Preface
This user guide explains how to create, modify, and use a publishing profile based
on a publishing configuration template.

The information in this guide is intended for end users of OpenText™
Documentum™ D2 Advanced Publishing Services.

Chapter 1
Overview
OpenText Documentum D2 Advanced Publishing Services, also referred to as
Advanced Publishing Services, is a D2 plug-in that allows users to publish virtual
documents in D2 Client.
Advanced Publishing Services consists of the following:
• A configuration layer in D2 Config to allow administrators to create publishing
configuration templates
• A user interface in D2 Client to allow end users to create a publishing profile,
adapt the profile to their needs (for example, by creating volumes or updating
tables of contents), and publish virtual documents
Virtual documents can be published in the following two ways:
• Paper-based publishing: Paper-based publishing allows you to publish a PDF file.
• Electronic publishing: Electronic publishing allows you to publish files into a
folder structure.
1.1 Definitions

as a publishing component template or a
publishing component.

Publishing profile A publishing profile is a standalone object
that is the result of applying a publishing
configuration template to a virtual document
and contains the default settings defined in
the configuration. The profile allows end
users to edit the publishing structure and
composition before publishing.
1.2 Quick Publishing
If you have a dual installation environment with D2 Client 3.1 SP1 and D2 Client 4.x
and have Advanced Publishing Services installed, you can use the Quick Publishing
feature to create a publication with one click.
To use Quick Publishing, all virtual document nodes must have a PDF rendition.
You can publish as a linked document or rendition of a document. If you publish as
a linked document, you can select the document type and fill out its properties. The
published output is linked to the profile as related content. If you publish as a
rendition, you create a PDF document that is attached to the root of the published
virtual document.
1.2.1 Publishing a Document with One Click
To create a publication with one click, right-click a virtual document and click Quick
publish.
The virtual document is published as a linked document or document rendition
using the default template configuration set in D2 Config and the publication
parameters set in D2 .
1.3 Advanced Publishing Options
The following tables provide an overview of the options available within Advanced
Publishing Services and the Quick Publishing feature in D2 Client.

Using Advanced Publishing Widgets
You can use the following widgets to view and manage electronic and paper
publishing profiles:
• “Publication Widget (PublicationWidget)” on page 11
• “Profile Widget (AdvPublishProfileWidget)” on page 11
• “Components Widget (AdvPublishingComponentsWidget)” on page 12
• “Overlays Widget (AdvPublishOverlays)” on page 12

2.1 Publication Widget (PublicationWidget)
The Publication widget displays the structure of the selected publication profile.
Using this widget, you can view and edit the structure and content of the paper or
electronic publishing profile.
2.2 Profile Widget (AdvPublishProfileWidget)
The Profile widget lists all publishing profiles that have been created for a virtual
document. You can edit the publishing structure and composition before publishing.
A virtual document can have more than one publishing profile. On selecting the
virtual document, the existing profiles are displayed. The Publish Type column
displays if the publish profile type is paper or electronic.

2.3 Components Widget
(AdvPublishingComponentsWidget)
The Components widget displays all components available for use in the current
publishing profile. The components that are available include:
• Volume separator
• Table of contents (Paper output only)
• Tab sheet (Paper output only)
• PDF page (Paper output only)
• Index (Paper output only)
• Overlay
2.4 Overlays Widget (AdvPublishOverlays)
The Overlays widget provides a list of all the overlays applied to a selected element,
such as image and text watermarks or PDF layers. You can insert and apply an
overlay by dragging and dropping the overlay on a document in the Publication
widget. The overlay can be inserted behind or in front of the text, and you can
specify the position and order of the overlay, and insert an overlay on a document or
node. When you remove an overlay, the overlay is removed from the document but
not from the publishing profile.

