MCTS System Description

Introduction
The Major Component Tracking System (MCTS) is an internet (Web based)
system designed to monitor major component status and history from the time a
new component is installed into a prime product at the manufacturing facility until
the component is eventually scrapped. MCTS will track serialized major
components, such as engines, transmissions, and torque converters. It also has
the capability to track any component or critical part, which has been assigned a
unique serial number. Either the dealer or the factory may assign these unique
serial numbers.

MCTS is designed to provide dealers with a user-friendly tool to:

Y Track major components and critical parts from cradle-to-grave.


Y Document component lives and reasons for replacement.
Y Identify component location on prime product at any time.
Y Provide critical part location within components at any time.
Y Identify component and critical part current and total life hours.

MCTS also feeds dealer component life data back to Caterpillar to:

Y Retain worldwide component durability data in a dedicated database -


One Safe Source.
Y Provide accurate component durability data.
Y Allow more accurate MARC quotes.

The component data is collected and maintained at the Caterpillar information


center in a central MCTS database. When a prime product is shipped from the
factory, the MCTS system records the component serial numbers related to that
product. As the component begins its active life, the dealer will enter
maintenance records to the MCTS system for tracking the movement of the
component from product to product.

This activity can be sent to Caterpillar via an export file from PC software
such as MANAGER, the activity can be manually entered directly into the MCTS
via the WEB, or an interface from an existing Dealer system into MCTS via Cat
Mailbox. The following explains in detail how to input this information using the
WEB browser. (Internet Explorer is recommended.)

Prior to using MCTS, the dealer should fully understand that once they have
committed to using MCTS, they have also committed to keeping the data current.
For any database of this kind to maintain high quality data, the participating
dealers must be consistent and committed.

There are two types of access to the program:

Y MCTS Dealer Administrator has the ability to enter and edit data.
Y MCTS Dealer User can only view data.

It is recommended that the number of administrators within a dealer is limited to


help maintain the data integrity of the system. The designated MCTS Dealer
Contact person should make all requests for access to MCTS to the MCTS
System Administrator. The MCTS System Administrator will need the names,
CWS log-on ID and the level of access: MCTS Dealer Administrator or MCTS
Dealer User, for authorization. The Dealer Contact person should complete
training with MCTS System Administrator to understand the system and the
process.

How Does MCTS Work:


Y MCTS is an Internet based dealer system, which treats each component
like a prime product.
Y Components are tracked from first delivery through each life cycle and
each vehicle on which they are installed.
Y MCTS only tracks component hours at installation and removal - it does
not track daily hour accumulation.
Y Each life cycle consists of an installation and a removal.

What is Required to Implement MCTS?


Contact the MCTS System Administrator to set up Dealer Profile and advise of
intent to enter data. Components must be tracked from first life – from the
factory. MCTS is fed machine configuration from the factories, the first install of
the engine, transmission and torque converter is already in the system.
Components with install/remove history must have history entered prior to being
tracked in MCTS.
New components may be entered as the first remove is recorded.
The User may also update the history of a component in its first life to show
Customer and Job Site data, Dealer/Customer Id Numbers and Location on Host
information.

History Data
Y Select the population to be entered into MCTS. This will usually be the
same as what is being tracked today by the dealer’s system.
Y Transfer component history to a MCTS Data Input Spreadsheet-History
Data. Check and correct data errors in this process.
Y Submit completed MCTS Data Input Spreadsheet to the MCTS System
Administrator. The MCTS System Administrator will review the

spreadsheet for errors, omissions, or conflicting data, and contact the
dealer for corrections.
Y The MCTS System Administrator will download data into MCTS and
perform quality audit to assure correct data transfer. During this phase,
the data will only be viewable by the owning dealer and the MCTS System
Administrator. Reports are generated to identify sequence errors.
Y After audit and corrections have been made, the data will be released for
general viewing in MCTS.

New Component Data


Y Select the population to be entered into MCTS. This will usually be the
same as what is being tracked today by the dealer’s system.
Y Update component history as the first life cycle is completed.
Y Components not in MCTS will prompt the registration page as the
operation is entered.

Used Component Data


Y Select “Used” component type in the component registration and select
“Incomplete History” on the Component Registration page.
Y This will allow the dealer to track components for which the history is
unknown.
Y Only the Component History, Prime Product History and Life Cycle
Spreadsheet reports are available for used components.

Contact the MCTS System Administrator for more information.

