1. Business Requirements
U Microfinance Bank is a nationwide microfinance bank with a license of Branch and
Branchless Banking Services backed by the PTCL and Ufone with access to one of the largest
distribution and telecommunication networks of Pakistan having 200+ branch locations,
approximately 40,000+ Upaisa agents and a network of 196 ATMs across Pakistan with its head
office in Islamabad.
UBank aims to become the problem solver and enabler to the Pakistani microfinance ecosystem
having passion for disruptive innovation and the desire for financial inclusion. U bank is
expecting a recruitment system from applying to hiring.

1.1. Background
Nowadays, HR departments are going digital, especially for recruiting, paving the way for a new
term, “e-recruiting”. Just like career or talent management, e-recruiting tools have become key
programs for HR managers. 

Whether there is a need of a whole new team or just a couple of new recruits, online recruiting
software can save a considerable amount of time and energy. 

The recruiting system is more cost effective than traditional methods, allowing employers to
reach a larger pool of candidates while at the same time shortening the recruiting and hiring
process.

Bank intends to have a SMART system that provides a robust digital system that provides
visibility and also improves efficiency of the end to end recruitment process. The system will
allow users to easily streamline the different processes involved in recruitment of resources. This
system has Online and Offline interfaces. The Online interface will allow prospective candidates
to apply on the announced job vacancies, build an online profile and take assessments. The
offline module will be used to initiate hiring cases against vacancies, source CVs from the pool
available in the online module to be reviewed, shortlist candidates and eventually find the best
one to be hired. The online portion of this system will be available over the internet, while the
offline module will only be available to U Bank’s employees over the intranet.

1.2. Business Opportunity


An online recruiting system reaches a much larger or more targeted audience than other methods
do. Along with reaching job seekers anywhere, a specific skillful candidate can also be attracted.
To find the best candidate that possesses extraordinary skills helps the business to grow fast.

1.3. Business Objectives and Success Criteria


The point of the proposed system is to develop an electronic recruitment system for UMBL. This
system has a job posting, advertisement opening, application for opportunities, select candidates

for test, booked choice tests and interviews, held online selection tests, held interviews add
interview marks, backup office and automated email warning. These facilities are provided at a
single platform.
The principal objective of this system is mechanizing the organization's recruitment method i.e.
● To work as middleware between jobseeker and provider.
● To build the matter of the client.
● To make it Global.
● To work with job search.
● To assist competitors with getting a right job.
● Give better comprehension among candidates and the organization.
Consequently, no exercise in wasting time, no waste of paper and no errors experience. All
things considered, the report generation for decision making is easier and straightforward.
Moreover, the online recruitment system works with both job seekers and client organizations.
The sub-goals are to propose an Online Recruitment Management System is,
● Give a user-friendly interface so that job seekers can easily apply for the opportunities.
● HR staff of the organization can deal with the recruitment cycle smoothly
● To give a method for promoting opportunities, a method for going after job vacancies and
recognizing the status.
● To modernize the recruitment data for survey, maintenance and produce reports to
directors or administrators.
● To maintain and store applicant details, opportunities details and employee's details that
will help in general processing of overall applications.

1.4. Customer or Market Needs


Online Recruitment System empowers the users to have the normal assessment facilities and
highlights available features to them. it resolves issues of manual assessment processes and
exercises into a controlled and firmly observed work stream in the engineering of the application.
This multi stage arrangement acquires as a matter of course' the essential knowledge and
enormous opportunities for additional expansion of the application as expected by the user. The
system makes it friendly to appropriate' share and deal with the assessment elements with higher
effectiveness and ease. It is a comprehensive resource for getting a new line of work online.

1.5. Business Risks


The online recruitment system can be helpful in many ways but there are many challenges that
needs to be considered such as:
● Costs can spiral. You may have to pay a subscription fee or other costs to post your
vacancy
● It can be difficult to measure the effectiveness.
● It attracts bad candidates.
● There’s a lot of competition
● It could lead to lost labor hours.

2. Vision of the Solution


An online enrollment system is a platform to hold all of the processes of employment for the
organization. It is an automated system with different parts to facilitate the processes associated
with finding, assessing, interviewing, and hiring another employee.
Presently the system incorporates a manual process through files, folders, and covers. In the end,
the job seeker needs to find the organization which is offering the required profile. Then really
look at the eligibility of the post or do a search on eligibility criteria by visiting the different
organizations he is aware of.
In this manual process, it will happen that the seeker may not find a job that precisely matches
his/her profile. Because of this lack of data individuals lost an opportunity and the organization
lost an expected applicant for the job post. Consequently, right now, there is a positive
requirement for a computerized online system where both applicant and the organization can
draw nearer.
The system helps the two sorts of users by giving simplicity of manual work. This system
likewise gives the candidate the ability to write their skills and gifts with a whole interface to
find a new line of work. It assists the organization with searching for a profile with explicit skills
in particular, so they don't need to go through each job seeker asking him/her about the talent
they need.

