Abstract

Lozada
Enrollment System is a stand-alone system built
specifically for School management. It is designed for
the daily activities that occur within i-Tech Senior
High School. Features include Student’s attendance
monitoring, Student Account Management, Student
Profiling and Discipline Recording, and report
generation. This stand-alone system is typically easier
to learn and easier to get started with. Enrollment
System does have some drawbacks. The main drawback is
that some functionality may not be as full functioned
as other software system does.
In developing the aforementioned system, the
proponents used waterfall model which served as the
basis to enhance and develop a fully functioning
system. The findings of the Enrollment system study
were that it makes Student records organized and
minimized the chances of interchanging of devices with
the help of detailed information entered in the system.
It also reduced paper works and saved time for
retrieving data. Finally, it improved the operations of
the i-Tech Computer Education Bago City Inc.

Chapter I

INTRODUCTION

Background of the Study

One of the ripple effects of the stifling competition

for education institutes is the growing necessity for

schools to enhance their mechanisms for better serving

applicant’s queries and objections. This is where enrollment

systems come into play, simplifying and accelerating student

enrollment.

In simpler words, an enrollment system combines all

activities involved in the entire enrollment process and

integrates them into a system. This way, everything happens

in one place, both online and offline. The conversation

happened with the prospects, the pages they are visiting,

their interests and motivations, their personal details, the

meetings scheduled with them to name a few. The overall c

Enrollment system design to manage and centralize

records of students within the school, managing the students

and creating reports are some of its features, but the

researchers planning to modify features that will be helpful

in the I-Tech Computer Education Bago City Inc. Senior High

School.
Objectives of the Study

The system will be developed base on the following

objectives:

Student Registration – The system will store, manage,

and segregate student registration records.

Student account management – The system will manage all

the account records of the students inside the school.

Student profiling – The system will create student

profile and generate it at very presentable and

informative way.

Student monitoring – The system will have some features

that will capable of monitoring students such as school

attendance and school discipline records.

General Objectives

This study aims to develop an enrollment system with data

analytics.

Specifically, it aims to

 Design a system that filters data according the needs

of school registrar in terms of student registration,

student profiling, student account management and

student monitoring.
 Design a system that analyze data of the students.

 Generate the following reports:

1. Students Master list

2. Student statement of accounts

3. Discipline records of students

4. Students daily school logs inside and out

5. Income statement for the management

Scope and Limitation

The enrollment system will be design to be used in i-

Tech Computer Education Bago City Inc. Senior High School

that located in Rammon Gonzaga Compound, 1084 Araneta

Street, Brgy. Poblacion, Bago City, Negros Occidental.

This system will have features that will focus on the

student registration, student account management, student

profiling, and student monitoring of i-Tech Computer

Education Bago City Inc. Senior High School and will not be

applicable for other possible users.

The user of this system will be able to access the

system using the computer available in the said school and

will not be available online.

Significance of the Study

The enrollment system will be beneficial to the following:


School Registrar – Centralizing student information

with a database will help the school registrar to

manipulate record of the student according to his/her

purpose, the system will also reduce the work of school

registrar in generating reports, monitoring students,

and reliability of student’s information.

Students – The system will very beneficial for the

students by means of fast and accurate transactions,

identify issues that affect their educational growth,

will be able to have accurate record and will have

whatever information they will need for them to perform

well and for their future needs.

School Administrators – For the administrators, the

system will be helping them to monitor students'

accounts, student's school attendance, income and

student’s records, the system reports will also help

them identify issues that may affect the productivity

of the said school.

Parents – The system will be beneficial to the parents

in terms of monitoring and accounts management of their

student, the system develop to give accurate record of


students therefor, parents will be able to get their

students record fast and accurate whenever they need

it.

School Disciplinary Officer – The system will record

all the violent scenarios together with the

participants and their sanction; therefore, the school

disciplinary officer will no longer used hardcopy for

the records and will be able to generate reports if its

needed.

Future Researcher - This will help the future

researchers conduct related research on the present

study and use data as references.

Researcher - This will benefit the proponents to

explore and learn more about the study.

Definition of Terms

Disciplinary Officer 

Conceptually, Disciplinary Officer or “Conduct

Administrator” means a University, College or CSCU

official who is authorized to determine the appropriate

resolution of an alleged violation of the Code, and/or

to impose sanctions or affect other remedies as


appropriate.

Operationally, in this study Disciplinary officers

serve as school in charged to give disciplinary action

for those students who has violated the school rules

and the one who is responsible to decide whether the

students will stay or will be kick out of the school.

Data Analytics

Conceptually, Jake Frankenfield said Data Analytics is

the science of analyzing raw data in order to make

conclusions about that information. Many of the

techniques and processes of data analytics have been

automated into mechanical processes and algorithms that

work over raw data for human consumption.

Operationally, Data Analytics in this study serves as

information that are classify and segregate through the

system. It has analytical graphs and colors to identify

the needed data.

