Cheques
User Guide

Introduction
In order to get the most out of this manual, it is essential that you are familiar with the standard
procedures regarding navigating your way around the system. This includes items such as program
access via menus, data entry and editing, mandatory and multi-level fields, committing details, and so
forth. All of these are described in detail in the Navigation Manual.
Cheques
Overview
T24 facilitates Stock maintenance, Issue and processing of cheques (presentation, clearing, returns
and stopped cheques) by the cheque types registered on the system.
The menu is structured in such a way to facilitate defaults where possible and also highlight the
required fields.
The files listed below are in essence the main / high-level parameter files within Model Bank. It has
been decided to include these under a separate parameterisation menu. These files will be set up
during implementation and as such the actual end users would have very little need to access them on
a daily basis.
Cheques menu
Receipt of Stock
This process enables the bank to register in T24, the stock of cheques available for issuing to their
customers. The same process can be used for transfer of stocks to branches as well. To input Stock
of cheques into the system you need to access the following menu in Model Bank:
Stock Series1 -In this field the stock series can be specified. In STOCK.REGISTER, stock series,
stock account number and cheque type as entered here will be used to form the stock series Id.
Stock Acct No.1 -Give a valid record from ACCOUNT application. When the stock is transferred to a
customer account, then the account number is specified here.
Stock Start No.1 - Holds the starting number of the stock series. The start number as entered here
will be stored in STOCK.REGISTER with the stock series id.
Receipt of Stock
1. Select MB User Menu> Retail Operations>Cheques> Receipt of Stock and enter the required
sequence number.
2. The system positions your cursor for entry on the first field.
3. Enter all the necessary fields as detailed below, the ones marked on the input screen with an “*”
are mandatory.
4. Field wise Help text is available and can be accessed by placing the mouse pointer on and
clicking on the desired field.
An example transaction of receipt of savings cheques from printing department is given below:
Note: For transfer of Cheque Stock from HO to Branch the field “From Register” will be populated with
CHQ.GB0010001 and the “To register” will have the branch’s register.
The Authorisation/ Deletion of Stock follows standard Model Bank process. To do this, the following
menu needs to be accessed:
Upon selecting the above menu the system will open up all the unauthorised entries as shown below:
To authorise a transaction select the button , the system will open the screen as shown
below:
Once the user is satisfied that the transaction should be authorised simply click on the key at the
top of the screen.
To delete a transaction select the button , the system will open the screen as shown
below:
Once the user is satisfied that the transaction should be deleted simply click on the key at the top
of the screen.
Cheque Issue
To Issue cheques to an account (i.e. a cheque book needs to be issued to a customer to enable them
to issue cheques drawn on their accounts held with the bank) in model bank, the following menu
should be accessed:
The user then needs to enter the account number/ ID that they wish to issue the cheques against (see
point 2 below) in the input box and upon selecting the following screen will be displayed:

Number Issued - Specifies the number of cheques being issued. Defaults to the default quantity held
on CHEQUE.TYPE (DEFAULT.ISSUE.NO) for this cheque type.
Stock Reg ID- In this field valid stock register can be entered and if entered next field (Series id)
becomes mandatory. On entering a valid stock register and series id in CHEQUE.ISSUE, system
defaults Starting cheque no from the appropriate record in STOCK.REGISTER and changes the range
of stock numbers.
Stock Series ID - This field is used to enter the series id of the stock register.
Starting Cheque No - Holds the starting number or the cheque number of the first cheque in the
cheque book.
Waive Charges - This field is used to waive the cheque issue related charges.
If waive charges specified as "YES", then all charges relating to cheque issue will be made as 0.
Charges - Defines the charges due for the issue of cheques.. The amount defaulted may be
overridden with any other required amount.
Charge Date - Specifies the value date for online charges raised by the issue (if any). Defaults to the
issue date.
Charge Code.1 - This field is for inputting additional charges, if any, related to various stages of
Cheque Issue, which will be debited to the customer account as on transaction date.
Charge Amount.1 - The charges are defaulted from the parameter file. Can be overridden and an
override will then be recorded.
Issue of Cheque
1. Select MB User Menu> Retail Operations>Cheques> Issue Cheques, figure 6 will be displayed.
2. Enter the ID. The id consists of “Cheque Type–Account No”. The system will automatically append
the next serial number.
3. The system positions your cursor for entry on the first field. Enter all the necessary fields. Help text
is available by clicking on the actual field name.
4. Once the user inputs the value in Cheque Status – 90 for cheque issue, the system opens the
appropriate fields for input, figure 7. It also defaults the Issue Date and Number Issued fields.
5. On input of the field STOCK.SERIES.ID, system will populate the Cheque Number to be issued.
6. When everything has been completed select the key at the top of the screen.
The Authorisation / Deletion of the Issue of Cheques follows the standard Model Bank procedure
already explained in this document and this is done by accessing the following menu:
T24 allows the user to record Stop Payment instructions for Cheques either by the number of the
cheque or by the amounts. It is also possible to specify a series of numbers should an entire cheque
book be lost. Charges can also be levied against such instructions by using appropriate charge codes.
To execute a stop payment of a cheque in Model Bank the following menu should be accessed:
Payment Stop Type - Specifies the reason why a Payment Stop is requested.
Validation Rules
1 or 2 numeric character Payment Stop Type code
First Chq No
Last Chq No –
Identifies the first in a range or, if LAST CHEQUE NO (Field 4) is not entered, the only Cheque
Number which is being stopped.
Stop Date - Specifies the date on which the Payment Stop is placed.
Validation Rules
Up to 9 type D date characters (Date format in range 1950 to 2049).
Amount From
Amount To
Specifies the Amount from which the Payment Stop is effective.
This field is used, to specify the amount of the cheque(s) which are to be stopped. If AMOUNT TO
(Field 9) is also input, then all cheques with amounts between or equal to the two values will be
warned on-line as suspect stopped cheques and will request an override message.
Waive Charge – Input of 'NO' charges are collected input of 'YES' charges are to be waived on this
PAYMENT.STOP.TYPE. If there is no input defaults to 'NO'.
Charge Code - If populated then charges as per this charge code/codes will be calculated and the
charge code/codes attached to the PAYMENT.STOP.TYPE will be ignored.
Validation Rules
Charge Account – The charges are booked into this account If not populated then the customer
account gets defaulted.
Charge Amount - The charge amount, Facility to define any amount other than the defaulted charge
amount is also available.
1. Select MB User Menu> Retail Operations>Cheques> Stop Payment of Cheque, the screen figure
9 will be displayed.
2. Enter the account number for which the stop payment is recorded.
3. The system positions your cursor for entry on the first field.
4. Enter all the necessary fields. Help text is available by clicking on the actual field name.
5. When everything has been completed select the key at the top of the screen.
An example transaction of Payment stop is given below. As per this record, the system would stop
payment of cheques 100033, 100034 and 100035 and a charge of USD 150 would be debited.
The Authorisation / Deletion process is the same as defined for Receipt of Stock Entry. Upon
accessing the menu the system will display the list of unauthorised Stop payment transactions. The
user can select a record for deletion or authorisation by selecting the corresponding button and is
accessed via the following menu:
To Revoke a Payment Stop (i.e. to revoke an instruction to stop payment of a cheque), in Model bank
the user needs to access the following menu:
Chq Nos to Revoke - In this field the cheque number is entered - for which the payment stop
instructions are to be REVOKED. Either Individually or a range of cheques - specify the start and end
range of cheque Numbers
Validation Rules
The cheque number already instructed for stop payment can only be input here.
Cheque Type - The CHEQUE.TYPE to which the cheque number entered in the field previous field
(MOD.PS.CHQ.NO) belongs to is input here.
Validation Rules
(1) The type input here should have existed in CHEQUE. TYPE
Stop Revoke Date – The date on which this instruction is revoked, if it is a future date it will be
revoked only on that date.
1. Select MB User Menu> Retail Operations>Cheques> Revoke Payment Stop, Upon entering the
account number for which the stop payment is revoked and selecting , figure 11 will be
displayed.
2. The system positions your cursor for entry on the first field.
3. Enter all the mandatory/necessary fields. Help text is available by clicking on the actual field name.
4. When everything has been completed select the key at the top of the screen.
Authorisation / Deletion process is the same as defined for Cheque Issue and Receipt of Stock Entry.
Upon accessing the menu the system will display the list of unauthorised Revoke Stop payment
transactions. The user can select a record for deletion or authorisation by selecting the corresponding
button and is accessed via the following menu:
Enquiries
Stock Register
This enquiry lists the entries in the stock register and is accessed via the following menu on Model
Bank:
The user can click on , and list all the records or input criteria and then select
Cheques issued
This enquiry lists the Cheque Issue records and is accessed via the following menu on Model Bank:
The user can click on , and list all the records or input criteria e.g. CHQ.TYPE or ACCOUNT.NO.
The user can further drilldown to view the Cheque Issue Record by selecting the
button .
Cheques Presented
The table CHEQUES.PRESENTED will be updated, when a cheque number is input in the TELLER or
FUNDS.TRANSFER transaction. The system will validate whether the input cheque exists in the
CHEQUE.REGISTER. An override will be thrown if the inputted Cheque does not exist in the Cheque
Register otherwise the Cheques Presented will be updated.
This enquiry will list out the Cheques Presented and is accessed on Model Bank via the following
menu:
The user can input the Account No and click on , the output screen will be as given below:
Returned Cheques
This enquiry will display the list of Returned cheques. For this enquiry to display the user should have
input the Returned Cheque Numbers in the Cheque Register record and is accessed via the following
menu on Model Bank:
The user can input the Account No and upon selecting , the output screens below will be displayed:
To drill down further and view the Cheque Register record as shown below, the user should click on
the button .
Stopped Cheques
This enquiry will display the list of Stopped Cheques and is accessed on Model Bank via the following
menu:
The user can input the Account No and upon selecting , the output screens below will be displayed:
To drill down and view the CHEQUES.STOPPED record select the button .
Reversed Entries
This enquiry will display the list all Reversed Entries and is accessed on Model Bank via the following
menu:
The user can then select the key which will display all Reversed Entries.
To drill down and view the Reversed Stock Entry record select the button .
