Course/Subject Policies and Guidelines:

The “new normal” has opened up new horizons with new challenges and opportunities in the teaching-learning process in the context of the health and safety standards set
by the Government. The College has adopted the Flexible Learning Modality as an alternative to the traditional face-to-face method. Specific guidelines in conducting online
classes are prepared to effectively and efficiently implement the new methodology.

The implementing guidelines issued last October, 2020 is entitled “Implementing Guidelines for the Conduct of Flexible Online Learning Using FB Groups.” Among the
objectives for its release include the following:
1. to ensure maximum utilization of available resources through collaboration among the faculty members and staff cutting across academic programs;
2. to provide a strong administrative support system for records management, quality management system, data analytics, and other information, documentation and
reports required for submission to management and accreditation bodies;
3. to establish synergy among the core faculty of an academic program and the program chair;

AE 111 IT Application Tools in Business

16

4. to create a healthy and family-oriented working environment for a growing number of faculty members in the different programs;
5. to enhance productivity, job satisfaction and morale of faculty members and staff.

All of these objectives are in support of advancing the interest of the student’s and their parents, as well as supporting their academic welfare and development during the
“new normal.” The implementing guidelines include policies and procedures for both the faculty and the students. The text here focuses on those related to the students
only. It also includes some of the instructor’s personal policies and procedures. These inclusions were not discussed in the implementing guidelines, but are necessary to
address issues created by the suspension of the face-to-face method and the adoption of the flexible online and distance learning approach.

The topics listed include a discussion on how the instructor implements the guidelines with the asynchronous approach the instructor has adopted will also be presented.

1. JOINING ONLINE CLASSES

Only officially enrolled students may join the online class served through an online platform by the instructor. Unofficially enrolled students shall be removed from the class.
By joining the online class, a student agrees to abide by the class policies imposed by the College and the instructor. If a student wishes to drop the subject, s/he must use and
follow the university-sanctioned forms and processes.
The FB groups with PRIVATE + HIDDEN settings. You join the class by invitation, either by me or one of your classmates. In due time, the instructor will review the members of
the group and remove students whose names do not appear in the official list of enrollees provided by the registrar. Group chats are not used as they tend to be very
informal, redundant, and too limiting for the teaching method that the instructor has adopted. The students may create their own group chats and such will not be covered by
these policies and guidelines.

2. CLASS ATTENDANCE
Online attendance shall be checked and graded. Students shall signify their attendance by commenting on the discussion topic posted within the online class platform, or any
means of checking attendance determined by the instructor. Generally, only comments or posts signifying presence within the class period are considered valid and
comments 15 minutes from the beginning of the class period are considered “late.” However, the instructor may, for humanitarian reasons, consider late comments.
The instructor shall, from time to time or depending on the need, schedule a synchronous (real-time online) meeting using video-conferencing tools. Attendance to
synchronous classes shall not be required. As such, all instructional materials served through such sessions shall be made available to all students. However, it shall be the
discretion of the instructor whether to give or not to give credit to students in attendance.
An FB group will be created for the course. There, the instructor will create a post for the day’s attendance. At this time, all comments like “Present” made within the day will

be valid; for now, I will not impose the 15-minute rule or later.

3. ACCESSING ONLINE LEARNING MATERIALS

The instructor shall upload the learning materials to any content hosting web site, e.g., Youtube, google drive, etc. and share the URL link to the content via a post in the class
FB Group page. The learning materials include, but not limited to, topic discussion videos, powerpoint presentations, images, online documents and forms. Any updates to the
same content shall be advised by the instructor. The students shall download the learning materials from the content hosting web site through the link posted.
When the video is created by the instructor, he shall upload the video to Youtube as “unlisted”, which means that it cannot be accessed by anyone who does not have the link,
since if unlisted it does not appear on the search results. Documents and spreadsheets are uploaded to the class FB Group page. Links to content-hosting sites are shared via
a post on the FB group, where the students just simply click the links to access the learning materials and download them.

4. TAKING TESTS, QUIZZES AND EXAMINATIONS

Self-assessment tests shall not be graded. They are designed primarily to enable the student to assess his/her comprehension of the content of the learning materials.
Although it is not graded, it is wise to take them so you will know your level of understanding and can manage your expectations and outcomes about your performance in the
actual quizzes and examinations. Self-assessment test shall be served by the instructor in whatever format s/he deems convenient and appropriate for the course. If the
results of a student's self-assessment test are unsatisfactory, the instructor may provide additional instructional materials to the student.