2.1. Vision Statement


The primary target of the Online Recruitment System is to foster and develop software that
oversees situational activities in the bank and makes an interactive GUI where Online
recruitment is made easier. The administrator can deal with the details of all candidates in his
control center, he can send an email to candidates informing them about the recruitment
activities.

2.2. Major Features


➢ The proposed system will help with the activities of candidates, employers, and
administrators. The system works and fulfills all the functionalities as per the proposed
system.
➢ It will provide reduced response time against the queries made by different users.
➢ The administrator will have a clear view of the number of vacancies for a particular job,
the number of candidates who applied, the number of candidates who match the
eligibility criteria, and the number of candidates selected.
➢ All possible features such as verification, validation, security, user-friendliness, etc have
been considered.

3. Scope and Limitations


Online Recruitment is pointed toward developing a web based and focal recruitment process
system for the recruitment group of a company.

3.1. Scope of Initial Release


A few highlights of this system will be opportunities' putting away application information, and
interview process commencement, Planning interviews, Putting away interview results for the
applicant lastly employing the applicant. This venture Online Recruitment System is an online
site where jobseekers can register themselves and afterward go to the exam in view of the
outcome of the exam the jobseekers will be shortlisted. The details of the examination condition
of the examination will be made accessible to them through the site. People from one side of the
planet to the other can apply and register. It has made all the process simple.

3.2. Scope of Subsequent Releases


● This is a computerized online job searching project. It is useful for both: recruiter and job
seeker.
● This is an online application therefore job seekers can search jobs by sitting at home.
● Similarly, a recruiter can also post their job opening information by sitting in their office.
There is no need for them to visit the office for posting job details.
● This is a computer based system. All data is processed automatically. There are various
parameters of searching for any job like search by qualification, search by experience,
search by location etc. So it becomes very convenient for job seekers to search for their
desired job.
● Similarly recruiters can also search suitable employees based on their criteria and hire
them.

3.3. Limitations and Exclusions


Recruitment is done physically. These assignments are time consuming. It may require one
month or longer. Individuals from all over the world can not apply. The Online Recruitment
system is exceptionally helpful as in the manual system there are a bundle of challenges in
leading and dealing with recruitment tests, short-listing the candidates, maintaining staff and
much more.

4. Business Context
This project is aimed at developing a web (based and central recruitment process system for the
HR Group for a company. Some features of this system will be creating vacancies, storing
application data, and interview process initiation, Scheduling interviews, storing interview
results for the applicant and finally, hiring of the applicant. Reports may be required to be
generated for the use of the HR group. This project “Online Recruitment System” is an online
website in which jobseekers can register themselves and then attend the exam based on the
outcome of the exam the jobseekers will be short listed. For freshers, the exam will be conducted
at some venue after short listing of the preliminary aptitude Test. The details of the examination,
venue date of the examination will be made available to them through the website

4.1. Stakeholder Profiles


The stakeholder profiles will include:
● Administrator: the administrator has full authority over the website. He can view all the
registered users and have the power to delete them. He can edit the web pages and update
them. He can view all the company details also.
● Jobseeker: Jobseeker can register himself. After registration, he will be directed to his
homepage. here he can update his profile, change his password, and see the examination
details and all.
● Company: the company can register itself, conduct an online examination, approve or
disapprove candidates attending the examination, and provide results about the selected
candidates.

customers for this product and other stakeholders, and states their major interests in the product.

4.2. Project Priorities


When the planning and analysis of the project are finished, the design phase starts. The objective
of system design is to change the information gathered about the project into the diagram
structure which will act as a base while building the system. It is viewed as a clumsy process as
the vast majority of the errors are presented in this phase.
In any case, assuming an error gets inconspicuous in the later process it might become difficult
to track them down. In our system, we are developing a system which helps in recruitment of the
board for the business. It will limit the problems faced by the two candidates and the recruiters in
the process.

4.3. Operating Environment


Online Recruitment Management System can be used by employers to recruit the candidates
based on their experience and the further interviews easily. Achieving this objective is difficult
using the manual system as the information is scattered, can be redundant, and collecting
relevant information may be very time-consuming.
All these problems are solved by this project. This system helps in maintaining the information
of potential candidates in one place. It can be easily accessed by both applicants and employers.
It is kept safe for a long period of time without any changes or omissions. It reduces the time
employers take to make a few recruitments in their firm.
This system helps the job seekers to get every information required for the process.
