Colleague Discount Policy
Purpose and Scope
The Colleague Discount Policy has been created to provide colleagues with information about what
the discount card is for and how to use. Any abuse or infringement of the policy may be dealt with
under the Company disciplinary procedure, so please ensure you have read and understood the
rules of use.
The Colleague Discount Scheme Rules
This scheme applies to all colleagues based in the UK, although some sites may be excluded for
reasons decided by the Company. This is a non-contractual scheme and can be amended or
withdrawn at any time. The Colleague Discount Card is only available for use in the UK and cannot be
used outside the UK or in Southern Ireland.
You will need to show the discount card to the colleague/cashier on the till to receive a discount.
You must present the card at the point when payment is requested. The discount is a tax-free
benefit. By using your colleague discount card, you are identifying yourself as an SSP/RG colleague.
Discount cards can be applied for on day 1 of employment.

Starbucks - There is a 5p charge applied to each paper cup sold in stores. This charge is donated to
Hubbub, an environmental charity. There is no discount on the cup charge.

Where can I use my Card?

Can anyone use my card?
Only you can use your card, however you may purchase items for friends and family who are with
you when you are paying for the goods and are using the card. You must not give the card to anyone
to use in your absence.
Is there a limit on using my card?
Some of our competitors put limits on the amount of discount their colleagues can receive within a
year. However, with our scheme you can use your colleague discount as much as you like, as long as
you stick to the scheme guidelines.
What if I forget my discount card?
You must have your card with you to receive a discount. Unfortunately, we cannot give you the
discount value back later if you forget to take your card.
Is there a cash alternative to a discount card?
No. There’s no cash payment available instead.
How do we make sure discount cards are being used properly?
Discount card usage is monitored centrally. We will investigate any instances where the card may
have been misused. We may withdraw the card and we may carry out further investigations and
take disciplinary action if the investigation shows that the card has been misused. Deliberate or
careless misuse of the colleague discount card may be treated as gross misconduct and may lead to
summary dismissal. In exceptional cases, a warning may be issued as an alternative to dismissal and
the discount card withdrawn for the period of time the warning is valid. These rules are in place so
that we can continue to offer the scheme and to make sure that no-one exploits or misuses this
benefit.
Can I keep my card if I’m taking leave during my employment?
You can keep and use your discount card during maternity, paternity, adoption, or parental leave, as
well as during periods of sickness absence.
What happens if I leave SSP?
If you leave the company, you must hand back your discount card to your Line Manager. On leaving
the company, your card will be deactivated.
Can I use my card abroad?
Unfortunately, the card is not able to be used internationally and will only work in units in the United
Kingdom (the card is not available to be used in Southern Ireland).
Why have you removed the signed declaration?
When ordering the discount card, colleagues will be asked to read and agree to the terms and
conditions of use. This will be captured electronically within 4me. If a manager needs proof of this
declaration when undertaking an investigation, they should request this from IT using the SSP Global
IT & Data service on 4me, then selecting Operations – 4me Service Management Tool.

We reserve the right to change the rules of the scheme or vary regulations regarding entitlements at
any time. We’ll let you know about these changes via internal communication channels, notice
boards or individual notification. You are asked to sign this form to confirm that the rules of the
scheme have been understood.
When ordering your discount card, you will be asked to confirm your agreement to the terms and
conditions of use below. Please ensure you have read these and if you have any questions, please
contact your Line Manager before you use the card.
Eligible users:
1. Only you as an employee of our Company can use your colleague discount card.
2. You must immediately notify us of any changes to your personal circumstances that could
affect eligibility to use your card.
3. You are responsible for your card and how it is used. If you breach the rules the benefit
could be withdrawn and in serious incidents of misuse, disciplinary action may be taken.

4. Your Discount Card is valid for the duration of your employment with our Company.
5. Loaning, altering, transferring, or selling your discount card to anyone else is strictly
forbidden.
6. If you purchase goods using your discount card, all payments must be made by you. The
goods you buy must be for use by you, your family or friends and you should not pay for
someone else’s purchases. You must not receive any payment for the goods either from
another person or a commercial business. You may buy gifts for friends and family members;
however, you must not receive any payment for the goods.
7. We are able to monitor use of the discount card so please do not misuse it.
8. Colleagues must join the customer queue to purchase Food and Beverage and provide their
discount card at the time of the transaction.
9. Under no circumstances can an employee process their own discounted transaction.
10. Cards must be swiped or scanned at the time of the transaction. Discount is only available if
a valid discount card is presented at the time of purchase and cannot be applied after the
point of purchase.
11. We reserve the right to change the scheme rules or vary regulations regarding entitlement
at any time. We’ll let you know about these changes via internal communication channels,
notice boards or individual notification.
12. We reserve the right to withdraw the benefit at any time and put a stop on your card should
misuse warrant this.
