CORPORATE COLLEAGUES: CHANGING YOUR EMAIL

SIGNATURE ON OUTLOOK
STEP 1: Open Outlook, click on ‘File’ > click on ‘Options’.

STEP 2: In the ‘Options’ section, click on ‘Mail’.

Under the ‘Compose messages’ section, ‘Create or modify signatures for messages’
> click on ‘Signatures’ button

STEP 3: Under ‘Email signature’, click on ‘New’ and type a name for this signature.

STEP 4: Copy and paste the template signature on the next page, including the IHG brand bar,
as follows:

1. If you are replacing an existing signature, make sure you delete it all, including the
brand bar
2. First, copy and paste the text copy below
3. And then, copy and paste the brand bar below

NB. Please note that if you copy and paste the signature text copy and brand bar at the same
time, two brand bars will appear in your emails. Please make sure you keep 2. and 3. as
separate steps.

Once pasted, double-check the formatting (fonts and sizing especially). The font
should remain:
 Arial, 10 pt, Bold for employee name and IHG. Signature Orange for Name.
Black for IHG Hotels & Resorts,
 Arial, 10 pt, Cool Grey for job title, office address and telephone numbers
The IHG brand bar always needs to be part of the corporate email signature. Please do not
change the colours, fonts, font size or signature style. The signature should not use the colour
version of the brand bar. Below are two examples for our Ravinia + Denham offices; please
adjust accordingly with your local contact information.

STEP 4: Click Save, to update the signature with your personal contact details.
STEP 5: Delete your previous email address and set up the new one as a default
signature.

Under ‘Choose default signature’ > select the new signature for ‘new
messages’ and ‘replies/forwards’.

Congratulations! You have a brand-new email signature ready to use! If you have any