2.5. Queue Widget (AdvPublishManager)
2.5 Queue Widget (AdvPublishManager)
The Queue widget is used to manage the publishing requests that are in the
publishing queue during asynchronous publishing. The Queue widget allows you to
do the following:
• Change the queue of a hold publication in order to assign it to another server
• Stop, launch, or remove the publishing request
• Change the priority of the publishing request
Note: You must be part of the admin group to configure these widgets in D2
Config. The labels that you provide for these widgets in D2 Config are
displayed as tab names in D2 Client. For more information about configuring
advanced publishing widgets, see the D2 Advanced Publishing Services
Administration Guide.

Working with Publishing Profiles
A publishing profile is a standalone object that is the result of applying a publishing
configuration template to a virtual document and contains the default settings
defined in the configuration. The profile allows end users to edit the publishing
structure and composition before publishing. You can create a publishing profile
based on a publishing configuration template or an existing profile.
3.1 Creating a Publishing Profile
To create a publishing profile, complete the following steps:
1. In the Advanced Publishing workspace, right-click a virtual document or
snapshot.
2. Click Create publish profile.
3. On the New Publish Profile screen, configure the options as needed.
4. Click OK.
After you create a publishing profile, it appears in the Profile widget.
3.2 Viewing a Publishing Profile
The Profile widget displays the original virtual document structure, additional
publishing components, and information about page count and size of each virtual
document.
To view the publishing profile, in the Profile widget, right-click the publishing
profile and click View.
By default, the profile is opened in the Publication widget. You can use the toolbar
options in the Publication widget to expand or collapse all nodes, and to move
components up or down when viewing paper or electronic profiles.

3.2.1 Understanding Content Icons
The Publication widget uses specific icons in front of documents to show additional
information about content:

3.3 Modifying Publishing Properties
Each component within the profile has its own specific publishing properties. To
access these properties, in the Publication widget, right-click the component and
click Properties for publication.
3.3.1 Understanding Publishing Properties Options
Depending on the content selected, the following publication properties might be
displayed. The tables below describe the available options.

3.3.2 Creating an Alternative Name and Title for a Publication
You can override the name and title of a document without modifying the original
content. The title is used in the table of contents and the name is used for electronic
publishing.
If the profile configuration maps a dictionary, it sets the name to the corresponding
value.
To create an alternative name and title for a publication, complete the following
steps:
1. In the Publication widget, right-click the document and click Properties for
publication.
2. Enter the Name for publication.
3. Enter the Title for publication.
4. Click OK.
3.3.3 Partitioning Document Content
You can perform partial publishing using the publishing profile. To partition
content, complete the following steps:
1. In the Publication widget, right-click the document and click Properties for
publication.
2. Select the Partial document option.
3. Set the range of pages that you want to publish.
4. Click OK.
3.3.4 Configuring the PDF Output Format
You can configure the publishing profile to output a rendition format other than the
default PDF format. You can configure the format for a specific document or the
entire publishing profile.
To configure the output format, complete the following steps:
1. In the Publication widget, right-click the document and click Properties for
publication.
2. Click the PDF modifications tab.
3. In the Use PDF format field, use the list controls to modify the list of formats.

Note: The order of the list indicates the preferred format priority. If a
format is not found, the profile will use the next one on the list. If the PDF
format list is empty on a document, the root profile settings are used.
4. Click OK.
After modification, you must refresh the file data to take the modifications into
account. See “Updating File Data” on page 21 for more information.
3.3.5 Configuring Table of Contents Properties
You can add content properties to tables of content and profile indexes and select
attributes if the administrator has set up a specific properties model. You can add
properties for the selected document, or directly on the publishing profile to extend
the properties to all documents.
To configure additional properties, complete the following steps:
1. In the Publication widget, right-click the document and click Properties for
publication.
2. In the Additional table of contents properties field, add the desired properties.
3. Click OK.
3.3.6 Disabling Automatic Table of Contents Refresh
To improve navigation performance, you can turn off the automatic refresh of a
table of contents page count. To prevent calculating the page count each time profile
modifications are made, complete the following steps:
1. In the Publication widget, right-click the publishing profile and click Properties
for publication.
2. On the General tab, select the Do not compute Table of Contents checkbox.
3. Click OK.
Table pagination will be updated only after profile synchronization or publishing.

3.4 Spreading Publishing Properties
You can set a publishing property on a node and spread the property values to all
descendants.
To spread the publishing properties from a node to all its descendants, in the
Publication widget, right-click a document in the profile and click Spread property.
3.5 Removing Content from a Publishing Profile
To remove content from the publishing profile, in the Publication widget, right-click
the content and click Remove from publication.
You can reinsert the content if you synchronize the publishing profile. This content
will appear as a new document.
3.6 Updating the Publishing Profile
You can synchronize the original virtual document structure to check for the newest
version of the content.
3.6.1 Updating the Publishing Profile Structure
To search for and apply structure updates, complete the following steps:
1. In the Publication widget, right-click the profile and click Update publish
profile > Find structure updates.
2. In the Find Structure Update dialog box, select the updates you would like to
search for.
If you want to replace the virtual document version with the current version
automatically, select the Replace Virtual Document version with current
version checkbox.
3. Click OK.
A dialog box informs you of the search result. The following icons might be
displayed beside a document:

3.6. Updating the Publishing Profile
3.6.2 Clearing Update Alerts
To acknowledge and clear the update alert icon, complete the following steps:
• In the Publication widget, right-click the marked document and click Update
publish profile > Clear update alerts.
3.6.3 Validating Structure Updates
To update the publishing profile with the latest documents and changes, you need to
validate the updates that are available. This update function can be completed for a
single document or the entire publishing profile.
To accept all or some of the publishing profile updates, complete the following
steps:
1. In the Publication widget, right-click the publishing profile and click Validate
Structure updates.
2. Select the validate options.
3. Click OK.
3.6.4 Updating Dynamic Names
Some components of the publishing profile use a system of dynamic names. These
names are computed with the attributes of publishing profile elements (parent node,
virtual document root, etc.). For example, you can have a table of contents named
with the virtual document name. If you change the name computation, you must
update the dynamic names.
In the Publication widget, right-click the publishing profile and click Update
publish profile > Update dynamic names.
3.6.5 Updating File Data
To enhance performance, the Publication widget does not automatically refresh the
following file information when you open the profile:
• PDF renditions
• Table of contents
• Size of the PDF file
• Page count of the PDF file
To refresh and update file information, complete the following steps:
1. In the Publication widget, right-click the publishing profile and click Update
publish profile > Update file data.

2. In the Update File Data dialog box, select the data that you want to update.
3. Click OK.
3.6.6 Performing a Mass Update
If you have a large number of files, you can update content names, titles, and
metadata using dictionaries or by completing a mass update.
To perform a mass update, complete the following steps:
1. In the Publication widget, right-click the publishing profile and click Update
publish profile > Mass update.
2. Select one of the following update mode options:
• Dictionary mapping: Allows you to use the dictionary related to your
publication document type definition (DTD)
• Manual input: Adds the same values for a document set
3. In the Publication property drop-down menu, select one of the following
options:
• Alternate name: Specific name for profile documents
• Alternate title: Specific title for profile documents
• Export name: Content name when exporting profile
• Metadata: Data to display in the electronic profile index
4. In the Apply to drop-down list, select one of the following options:
• All elements: All documents of a node including the node itself
• Structure: Node only
• Documents: Selected document only
• Documents category: All documents belonging to the same set of
documents
5. Click OK.

