2.0. EXECUTIVE SUMERY
In this project, we developed an automated school management system that facilitates the various
activities taking place at the school.
The system developed in the project is a web application. This performs the activities such as
student registering, transcript, report card generation and report card generation and producing
the schedule.
The system facilitates attendance recording by the homeroom teachers and to view reports, to
view status of students by students, teachers and parents. Our solution of the scheduling problem
is very simple.
The scheduler selects a subject-teacher from the database, retrieves all the classes assigned to the
teacher, calculates the load of the teacher which cannot be greater than the maximum load and
selects one of the days randomly based on the number of lessons of the subject, searches a free
appropriate time slot and assigns the slot to the lesson. The scheduler repeats the process until
the load of the teacher becomes zero and all the teachers in the database are visited.
The prototype has been tested with some staffs from the school. It has been shown that the
system effectively registers students along with parental information, easily retrieves information
about a student and generates the required reports such as transcript, report card and timetable.
In addition to generating a feasible master timetable it produces a timetable for each teacher.
Furthermore it has been shown that the system helps attendance recording by the homeroom
teacher and parents can view the status of their children using the Internet. 3.0. Statement of the
problem
 It describes about why do you initiate to do this technology which problem lead you to do
this.

Objectives of the project

What are the goals of a statement of the problem?
 The ultimate goal of a statement of the problem is to transform a generalized problem
(something that bothers you: a perceived lack) into a targeted, well-defined problem; one that
can be resolved through focused research and careful decision-making.

Example
 According to the XY university mission statement, the university seeks to provide students
with a safe ,healthy learning environment> dormitories are one important aspect of that learning
environment, since 55% of XY students live in campus dorms and most of these students spend a
significant amount of time working in their dorm rooms.

4.0. PROJECT BACKGROUND

Include any relevant background information about project
5.0. RATIONALE FOR INSTITUTE INVOLVEMENT (impact if the project is fill)
Explain why the institute should give consideration to the project. What are the advantages and
benefits to society expected as a result of the project and how do they link to TVET strategic
mandate. Explain what the impact will be if TVET does not allow the project.
6.0. PROJECT DESRIPTION
Provide a detailed description of the project. In bullet format include:
 Project goals- what will the project achieve (infrastructure renewal, training aids, research
resources)
 Activities undertaken to achieve the project goals
 Define the project object and highlight the activities to be performed
 Identify the outputs the project including log term outcomes
3
 Timelines including the project start and end dates (when do you expect to undertake and
complete the started tasks and objectives)
 Any known strategic alliances (industry training opportunities)
 Project location

Please describe the proposed technology where to be used or applicable and the criteria for its
selection (if applicable).
 Total project cost/budget including business plan
 Expense of expenditure for proposed technology

It is important to carefully analyze the costs of producing the technology, it helps to understand
how much extra profit is added to the technology customers of users can buy it. Therefore, the
following must be carefully analyzed to calculate the cost.
 Material cost including with bill of materials
 Labor cost
 Expenses cost (miscellaneous)
 Demand capacity how much users may have the technology
 Manufacturing machineries

All machines, tool and equipment should be listed which is used for manufacture samples of the
technology
 Project stakeholders including external partners
4
7.0. IMPACT ASSESSMENT
7.1. Social impact
Specify how the project adds value to other areas of including links to targeted priorities of the
society, pan institutional needs or other objectives such as diversity
7.1. Environmental impact
Discuss what, if any, impacts there are one the environment. Under strategic initiative 4 of the
“The TCAT strategic plan 2012” you must ensure that plan meets the following objectives:
 Provide a safe and healthy environment for institute employees, students and for the
communities where we live and operated by integrating sound environmental practices into our
business decisions; and by establishing quantifiable goals and accountabilities for environmental
performance in accordance with the BC Climate Action plan.

7.3. Technological impact

 Technological importance like productivity, durability simplicity maintainability and so on

7.4. Economical impact

 Economical importance like how much cost can the user save using this technology and
affordability

7.5. Political impact

 How the project able to decrease unemployment rate
 Impact on women empowerment and so on

8.0. STRATEGIC PARINERSHIPS

Identify government or other organizations involved or committed to the project under
consideration. Describe how strategic partnering is able to add value to the project and how it
could capitalize on existing programs and/or services at TCAT or of other government of related
organizations. 5
9.0. Project deliverables (work plan)
Describe the impact on TVET programs and new opportunities. Identify project milestones,
specific deliverables, completion and transferring dates of each and how completion will be
verified. A table format is recommended.

Milestones/deliverables sample table

[date]  Each activity

[date] 2

[date] 3

Etc  Etc
10.0. RISK ASSESSMENT PLAN
Identify and mitigate any risks associated with the project (i.e. overruns, potential cash flow
shortages, possible delays, management considerations, etc.)
Examples of common project risks could include:
 Time and cost estimates too optimistic
 Unexpected budget cuts
 Unclear roles and responsibilities
 Lack of resource commitment

11.0. PROJECT MEASUREMENT METHODOLOGY

Specify how the project will be measured, such as project reporting monthly etc, observation
and/or site visits, 3rd party reporting or any other means.
12.0. PROJECT COMPLETION INDICATORS
 Indicate how you will demonstrate (shop and site test) that the project is complete and has
met the stated objections e.g. event held, reports produced, etc . are there any announcements,
publications, special considerations or communication opportunities once the project is
complete? Describe how testing and validation tasks were performed.
 Describe the plans and strategies used in unit testing, integration testing and system testing.
Address regression testing
 Describe the test plans and provide test procedures for resting critical functions.
 Describe the test tools you used. Whenever possible, involve someone else, such as friends
and colleagues, in the testing and verification process, and include their comments and
observations.
6
 Provide test metrics, such as number of defects found, defect density of the discovered
defects, code and branch coverage metrics. Ideally there should be an analysis describing the
defect injection and discovery characteristics, such as: types of defects, injection phases and
discovery phases
 If your project serves an external customer then you must involve end users, selected by the
customer, in the testing process. Examples of such projects are: community service projects,
project form your place of work, or projects with an external sponsor. For graduate projects
involving the end users in the testing serves as an acceptable validation process.
