IUB Course Enrollment Process Analysis

The document analyzes the student course enrollment process at Independent University, Bangladesh (IUB) and proposes improvements. It finds that the current process can take 1-5 hours and directions are sometimes confusing. A new iRAS V1 system reduced registration time to 5-10 minutes but still has room for improvement. The document recommends adopting Extreme Programming (XP) from Agile development to streamline the process further. With XP, students would be able to enroll from anywhere, register courses faster, and get improved online help and communication of requirements from the university.

As an analyst, considering IUB as an example, select an idea which could improve student
level of satisfaction with the course enrollment process. Currently,
• Can students enroll for classes from anywhere?
• How long does it take? Are directions simple to follow?
• Is online help available?
• Next, think about how technology can help support your idea. Would you need
completely new technology? Can the current system be changed?
You need to critically analyze the scenario and attempt to respond the above-mentioned
questions.

A systems analyst, also known as business technology analyst, is an information technology (IT)
professional who specializes in analyzing, designing, and implementing information systems.
Systems analysts assess the suitability of information systems in terms of their intended outcomes
and liaise with end users, software vendors and programmers to achieve these outcomes. [1] Before
acting as an analyst at IUB, we should need to know what kind of skills they need. Skills required
for analyst-
1. Technical skills
2. Business skills
3. Analytical skills
4. Communication skills
5. Presentation skills
6. Interpersonal abilities besides managing people
7. Privacy and confidentiality of information

Students of IUB can enroll anywhere around the world with a stable connection of internet.
Before the pandemic (Covid-19) students preferred to enroll the courses using IUB library. After
this pandemic, students are forced to enroll their online courses of IUB from their own home.
For the registration of the courses, IUB make different slots for students and upload it in their
official website. Students usually get them from IUB’s group in Facebook media [Figure 1].

Figure 1: IUB registration notice

During the registration, it usually takes enough time to take away the mental peace of
students. They are the worst sufferer of IUB iRAS users. It takes 1 hour to 5 hours to register
courses and it does not guarantee the students if they would be able to take their desired courses
or not. Though the directions are easy to follow, but requirements repeatedly change, and students
get confused sometimes. After this pandemic, students had to register staying at their home. They
did not face much problem registering for the semester. In fact, they were able to register courses
within 5-10 minutes using new iRAS system.

There is helpline for students are IUB library, accounts office, program office, admission
office and registrar office. Students do not easily get help from IUB registrar office in offline let
alone online platform [Figure 2]. But IUB library helps students to their best both in online and
offline. IUB accounts office also helps students making any adjustments or clearance [Figure 3].

From the above-mentioned pros and cons of IUB student enrollment process, we find out
some issues that might get better. We need to explain what methodology is IUB using for their
student enrollment process. We think they are using Iterative Development from Rapid
Application Development (RAD).

Figure 4: Iterative Development - RAD

Iterative development breaks the entire project into a series of versions that are developed
sequentially. We know that we have old iRAS and new version iRAS V1. The most important and
fundamental version is the first one in iterative development and here old iRAS the one because
we still need it for faculty evaluation or any application submission (e.g. financial aid). It works
as a mini waterfall project in each version where analysis, design and implementation are
necessary. Once the first version is implemented, users can provide their feedback for next version.
After old iRAS’s development, IUB had been note down all the issues the users were having and
tried to make it up through new iRAS V1! They tried to fix the bugs we had faced in the old one.
We get the initial version every time so that the owners can increase their strategic value. They get
6

the requirements and handle them better, though most of the requirements were not fully implied.
So, we must consider the fact that new version might bring the change we want and need to be
patient. They are intentionally incomplete this system to record the reaction and feedback for the
users.

Figure 5: XP Development for IUB student enrollment

As IUB is operating their online enrollment trough new iRAS V1 and it is working fast and
have less bug than the previous one, we suggest using another method for this project. We can tag
along Extreme programming (XP) from Agile development as our new technology. But we do
not have to throw away the previous system, but to improve it is work we need to focus on it to
make it more reliable which can satisfy users requirements completely. This method always
focusses on the streamlining of System development life cycle (SDLC). As the authority really
need to focus on the user requirements and make a good communication with the users to know
their feedback; this method is best suited in these circumstances. Developers will talk to the users
or fellow programmers to know the requirements. This system design needs to be clean and as
simple as possible to use. After gathering all requirements, this system needs frequent testing.
Sometimes developers need to take the initiative to change the requirements and the technique to
make the system works better. This system is works faster than RAD. As the iRAS developers’
team is always kept small, this XP is suitable here. We do not need more than 10 people here. This
method starts with the question ‘what this system needs to do’. The standard of this XP is higher
where confusion decreases. XP will produce the analysis of enrolling students and the
documentation with coding. As IUB is not a business organization, XP is a clear suit here. XP does
not work as business information system development. After implementing this method in our
system-

1. Students will get to enroll from anywhere in this world like the previous one had,
2. Students will be able to register for the courses faster than the previous one. It will be like
one snap system,
7

3. As XP is based on an onsite user development process, students will be able to get help
from online and this system has a clear communication scope and listens to the users’
feedback and requirements,
4. This technology is more reliable than the previous one,
5. This is a technology which is easier to implement and takes lesser time than any other
method we could possibly use
6. Authority can check the schedule visibility anytime they want.

So, according to our analysis, we suggest Extreme Programming (XP) as our new technology to
implement at IUB students’ enrollment process.