Online quizzes and examinations shall be graded. They are designed to (1) enable the student to assess his/her comprehension of the content of the learning materials and (2)
provide a basis for computation of the grade of the student and other academic purposes. Students taking quizzes and examinations using the alternative forms because of
poor internet connectivity shall not be penalized. Likewise, the students taking quizzes using the primary form shall not be unduly assigned advantage.
To deter the students from sharing answers or copying during quizzes and exams I impose the following control activities:
1- Enforcement of time limit. The time limit will force the student to focus on their own work, or else they run the risk of running out of time and not finishing
answering all the items.
2- Synchronous quizzes per class. The students in a class will take the quiz or exam at the same time, during the class period they were enrolled in.
3- Different sets are created. Students will also be assigned to sets randomly to prevent any two students getting the same set in multiple quizzes or exams, which
could encourage them to share answers. Using a set not assigned by the instructor will invalidate the test, quiz, or exam and may be penalized depending on the
judgment of the instructor.
The instructor’s policies for online quizzes and examinations are discussed in a separate video presentation, which will be shared in the class FB Group page. If a student

misses a quiz, he/she has the responsibility of requesting a special quiz from the instructor. – Student Code of Manual and Discipline.

5. SUBMITTING ASSIGNMENTS/ACTIVITIES/EXERCISES
The instructor shall create a new post for each activity, including the instructions on how to accomplish the activity and when to submit, and other pertinent instructions. If the
instruction is in the form of an instruction manual, the instructor shall also attach the files. If it is in video format, the instructor shall also provide the link to the online video.
Extensions to deadlines or revisions to the activity shall also be posted via the class FB Group page. Penalties for late submission are outlined in the section Grading System.

6. NETIQUETTE
Students shall observe good manners and right conduct according to the student’s manual issued by the office of student affairs. Thus, when attending a synchronous online
class, proper attire & grooming, respectable speech and demeanour shall be observed. when commenting on discussion topics, the students shall also refrain from using
objectionable language or tones. Students shall refrain from posting inappropriate content in the discussion topics.
Also, part of appropriate netiquette is refraining from calling, texting or messaging to solicit responses to queries and issues from the instructor during off-duty hours, such as
during the evening or very early in the morning.
Violations of the netiquette may be reported to the instructor who shall handle the issue according to the student code of conduct and discipline. The scope of this policy
does not include the separate group chats created by the students for their whatever purpose intended.

7. DATA PRIVACY
By joining the online class, a student agrees to share and allows the use of his or her personal information necessary for the purpose of the teaching-learning process. Such
data shall be handled according to the data privacy act of 2012. Data or information received by the students from the instructor during the term of the course shall be
treated by the students as private and confidential, even after the end of the term. This includes, but not limited to, the content of instructor-created instructional materials
served online.
If a student needs to share data or information from the instructor, a written consent shall be secured by the student. Screen captures that include content of the learning
materials shall also be treated as private and confidential, and thus, may not be shared to other individuals or groups outside of the scope of the subject without consent.
Recording of synchronous classes using the native function of video-conferencing apps or non-related apps, may not be done by anyone other than the instructor.
Basic student data such as the student’s name, student number, email address, mobile number are collected from the enrolment documents provided by the registrar or by
the students. These are kept confidential and are never provided outside of the University or to any University personnel who do not need the data.
As to the data or information that I create, blanket permission through this presentation is given to allow students to:

1- share contents that I created among the members of the class.

2- share comments or answers to questions among the members of the class.
The instructor also requires specific and explicit authority in writing when students need to share video, documents or other materials to students not enrolled in the same
subject or to anyone outside of the academic domain.

8. ACADEMIC ONLINE INTEGRITY

The students shall refrain from sharing answers of assignments, exercises, tests, quizzes and examinations until such time that sharing will not benefit, i.e., affect the grade of
the other party any more. The students shall refrain from “skimming the net” (searching for answers online) while taking graded quizzes or exams. This does not apply when
students are taking self-assessment tests. When working on projects or reports, the students shall refrain from copying verbatim any copyrighted material, which is
plagiarism.
Plagiarism is taking and using another person’s ideas, or way of expressing them, and passing them off as your own by failing to give appropriate acknowledgment. This
includes material sourced from the internet, staff, other students, and published and unpublished works. Plagiarism includes: paraphrasing and presenting another person’s
work or ideas without a reference, copying work either in whole or in part, presenting designs, codes or images as your own original work when they are not, using exactly the
same phrases, passages, or structure without reference to the author or source, and reproducing lecture notes without proper acknowledgment.
The Flexible Online and Distance Learning environment makes it hard for teachers to monitor the students when giving quizzes and examinations. It is also difficult to check if
the project passed by a student is copied from the internet, especially when certain words are replaced with synonyms. And plagiarism-detection software is very expensive.
Thus, to deter the students from sharing answers or copying during quizzes and exams, the instructor imposes the control activities discussed in “Taking Online Test, Quizzes
and Exams.”

9. OTHER STUDENT RESPONSIBILITIES

The students shall:

● procure device/s to connect to the internet, i.e., smartphone, tablet, desktop or laptop computer
● secure an internet connection or use internet cafes
● check the online class regularly for announcements and updates such as the dates for the quizzes and examinations, releases of quiz or exam results, extension of
deadlines for the submission of exercises, activities, or projects, et. Ideally, the students shall check at least on the days and times of the enrolled class period. Also,
so that they can signify their attendance for the day.

race, creed, religion, national origin, age, marital status, physical disability, and sexual orientation.
Research Opportunities in Delivering Flexible Classes:
