each allocated mark. This means one needs to write 15 lines with 5 well expressed points
to get high grades for a 5 marks question.
For high grades use examples and illustrations where appropriate.
1- Human Resources department have a lot of responsibilities, all related to
personnel management. This department responsibilities include recruiting and
selecting people, evaluating, training, compensate employees, deal with conflicts,
maintaining good relationships between coworkers and departments and deciding
strategies, principles, functions, activities and methods used to ensure satisfaction
and the best conditions so all employees can use their value to maximize the
organization production decreasing waste and cost so the company can beat
competitors. This department nowadays is mandatory in every organization and it's
becoming more and more important to increase employees value (skills,
knowledge, abilities, ideas, creativity, knowledge and talent) through training and
development (empowerment programs, quality initiatives, meetings, focus groups,
orientation, lectures or even audio-visual methods, and many other activities) so
every single person or group in the organization can evolve become more
important, rare, incomparable and reach their potential to be easier to correspond
and achieve the organization objectives, mission and goals. First, HR department
need to know very well the organization goals to recruit and select the most
suitable people for each job available between every candidate (internal or
external), then assure they evolve their capabilities to increase like explained
above, grant employees get paid according to their function/ work done, their
satisfaction, their benefits or compensation (if needed for example when someone
is injured on the job), their relationships between their superiors and them or even
their peers (if they have a conflict like when two employees start an argument and
can't reach an agreement on their own) and also keep records of everyone in the
company. Employees are the most valuable asset in a organization but they are
also the more expensive so Human Resources department is crucial to deal with
every single workforce problem, worry or conflict so a company can increase public
image, achieve their goals and increase.
2- Human Resources Management have several objectives to help an organization
reaching their goals mostly helping to manage workforce (the main responsibility of
this department). The HR management needs to motivate and make employees
able to achieve the established goals on proper time, create a solid structure to
improve working relationships (for example doing group/ department activities
helping individuals to integrate more easily on the company), ensure everyone has
the same and right opportunities to prove their value and to grow within a group or
achieving their personal goals, ensure salary are fair and paid on time to grant
employees satisfaction and come up with a structure of benefits and incentives to
motivate them to do better everyday allowing recognition/ prestige and to be more
easy to achieve the organization goals, assure employees feel secure and
protected (for example creating a way to grant fast health care in case of any
accident occurs and to have a security team), create specific day or week
challenges to increase employees competitiveness and will to win especially if they
are a little behind on the schedule to accomplish goals, maintain employees morale
and satisfaction to work in the company by improving conditions and facilities,
provide training programs to develop skills, abilities, knowledge so departments
can work better and faster to reduce production costs and maximize productivity to
gain longtime profit and to beat similar market competitors, try to have an effect in
society (city, region or country) helping to reduce unemployment, under-
employment and granting equal gender opportunities (for example paying women
the same wage a men receives, which is a big problem in most of the world
regions), offer opportunities to employees feel part of the management, hearing
them and their ideas can be very beneficial to find gaps and to insure problems
don't occur and to know how they feel their jobs could improve (for example doing
anonymous surveys with closed-ended and open-ended questions) and mostly
ensure management runs smoothly (in a efficient and effectively manner) with a
good company atmosphere and employment stability with good conditions and
facilities to keep growing constantly in the market.
3- Human Resources are responsible for the recruitment of new employees or
promoting/ changing, already employed people, from their tasks and this can be
crucial and very difficult as they need to search, find and hire the best people
available, analyze their qualities, abilities and skills and put them in the right
positions to produce more with fewer resources, to do that HR department needs
to know how many jobs are needed and the available positions to fill with certain
skill sets employees. The main objectives in recruitment are attracting people with
a large amount of skills, knowledge, abilities, ideas and experiences that suit the
organization mission, goals and values. Also find new people with different ideas
and perspectives to improve the workforce already put in place, who are competent
and preferable rare and with unconventional and unique talents to gain advantage
in the market the organization is inserted. HR also need to design wages that
compete on quality and even anticipate anticipate new positions that might become
available (for example an employee who might retire soon) and find new people for
those positions and train them to maintain or preferably increase production.
Unfortunately, recruitment is influenced by internal and external factors, one of the
most important internal factors to have in mind is the company policies and
practices and the budget available and to have a detailed job description (with the
functions needed to perform and the skills/abilities needed) that is a legal
requirement. External factors that affect recruitment include the laws and
regulations (constantly changing), ethical to ensure a recruited person follows the
internal guidelines and philosophy and the practical reasons because the world it's
constantly mutating/evolving and so is the labour market and economy, it's
important to always have updated information.
4- Training and Development are related because both serve to improve the
performance and productivity of employees but it's still two indispensable different
things that Human Resources department are in charge of. Training is related to
programs organized by the company to teach skills, new functions, abilities, and
knowledge to new employees (increasing their value) so they can work more
effectively, to develop their competences and improve their performance so they
can demonstrate it while executing their work functions. Training and developing
employees it's a HR responsibility and they need to do this programs as quickly
and economically as possible, and following some criteria like explaining what an
employee should be able to do after the training, be specific and clear what is
expected of them, calculate the amount of time needed to accomplish the goals
and it's as to be precise and possible and also the language used in those trainings
should be clear and easy to understand (for example “after this training, employees
will be able to use the new machine that is coming next week and work two times
faster than using the old ones and should be able to develop a new working skill…
calculate the exact amount of resources needed reducing the waste). So training
develops certain skills in s short period and development is concerned about the
overall growth of the employees in long term, so it's more career oriented and
instead of teaching a new skill, develops a certain amount of skills (for example to
execute a different and new function on the organization), development training it's
also made to improve attitudes and personality so an employee can for example
manage a certain department and a group of people so they can work in higher
assignments. An example of developing skills it's when an employee is promoted to
assist for example the manager so he or she can learn all about it in a year so
when the company expands to another area he or she can successfully and
efficiently manage it without many problems or doubts.