MCTS Login Procedure:

To Access MCTS:

Step 1: The MCTS Dealer Contact should request access from the MCTS
System Administrator for access (User or Administrator). Provide
name, CWS login ID and what level of access.
Note: It will take up to an hour for the systems to update authorization. If you do
not have access, a page will display MCTS Administrator contact information.

Step 2: Open web browser


Step 3: Type the URL below into the browser address box:

https://mcts.cat.com

Step 4: When the Cat Web Security page opens, enter your login I.D and
password.

Your Web Security password expires every 30-90 days. You will be prompted to
change it. If you do not have a CAT Login I.D. or have any other questions,
please contact the dealership Information Security Coordinator.

Step 5: When you enter the MCTS web site for the first time, you will be asked
to review and agree to a User Agreement. If you do not wish to agree, you will
not be allowed access to the website.

Also, the first time you login to MCTS after a new enhancement is released, you
will see a pop-up screen with examples of the new functionality. (See screenshot
below.)

If you want to view the Automatic Enhancement Notice at another time, but still
want the pop-up to remind you, just close the window.

However, if you don’t wish to see the pop-up until there is another new
enhancement, check the box - “Do not show this notice until the next
enhancement notification” and click on “Close”. You will still be able to view the
Enhancement Notice (PDF) under Help/Latest Enhancements until the next new
enhancement is released.

Step 6: Once MCTS access is gained, the main menu is located across the top
of the MCTS homepage. (The entire Home Page is pictured on Page 1.)

Note: The screenshots shown in the User Manual will be for the MCTS Dealer
Administrator. MCTS Dealer Users and MCTS CAT Users will not have the
“Admin” Option.

Using MCTS - General Information
The MCTS Dealer Profile Form must be submitted to the MCTS System
Administrator. This form contains the registration information for the dealership
to be added to the dropdown dealer list. You will not be able to enter any data
until the set up is complete.

Serial Numbers and headings, which appear in blue, are links to that
report or function. For example, in the Component History Report below, if you
click on the “View Current Status”, the Current Status report will open for this
component. If you click on “Show Critical Parts”, the Critical Parts for the
Component will open at the bottom of the page. If you click on the Prime Product
Serial Number the History Report for that Prime Product will open. If there are
comments or notes regarding an operation, in the Notes column, the View link
will open the Notes box. For an MCTS Dealer Administrator the Edit link at the
end of each operation will open that operation for changes to be made. The ****
indicates there is missing data in that operation. A printer friendly version of the
report will open when you click on Printable View.
MCTS user must set up the page when using Printable View option. Most
reports should be printed in landscape setting.

The crumb trail located at the top of the page, indicates what steps you took to
get to the page you are on. These also become blue links as the mouse passes
over them. For example, if you click on Serial Number Search, it will return you
to the serial number search page.

Notes Example:

In various places, you will find help notes in hover text when you allow your
mouse curser to rest on a specific area. These are user aids to clarify an
operation or indicate a column title.

The data is accessible by the most current dealer owner. If a component has
moved from one dealer to another, the first owner is indicated, but cannot access
the data to edit or update.

Reports
Component life data in MCTS can be viewed in several reports.
All of these reports are accessed through the Reports drop down menu. All of
the drop down menus are accessible from any page in MCTS.

The choices for reports are:

1) Serial Number Search (History & Current Status of any serial number)
2) Component Fuel Search
3) Prime Product Search
4) Component Life Query (Component Life Reports)
5) Dealer Profile Search

Serial Number Search


Click on Reports to open the drop down menus. Click on Serial Number Search button.

The Serial Number Search page is opened.

Enter desired Serial Number (Major Component, Critical Part or Prime Product).
For Major Component or Critical Part the Component Type should always be
“All”. For a Prime Product, you may choose all to view all components in the
chosen Prime Product either currently or a history of all components which have
been in this Prime Product. If you wish to choose a specific component for a
specific Prime Product, select the component type then choose History or
Current Status. See examples.

Reminder: The screen shots are for an MCTS Dealer Administrator. The MCTS
Dealer User and the MCTS CAT User will not have the “Admin” Menu option or
“edit” links. Example below:

Serial Number Select

To search for a serial number, click on “select” on the Serial Number Search
page. This search option will enable you to look up a serial number.

Select Main Store Dealer Code from the drop down box and enter Serial Number
Prefix. The Serial Number Select screen is the same for all “Select” links.

Click on Serial number to select.
This will return you to the Serial
Number Search page and insert the
serial number. Click on “History” or
“Current Status” button to continue.

The following examples will show how easy it is to navigate through MCTS
Reports.