Chapter II. RELATED LITERATURE AND PRIOR ARTS SEARCH
This chapter presents the related literature and
studies from various sources relates to Prior Arts. This
chapter contains the literature and studies concerning or
relating to the Prior Arts of how it is related. This
article includes the different Concepts, Understanding,
Ideas, Generalization or Conclusions, and different
development related to the study of the enrolment from the
past up to the present and which serves as the researcher’s
guides in developing the project. This chapter presents the
various related literature and prior arts which are relevant
in the conduct of this study.

Related Literature

Enrollment System
According to www.scribd.com, (2011) enrolment is the process
of entering and verifying the data of students to register
at a particular school. Different interrelated processes
build up enrolment procedures called Enrolment System (ES).
ES is used particularly in recording and retrieving student
information. Tracking student information is also one
feature of ES, in which the school can trace the standing of
a student. Verifying payment was also added to update or
browse student billings. Helps the process of entering and
verifying the data of the students and tracking down the
information of enrollees and updating the student billing.

Computerized Enrollment System


According to Studymode.com (2012), a computerized enrollment
system tends to replace what we called “PaperLess”
transactions, and also it will make any transaction easier
and faster. Also, it tends to lessen manpower and human
efforts in terms of processing any transaction regarding
enrollment transactions.

Record Keeping
According to Chifwepa (2009), records have a dual function.
Not only do they enable a school to have a clear picture of
what is available and what is required, but they also
justify certain needs. Furthermore, they serve to extend the
memory by which persons and/or organizations can pass their
cultures and achievements on to future generations. Record
keeping is vital to an education system’s information cycle
as a whole, because of its fundamental role in the process
of efficient information production and collection. Since
some of the most crucial information is produced at the
school level, the importance of creating a systematic
record-keeping culture at that level cannot be stressed

Importance of Record Keeping
The study conducted by Adebowale and Osuji (2008)
investigated the record-keeping practices of primary school
teachers in selected local government areas in the Ondo
state of Nigeria. Data were collected with a questionnaire
titled “Questionnaire on Record-Keeping Practices of Primary
School Teachers” and data were analyzed using descriptive
statistics. The findings showed that although the teachers
were familiar with some principles of record-keeping they
were not proficient in most of the operational procedures
and did not demonstrate the knowledge of using record-
keeping to further the development of teaching and learning
activities. Equipment that could be used for the safekeeping
of records was not available. Recognizing the importance of
record-keeping towards the successful implementation of the
country’s Universal Basic Education program, the researchers
recommend that teachers should be given regular in-service
training in record keeping and retrieval. The development of
record-keeping skills should also be included in teacher
preparation programs.

Student Information System
According to Schoolcomputing.wikia.com (2012), Student
Information Systems (SIS) manages student records and
information. An SIS may handle course management,
scheduling, personnel records, grades/comments,
room/resource management, and more. They can be used to run
complex enrollment reports, admissions, course schedules,
grades, and more. An SIS helps schools manage various
operations including student data, administrative, and
fundraising operations. An SIS allows for the quick and
accessible flow of information. By implementing an SIS to
manage daily school needs, teachers and administrators can
save time and have immediate access to a variety of student
data. These systems are needed for all parties involved in
education – parents, children, teachers, administrators,
alumni, etc.

Systematic Enrollment Process
Lumbers (2002), stated in her study entitled “a systematic
enrollment process using database system in Saint John
academy. Calamba, Laguna” that the application of database
system to the enrollment process will greatly increase its
efficiency; automation of the enrollment process will
upgrade the quality of the services provided for the
qualified enrollees.

Web-Based Enrollment System


According to Forman (2007), continuing innovation in
technologies can lead to organizational changes that range
from improvement of the day-to-day operation and to easily
access it provides for the end-users. Helps to improve the
process that can easily be tracked down the student
information as well as the user access to provide easy use
and improve work effectively.

Lack of enrollment system

As said by Adrian(2011), “Lack of enrollment system in


schools can lead to chaos and troubles.” Students will be
confused on what they should do to be able to enroll that is
why such systems are extremely useful in the way that it
gives ease on working on enrollment processes. Enrollment is
very useful in retrieving vital information from the
students. Without it can lead to difficulty both for the
administration of the school and student in enrollment
processes Many countries today, especially the developing
nations are challenged by the rapid technological changes.
This has radically changed the living and working styles of
the entire society. This transformation has been driven
partly by rapid technological innovation.

Development of Technology
Ralph M. Stair (1999) emphasized that the development of
technology through the years has enabled us to do more with
less effort. From the orientation of the light bulb to the
industrial revolution and beyond, we have continuously tried
to in a more efficient means of doing tasks.

Creation of the Computer

Mane (2000) mentioned that the creation of the computer made


it easier to accomplish a task than by doing it manually, to
have direct access to the straightforward answer just
monitoring record wherein the needs of computer make it
possible for everyone to get data in a particular need. We

Prior Arts

Network-based student Permanent Record keeping and


Enrollment System
Valina et.al (2009), in this work entitled “Network-
based student Permanent Record keeping and Enrollment
System of Balian National High School”. This System was
made to lessen the time and effort exerted by both
student and school employees. It is also made to give
accurate reports and keep records of every student and
for an easy and fast way of enrollment.

