apart at the seams and that you want to be reimbursed for the total cost of the jacket. Please
understand Ms. Rao, that leather jackets need a great deal of care, and if you give them that care,
they will last for many years. The sales tag on the jacket clearly states that it must not be
stretched or exposed to high heat or bitter cold. Our alterations team investigated your claim and
determined that the seams were indeed not secure and they would have split apart with little
movement. This obviously supports your claim that the damage was caused by a defect in
workmanship. Therefore, we are enclosing a cheque for the complete amount of the jacket.

Identify and briefly discuss the communication barriers in the following situations:
(10 Marks)
1.
My boss will fire me if I tell him/her about what happened in my division this
afternoon.
2.
I am sick of this. As soon as I am just about finished with a project, I get six
more to complete.
3.
This room is an awful choice for delivering a talk. There is a lot of
discomfort and distraction.
4.
In this office nobody tells me anything and nobody listens to what I have to
say.
5.
I am having a splitting headache and I have to attend a meeting today.

For each of the following situations given below, identify the direction/type of flow of
communication. Choose the most appropriate form of communication for each situation
and give reasons for your choice.

i.
The President of Expert Engineering Corporation has just come back from his
international tour and wishes to share some important information with
everybody in the company.
ii. Your close friend and fellow officer Mr. Mehra wants to share with you, in the
company canteen, some unhappy incident that occurred this morning.
iii. As a director of Internal Communication, you want to convince the top
management of the need for a company newsletter.
iv.
The supervisor of the production unit of a company needs some immediate
clarifications from his manager on a proposal he has to submit.
v.
As a marketing manager you want to help employees understand the
companys goals and its attitudes towards workers.

Evaluate the following adjustment letter: Consider tone, organization, clarity and
completeness. Rewrite the letter incorporating the necessary changes. (10 marks)
Hello Mr. Sharma!
I am responding to your letter of about six weeks ago asking for an adjustment on your
wireless hub model. For your information, we test all our products before they leave the
factory; therefore, it could not have been our fault that your hub did not work.
If you or someone in your office dropped the unit, it might have caused the damage. Or,
the damage could have been caused by the shipper if he dropped it. If so, you should file
a claim with the shipper. At any rate, it wasnt our fault. The parts are already covered by
warranty. However, we will be able to repair your unit at a charge of INR 500/- only.
This is a discounted cost for you since you are a valued customer.
We will have a booth at the upcoming trade show and hope to see you or someone from
your office. We have many new models of hubs, routers, and other computer gear that we
are sure you will want to see. I have enclosed our latest catalogue. Hope to see you
there.

Evaluate the effectiveness of the following letter for tone, clarity, completeness, courtesy,
correctness and tactfulness and rewrite the letter with the necessary changes:

Dear Sir
I am very angry because the camera I bought last month is not working properly.

I bought the camera in a shop in Nathan Road near McDonalds. The shopkeeper said that it was
very good and powerful. It was a very expensive camera. When I returned home and tried to use
it, it was not good. I am very disappointed.

I think your shop is cheating me and I am going to lodge my complaint to the Consumer Council.
I will never buy anything from your shop again. Please reply to me at your earliest convenience.
