Minutes of the OJT Pre-Orientation Seminar on January 15, 2016 at BE 107, 4:05 PM.

I. Roll Call
To ensure genuine attendance, the participants of the pre-orientation seminar
wrote their names together with their signatures in the pre-given attendance sheets.
II. Introduction of the Guest Speaker
The speaker of this event is Engr. Showna Lee T. Sales

The following were discussed by Engr. Sales:
Importance of attending the Pre-Orientation Seminar:
It is important that those students who are qualified for OJT Program or at
least feel like they are qualified to be enrolled in the OJT Program this
summer to take part and attend this event for failure to do so would deem
them not allowed to enroll for OJT this summer 2016.
Important points that were stressed out:
Requirements to secure: Medical Certificate
Form 1 and Students Evaluation Report duly
signed and evaluated by the office of University
Registrar
There was a new resolution from the office of the University Registrar
mandating that for a student to enroll in the OJT Program this summer
2016, one must first ensure that he/she has already secured passing grades
in all of his/her 4th year subjects , as outlined in the curriculum he/she was
in. Pending grades (NGs) are not accepted.
To defend students, the Dean of the College of Engineering has already
sent letter of request to allow students who have at most 4 subjects to go
(including subjects with NGs), to still be qualified to enroll in the OJT
Program. This is however, not confirmed yet for the Deans office is still
waiting for the response from the Registrar.
Whatever is the decision of the office of University Registrar, the one to
be followed ultimately; so it is strongly advised that those students who
have NGs comply their requirements before enrolment.
Points to consider by the students in securing a host company for OJT:
It is important to verify first with the company whether they accept On
the Job Trainees for summer 2016 or not.
Students must only select from the list of companies that were already
verified by the Civil Engineering Program. Students should therefore
avoid companies that were blacklisted in hosting OJT Program.
It is also strongly recommended to have at least 2 options in selecting
company.
Students should ensure that the companies they have applied for have
an outlined OJT Program for trainees, concrete and detailed
manifestation of real life application of what was taught in school and
beyond that. Students should make sure that the company would train
them in the fullest of their ability in the different fields of study in civil
engineering.
It is important that the company which has given the student an
affirmative response be able to sign MOAs and MOUs. The company
must be able to provide supervisor who can directly supervise and
guide the student. The company must also be able to give contact
details of that person who would be the immediate superior of the
student. These pieces of information should be gathered by the student
and be submitted to OJT Coordinator for verification purposes.
The Program Head of Civil Engineering personally deploys students to
the workplace and randomly visits the site to check the students
performances, so it is strongly advised that students apply to
companies which are based inside Davao City only. Companies that
are outside Davao City are not allowed.
Students should bear in mind that the OJT Program will run two
hundred and forty (240) hours in total. Strict checking of attendance,
monitoring of time in and time out is to be expected. The students
should only be working eight (8) hours each of the thirty (30) working
days.
To ensure that unbiased monitoring and evaluation by the personnel in
the company to student is observed, direct connection to the company
the student will be working in is not allowed. Direct connection means
that the student has an immediate relative/s that is/are also working
with the company.
To ensure due diligence, the students must also refer and stick to the
guidelines outlined in the OJT Manual. The OJT Manual provides
procedures, evaluations and sample forms that are all beneficial and
imperative to students. These forms must be all filled out by the
student, immediate supervisor and OJT coordinator, as necessary.
Questions that were raised:
To ensure better understanding, Engr. Sales encouraged the students to
ask questions and clarifications:
How soon is it to give out the name of the company which has
already accepted the student upon applying?
Response: As soon as possible. Due to the influx of students eyeing
for the OJT, it is recommended that the student must secure a slot
in the company by preparing to-be-signed MOAs and all the
necessary documents and requirements ahead of the enrolment
period. There will also be an ample time for the OJT Coordinator
to evaluate the application of the student and verify the company,
so should there be problems; at least the student can still have the
time to look for another company and prepare.
I have only 1 subject left for me (one that has NG) to enroll in OJT.
Would it be possible for me to comply my NG requirements or just
re-enroll this subject while I am on OJT?
Response: Please bear in mind that all requests must be submitted
to the office of the Registrar directly. Requests that need the
signatories of Program Head or anything as such are no longer
entertained. Also, enrolling subjects simultaneously when you are
not yet about to enroll CE 500 is no longer allowed. So then,
instead of asking ask for favors and considerations, just tend to all
your uncompleted requirements for it might work wonders and
make you able to enroll in the OJT Program.
Is it possible for us to collect data for our research while on OJT?
Response: Hitting two birds in one stone. Yes. As long as there is
a person who will supervise you while collecting data for your
research.
What does all 4th year subjects mean?
Response: Comprehensive subjects from 1st year to 4th year with
passing grades and no pending grades.
IV. Checking of Attendance
Before letting the students go, Engr. Sales called out the names that
were listed on the attendance sheet to ensure that the students have
really stayed from the start of the seminar until the end. This was
also to certify that these students were really present in person.