History Reports

Major Component & Critical Part

You may navigate through different aspects of the report by the blue links. Click
on Show Critical Parts and any critical part that has been installed in this
Component will display. You can also access the Create Major Component

Operation pages from the Component History page by clicking on the button.
Click on the Hide Critical Parts to close that portion of the report.

You may click on the View Current Status link from either the Serial Number
Search Page or the History Page.

Current Status Reports

Click on the blue Critical Part Serial Number in the Component History Report
and you will be directed to the History page for that Critical Part serial number.

To edit the header information for the component or critical part, including Notes,
click on Edit Header link on the Component History or Critical Part History page.
Here you will also see the last person to update the Header record.

User Name & ID


User Name & ID

You can also click on the blue Prime Product Serial Number in the Component
History Report and you will be directed to the History page for that Prime Product
serial number.

Prime Product History –All Components

In the Prime Product History, all Components that have resided in the prime
product are listed in alphabetical order by component type, with the most current
operation on top. The lines are numbered for easy reference.

You may go directly to the Component History Operation by clicking on the


Component serial number in blue.
To edit the header information, including Notes, click on Edit Header link. Here
you will also see the last person to update the Header record.

User Name & ID

Prime Product – Specific Component

Enter the prime product serial number and select a component from the drop
down box. This function applies to the Serial Number Search for Prime Product
only.

Example: Prime Product History Report – all wheel groups that have resided in
this truck sorted by location on host.

Component Fuel Search
This search will show all components for the chosen dealer, that have fuel usage
entries.

Select Component Fuel Search from the Reports Menu. Select desired Main Store
Dealer Code, from the
drop down list of MCTS
Dealers.

Then select Dealer from drop down list and click on Search button.

Prime Product Inquiry
Select “Prime Product Search” this will open the Prime Product Search.

Enter Sales Model Number:

In this step, you may now to choose to see a specific model number or all
generations of that model number. For example enter 793B if you want to see
only data for 793B components. If you wish to see all generations of 793, enter
793 and click box to the right of the model number: “ All Generations”. This
will list all 793, 793B, 793C, 793D.

This Report will show all Prime Product Serial Numbers, Sales Model,
Manufacturer (Cat or Non-CAT) Prime Product Dealer/Customer ID and Job Site.

Each line has been numbered for easy reference.

To Download this report to an Excel file, click on “View Excel Report”. Due to a
Microsoft Excel Security update – you must save the file before opening
otherwise, the document will not open.

USER TIP: If there is no data entered for the components of that model, but a
dealer has had that specific model delivered to them, only the Prime Product
Serial Number, Model Number and Manufacturer information will show. The
Dealer/Customer ID and Job Site data will show only for Prime Products that
have been hosts to tracked components. If the columns for Dealer/Customer ID
and Job Site are blank, there is no data entered for those prime products beyond
the first install at the factory. If there are machine serial numbers missing that
you know belong to your dealership. The dealer code may not have been
entered at the factory. Those numbers can be accessed via the Serial Number
Search.

To go to the History Report for a specific Prime Product Serial Number, click on
the blue serial number.

Please Note: If the equipment shows a Main Store Dealer code and it is
incorrect, please contact the MCTS System Administrator so it may be corrected.
Sometimes the data received from the factory may have a facility code. The data
was sent to MCTS prior to the dealer information being recorded.

Component Life Query

Component Life Query – Basic Option


Select “Component Life Query”.

Select “Component Life Query”. This will


open the Component Life Query-Dealer page.
Select desired Main Store Dealer Code, from
the drop down list of Active MCTS Dealers.
Then Click on “Continue”.

The Component Life Query – Criteria page will open.


First choose Report Type, the query screen for that report will display.

In the Basic search, if you choose either the “Life Cycle Spread Sheet” or “Life
Cycle Summary”, both reports use the same query request shown below.

After you have chosen a Report Type, enter the Sales Model Number. You may
choose to see a specific model number or all generations of that model number.
For example enter 793B if you want to see only data for 793B components. If
you wish to see all generations of 793, enter 793 and click box to the right of the
model number: “ All Generations”. This will list all 793, 793B, 793C, 793D for
example. Then choose a Component Type. All other fields are optional. MCTS
defaults to “All” for Job Site and Job Site Type.

Job Site Types: You can choose “All” or a specific type. The Job Site and Job
Site Type information is set up in the Dealer Profile when a dealer begins using
MCTS.