Dagupan City National High School (DCNHS) Enrollment system


According to Lopez (2005), a registration system
helps and provides efficient and reliable services
to the students, enrollment personnel, and
administration. Moreover, this system improved the
process of enrollment in terms of searching,
retrieving, and subject schedules. While in a study
conducted by Cayabyab (2007), many problems and
difficulties were identified in the existing system
of Dagupan City National High School (DCNHS). These
major concerns are affecting the efficient enrollment
system of students. Security of the student's records was
found to be at high risk. The current system may fail to
protect some important documents. It has also
untimely and inefficient report generation. A
computerized system for DCNHS shall result in a
significant increase in the number of enrollees
Network-Based Enrollment system Conde (2007) in his study
entitled “Network-based Enrollment System of Paete
National High School cited that the manual process of
enrollment and manual handling of information and reports
of the students is a very laborious one. The proponents
developed a network-based system enrollment system for
the said school to solve the huge amount of tasks.

Enrollment System of Liceo De Victoria

Kampitan (2000) developed an Enrollment System of Liceo De


Victoria that is designed to keep the student's records.

Saayo et.al (2008) developed the system “Network-based


automated Enrollment and grading system for Morong National
High School. Due to the increasing population of the

Garcia (2002) created the “LSPC Enrollment System”, the

developed the system “Networkbased automated Enrollment

Students Record Monitoring System of Siniloan National High
School
Cabang et al. (2003) developed the ‘computerized Students
Record Monitoring System of Siniloan National High School”,
Computerized Student data will be exceedingly helpful to the
user through continuous management of the School. It could
help the registrar for fewer effort services in the
institutions especially in updating, printing, and deleting
student’s records.

Soria (2006), constructed a system entitled “Network-based


Computerized Inventory System for the supply office o the
LSPC main campus. With the advancement of technology,

to cope up with the need of the new world. There are
different systems designed for reliability, efficiency, and
very useful to the user.

Automation Enrollment System

Revalla (2005) created an Automation Enrollment System for


the Computer Science Department of the Laguna College
business and Arts. The study was conceived because of the
need to update the current registration system of LCBA,
which is done manually. Her study was based on the special
problem of Mr. Bonifacio E. Bacani, Jr. about “Student
Record information System”.

Synthesis
In this study, we learned that Enrolment System shows that a
computerized system is much better than manual processing.
The studies stated that having a database is important for
saving students' information which is similar to the
proposed system that helps to track student lines. Systems
of the related studies stated that only authorized personnel
can only access the system same as in the proposed system
where only the admin and the school principal can access the
system. But then, they have the same purpose, it is to
secure the data of the students and to be easy for them to
manage and not time-consuming.

Chapter III

DESIGN AND METHODOLOGY

This chapter consist of figures which is used by the

proponents for the development of the system. This is also

used to clarify, organize and plan the processes, function

and information to meet the requirements of the system.

This shows the development methodology used in

gathering data for the development of the Enrollment System

in i-Tech Computer Education Bago City Inc. Senior High

School. It describes the stages involved in the development

of the project undergoes such as requirements gathering,

system analysis, coding, testing, implementation and

operation and maintenance.

Requirements gathering

In this phase, the researchers gathered relevant data

needed for the development of the system. The researchers

tried to conduct interviews to the School Administrators of

i-Tech Senior High School and research about related studies

in line with Enrollment System.

System analysis

After data has been collected, the proponents were able

to identify the difficult parts of Enrollment System and

management specially in Student Registration, Student

account management, Student profiling and Student

monitoring. So, in this phase, the proponents realized what

should be the functionalities that must be considered in the

development of the system.

Coding
In this phase, using Visual Basic .net, SAP Crystal

Report, ZXling.net Barcode Technology and MySQL as Database,

the programmer created the Localize database of the system

and started coding the interfaces, functions and features of

the administrator of the system followed by the user

Interfaces.

Testing

In this phase, the programmer tests the functionalities

of the system by trying or typing incorrect data to see if

the system will notify the user for any error. The

programmer also let the co-proponents navigate every button

and links of the system to examine if the system is user

friendly. The proponents also let other system developers

operate the Enrollment System and receive feedback for

improvement of the system.

Implementation

After the proponents had tested the overall

functionality of the Enrollment System, the proponents

communicate with the School Administrators of i-Tech Senior

High School to agree in the deployment of the system.

Operation and Maintenance


This phase, the proponents will keep on monitoring the

operation of the system and make some updates as needed in

the Enrollment System.

where administrator, Registrar, School Cashier and School


Disciplinary Officer (SDO) navigate the system. The system

will store data in the database and give the output to the

users and print reports.

Conclusion

The researchers were able to arrive on the following

conclusions based on the findings of the study:

1. The system monitors the Students School Attendance and

Discipline Reports.

2. The Enrollment System eliminates loss or interchange

cases of Student Accounts because detailed information

is entered in the system.

3. The system manages inventory of the Students inside the

School Campus and it reduces the paper works and save

time for retrieving data.

4. The system produces printed report in a short time.