3.6.7 Creating a PDF Rendition
You can create a PDF rendition directly from the publishing profile. If you select a
node, a PDF rendition is automatically completed for all descendants.
To create a PDF rendition, in the Publication widget, right-click a document or node
and click Update publish profile > Create PDF rendition.
3.6.8 Replacing the Content Version
You can manually replace the version of a document used in the publishing profile
by switching to an older or newer version.
To manually replace a version of content used in a profile, complete the following
steps:
1. In the Publication widget, right-click the document and click Replace this
document.
2. In the Replace by this version drop-down list, select the version of the content
to use as the replacement.
3. Click OK.
3.7 Managing Publishing Profile Components
The publishing profile may include a list of components, such as volume separators,
table of contents, tab sheets, PDF pages, index, and overlays.
3.7.1 Viewing Publishing Profile Components
To view the list of components for a publishing profile, complete the following
steps:
1. In the Profile widget, right-click the publishing profile and click View. The
profile details are displayed in the Publication widget.
2. In the Publication widget, click a document. Corresponding components that
are linked to the selected document are displayed in the Components widget.

3.7.2 Modifying Publishing Profile Components
A component of a publishing profile can be used many times within the profile. For
example, a volume cover page can be used in every volume. If you modify a
component, it will be modified throughout the profile.
To modify a component, in the Publication widget or Components widget, right
click the component and click one of the available options. After you make changes,
you must check in the component to the same version.
To modify component properties, right-click the component and click Properties.
3.7.3 Duplicating Publishing Profile Components
You can duplicate existing components to create another behavior for a component
and reuse the original configuration. After duplication, you can modify the new
component.
To duplicate a component, In the Publication widget, right-click the component and
click Duplicate. A copy of the component is created.
3.7.4 Inserting a Component Into a Publishing Profile
You can customize a profile by adding publishing components.
To insert a component, in the Publication widget, right-click the publishing profile
and click Insert.
You can also drag and drop a component from the Components widget to the
Publication widget.
3.8 Configuring the Table of Contents for PDF
Output
You can use the publishing profile to modify the table of contents of each document
without modifying the original document.
To modify the table of contents, in the Publication widget, right-click the document
and click Edit table of contents.
Note: To improve performance, the first version of the table of contents is
loaded and saved into the profile. You can click the icon to restore the
original version.

3.8. Configuring the Table of Contents for PDF Output
3.8.1 Creating and Managing Bookmarks in a Table of
Contents
3.8.1.1 Adding a Bookmark
You can add a bookmark to a table of contents. To add a bookmark, complete the
following steps:
1. In the Publication widget, right-click a bookmark node in the bookmark tree
and click Insert bookmark.
2. In the Target page field, enter the page number where you want to insert a
bookmark.
3. Enter the Bookmark name.
4. Click OK.
3.8.1.2 Deleting a Bookmark
You can delete a bookmark from a tables of contents. To delete a bookmark,
complete the following steps:
1. In the Publication widget, right-click the bookmark node or leaf in the
bookmark tree.
2. Do one of the following:
• To delete a single bookmark, click Delete bookmark.
• To delete a bookmark with its descendants, click Delete bookmark with
children.
3.8.1.3 Restoring a Deleted Bookmark
You can undo a delete operation if a bookmark has been deleted. To restore a
deleted bookmark, complete the following steps:
1. In the Publication widget, right-click the bookmark node or leaf that is marked
as deleted in the bookmark tree.
2. Do one of the following:
• To restore a single deleted bookmark, click Cancel delete.
• To restore a deleted bookmark with its descendants, click Cancel delete
bookmark with children.

3.8.1.4 Editing a Bookmark
You can use the table of contents editor to change the name and target page of any
bookmark.
To edit a bookmark, in the Publication widget, right-click the bookmark node or leaf
in the bookmark tree and click Modify.
3.8.1.5 Moving a Bookmark
Use the table of contents editor to move a bookmark node or a node of the bookmark
tree.
To move a bookmark, in the Publication widget, drag and drop the bookmark node
or leaf in the bookmark tree.
If you move a node, the descendants follow the node. To set the bookmark as a
child, drag and drop the node over another node.
3.8.1.6 Inserting a Page Break
To format the table of contents, you can add page breaks.
To insert a page break, in the Publication widget, right-click the bookmark and click
Page break.
To remove a page break, right-click the bookmark and click Remove page break.
3.8.2 Using Table of Contents Summary Pages
A table of contents summary is a page that is added to the publishing profile as a
representation of the table of contents. The publishing profile automatically builds
table of contents summaries during publication and enables viewing and browsing
paper-based publications.
3.8.2.1 Viewing a Table of Contents Summary Page
To preview the table of contents page, in the Publication widget, right-click the table
of contents component and click Preview.

3.8.2.2 Editing a Table of Contents Summary Page
You can edit the table of contents page and update the bookmark tree. If you edit
and save bookmarks, the table of contents summary becomes static instead of
dynamic, and uses the edited table of contents.
To edit a table of contents page, in the Publication widget, right-click the table of
contents and click Edit table of contents.
3.8.3 Excluding Content from a Table of Contents
To exclude content from the table of contents, in the Publication widget, right-click
the content and click Exclude from table of contents.
To re-include the content in the table of contents, right-click the content and click
Include into table of contents.
To exclude only the descendants of a parent node in the table of contents, right-click
the parent node and click Exclude descendents from table of contents. To exclude
both the parent node and the descendents, right click the parent node and
clickExclude descendents and parent from table of contents.
To re-include, right click the parent node and click either Include descendents into
table of contents or Include descendents and parent into table of contents.
3.8.4 Synchronizing the Table of Contents
The publishing profile shows the icon next to a table of contents if it does not
reflect new or updated components within the profile.
To synchronize the table of contents, in the Publication widget, right-click the table
of contents and click Synchronize.
3.9 Using Overlays
Overlays are image and text watermarks or PDF layers that can be inserted behind
or in front of the text. You can specify the position and order of the overlays, and
insert an overlay on a document or node.

3.9.1 Viewing the Overlays for a Document
You can view the list of overlays that are used on a document. To view the overlays,
open the Overlays widget. The order in which the overlays are listed indicates
whether they are applied in front of the text (top) or behind the text (bottom).
3.9.2 Inserting an Overlay
When you insert an overlay, you can insert the overlay in front or behind the text,
and choose the overlay order position. When you add an overlay on a node, you can
choose to propagate the operation only on the node, the children of the node, or all
descendants of the node.
To insert an overlay, in the Publication widget, right-click the publishing profile and
click Insert > Overlay. You can also drag and drop an overlay from the Overlays
widget or the Components widget.
3.9.3 Editing an Overlay
When you edit an overlay, the modification applies to all the documents that are
using the overlay.
To edit an overlay, complete the following steps:
1. In the Publication widget, select the overlay.
2. At the top of the screen, click Content > Edit.
To modify the properties of an overlay, in the Overlays widget, right-click the
overlay and click Properties.
When you are finished editing the overlay, you must check in the component to the
same version.
3.9.4 Deleting an Overlay
To remove an overlay, in the Overlays widget, right-click the overlay and click
Remove Overlay.
When you remove an overlay, the overlay is removed from the document but not
from the publishing profile.

3.10 Splitting a Document
You can split a document using a publishing profile. To split a document, complete
the following steps:
1. In the Publication widget, right-click the document and click Split document.
2. In the Split after page field, enter a page number or list of ranges.
3. Click OK.
3.11 Splitting Content Into Volumes
You can use the publishing profile to split the output into multiple volumes. You
can create volumes manually by inserting volume separators or automatically by
using a page count. To move a volume separator or redefine the content included in
the volume, drag and drop the volume separator or use the up and down arrows in
the Publication widget.
3.11.1 Creating Volumes Manually
To insert a volume separator manually, in the Publication widget, right-click the
publishing profile and click Insert > Volume Separator.
To remove a volume separator, right-click the volume separator and click Remove
from publication.
3.11.2 Creating Volumes Automatically
For paper publications, you can automatically create volumes with a specific
number of pages. For electronic publications, you can automatically create volume
folders with a specific total size. For example, you can create CD-sized volumes for
easy CD backup.
To split a publication into volumes automatically, in the Profile widget, right-click
the publishing profile and click Volumize.
Note: When you perform this action, the old volumes are removed.

3.11.3 Inserting a Volume Break
To force a volume to start on a specific document, in the Publication widget, right-
click the document and click Force volume break.
To cancel a volume break, right-click the document and click Cancel volume break.
3.12 Creating Hyperlinks Between Documents
You can create and manage links between documents.
3.12.1 Creating a Hyperlink
Note: Before you begin. you must check out the source document.
The following edit state indicators appear beside the document:
•
PDF rendition link is being edited by the current user.
•
PDF rendition link is locked by another user.
To create a link, complete the following steps:
1. In the Publication widget, right-click the target document that you want to link
to and click Hyperlink > Create.
2. In the Source content drop-down list, select the source document in which you
want to create a link to the selected target document.
3. In the Version drop-down list, select the desired version of the target
document.
4. Select whether you want the link to be a bookmark or page number. The
bookmark option is enabled when the target document is a PDF document or
document with a PDF rendition.
5. Enter a page number or bookmark name.
6. Click OK.
A hyperlink is copied to the clipboard.
7. Paste the link in the source document. The link is inserted into the document
and is accessible within the docbase only.
8. After the links are pasted in the document, you must save the links. In D2
Config, click Hyperlink > Save PDF rendition link.
To erase the previously saved link edition, click Hyperlink > Cancel PDF rendition
link edition.

3.12.2 Editing a PDF Rendition Link
To insert a link into an approved document, you must first check out the rendition.
If a document is approved and not modifiable, a hyperlink is inserted as a
watermark in the PDF rendition.
To check out the rendition, right-click the source document and click Hyperlink >
Edit PDF rendition link.
The rendition is now available in the list of checked out documents in the Hyperlink
widget.

Creating a Publishing Output
4.1 Publishing a PDF (Paper) Profile
You can publish the PDF output as a single volume or multiple volumes. If the
publishing profile has one volume, the output is published as a standalone PDF file.
If the publishing profile has more than one volume, the output is published to a ZIP
folder containing all the PDF files.
To publish a PDF output, complete the following steps:
1. In the Profile widget, right-click the paper publishing profile and click Publish.
2. Select one of the following options:
• Linked document: Publish the output as one or more documents in the
repository.
• Document rendition: Publish the output as a rendition of the publishing
profile or the virtual document associated to the publishing profile.
3. Select any additional options.
4. Click OK.
Note: The first time you publish to a linked document, you will be prompted
to set the properties for the new document. To access the linked documents
when finished, select the publishing profile or virtual document and click the
Relations widget.
4.2 Publishing an Electronic Profile
When publishing an electronic output, you can publish to folders in the repository.
To publish an electronic output, in the Profile widget, right-click the electronic
publishing profile and click Publish.
After completing publishing, you can export the folder from the repository to the
local file system. Right-click the folder and click Publish > Export folder. After
exporting, you can browse the electronic publishing output using XML backbone
indexes by opening the XML file in Microsoft Internet Explorer or any other XML
editor.

4.3 Excluding Content from a Publishing Output
If you do not want to publish a document, you can exclude it from the publishing
output.
To exclude a document from the publishing output, in the Publication widget, right-
click the content and click Exclude from publish output.
To re-include the content in a publishing output, right-click content and click
Include into publish output.
To exclude or include the descendants of a node from a publishing output, right-
click content and click Exclude descendants from publish output or Include
descendants in publish output.
To exclude or include parent nodes and their children in a publishing output, right-
click the parent node and select Exclude descendents and parent from publish
output or Include descendents and parent from publish output.
