Instructions on how to use Microsoft Authenticator with Office 365
This document provides step by step directions to both configure the Microsoft Authenticator App on
your phone to receive secondary authentication notifications during Office 365 logins and configure
Office 365 to send these notifications providing a more secure email experience.
First download and install the Microsoft Authenticator App from your mobile device store
Android, iOS or Windows Phone.
When you install the mobile app and open it for the first time you will have to create an account.
Select Add account to create a new account. Select Work or school account. This results in your phone
requesting authorization for the app to use the camera.
Agree and allow the use of the camera and a barcode scanner appears.
For now, you can place your phone down until you complete the next steps.
Navigate to this site https://aka.ms/MFASetup. You are presented with a More information required
screen – click <Next>
Next you see the Additional security verification screen. In Step 1: How should we contact you? Select
Mobile app.
In the How do you want to use the mobile app? section select “Receive notifications for verification”
Click <Set up>
A QR Code image appears on the displayed page on screen.
Use your phone to scan the QR Code. Your account should automatically synchronize information with
Office 365 and enable authentication.
If you were unable to scan the QR Code, then enter the numerical code displayed on the barcode page
under the QR Code into your phone.
Once done, the Accounts screen of the app will display boldly your account with a six-digit verification
code below it. The verification code changes every 30 seconds.
Once this has completed and you view the code click <Next> on the QR Code page.
An “Additional security verification” page is loaded.
Choose your country and input your cellphone number. This is used as a backup in case you lose the use
of the Authenticator app. Click <Done>
You will be redirected to our company’s login page. Go ahead and login.
Now when logging in you are presented with the following page notification:
On your phone you will see a notification requesting your approval or denial of this login. If you are
attempting to login tap Approve on the notification to allow the login.
If you are not attempting to login DO NOT approve the notification tap Deny and contact IT Helpdesk.
Once these steps are completed log off all O365 applications, (One Drive, Outlook, Skype for Business,
Teams, Close Office Apps). Log into Outlook first, then One Drive, Skype for Business, Teams Then Notes.
Open Office apps one at a time and login if asked.
This should complete the steps necessary to activate MFA. If you run into issues check if the user has
Microsoft Authenticator installed. If they do you will have to have remove all their app passwords so the
install will be new and fresh.