Job Site Types in MCTS are currently:

• Aggregate • Municipal
• Bauxite • Quarry
• Coal • Silver
• Copper • Smelting Facility
• General Construction • Tailings Dam
• Gold • Tar Sands
• Iron • Waste
• Kimberlite • Zinc
• Limestone
• Military
• Mine Reclamation

Life Cycle Spreadsheet
The Life Cycle Spreadsheet contains component history as defined in the
query. The Report may be for all or it may be more defined by choosing any mix
of a specific Job Site and Job Site Type.

If you would like to view the notes on a given operation, then just click on View
on the detail page.

The Life Cycle Spreadsheet in this example shows all of the 793 engines for the
chosen dealer at all job sites for all job site types, all life cycles, all installation
and removal types, all removal dates.

The Life Cycle Spreadsheet can be downloaded to an Excel file and has a printer
friendly view available. Due to a Microsoft Excel Security update – you must save
the file before opening otherwise, the document will not open.

Life Cycle Summary


The Component Life Summary identifies component life by machine model,
customer and job site. It summarizes customer and fleet specific component life
cycle history by:
• Failures
• Wearouts
• Planned Component Replacements
• Unknown (due to incomplete information)

By clicking on the percent under the Removal Reasons, you can view the data
set that makes up the percent of that reason. If you would like to view the notes
on a given operation, then just click on View on the detail page.

In the above example, there are no entries for which Fuel Usage has been
recorded. When there are operations with Fuel Usage recorded, the following
Fuel Analysis will display below the Life Cycle Summary.

Component Life Query - Advanced Option

If you would like to Search by Marketing Organizations, Region and/or District,


click on the Advanced Search radio button on Component Life Query page 1.

Next, select a Marketing


Organization from the list. You may
then choose “All” for Region and
District or you may choose from the
drop down lists as shown. Click on
“Continue”.

The next step in the Component Life Query – Advanced Option, you will choose
a Report Type as in the Basic Option. However, there are more options to
search by in the Advanced. As in the Basic, the Query shown will be for the
report chosen. In the lower 4 areas of the Advanced Search, the options are the
same for both a specific dealer or marketing organization.

Search Criteria for the Query shows on the header of the reports: Life Cycle
Spreadsheet and Life Cycle Summary.

The columns Sales Model, Install Dealer, and Removal Dealer, identify owner of
the component and sales model of host prime product.

General Notes

When searching by specific model number, life cycles that were in other model
numbers will not be shown. Example: An engine spent life cycle 1 in a 793 and
life cycle 2 & 3 in a 793B. A Life Cycle Spreadsheet was requested for 793B
engines. Only life cycle 2 & 3 will show for that particular engine in the requested
report. To view all, you must use the “all generations” option for the model
number. The same may happen if a component moved through different
jobsites.

If the Life Cycle Spreadsheet is long, you may identify the columns by pausing
the mouse over the chosen column. The hover text title will appear displaying
the column heading.

Life Cycle Summary:

With the advanced search option of removal date range, there may be data
excluded which will greatly affect the calculations in the Life Cycle Summary.

Any questions or difficulties with the Life Cycle Query – Advanced, please
contact the MCTS System Administrator.

Life Cycle Summary

MCTS Weibull
MCTS Weibull is the third choice in the Life Cycle Reports. The Component Life
Query screens for the Weibull are the same for both basic and advanced search
options after the dealer or marketing organization has been chosen.

MCTS Weibull can assist the MCTS user in predicting the life of a specific group
or population of components. MCTS Weibull is the most effective tool if the
population of components being analyzed have not all completed the specified
life cycle and you wish to predict the performance of those still operating. The
MCTS Weibull will take the data from the components that have completed the
specified life and make the calculations to assist you in predicting how the
remaining components will perform. With a click of a button, the information will
be at your fingertips. There is also a MCTS Weibull Tutorial available to explain
the basics of MCTS Weibull. The MCTS Weibull Tutorial is found under the
“Help” Menu.

On the Component Life Query page, choose: Weibull Plot as Report Type,
enter Sales Model Number, choose Component Type (from the dropdown list), a
specific Job Site, Job Site Type or leave at “All”, you must choose specific life
cycle.

The MCTS Weibull Plot is generated for only one life cycle at a time.
Then click on “Create Report”.

The MCTS Weibull Plot will display.

Outlying data points can be eliminated from the MCTS Weibull to make the plot
more accurate.

Outlying data points are points relatively far from the majority and may reduce
the accuracy of the data analysis. Outlying points below 1000 hours are early
hour removals that can be caused by assembly or manufacturing errors, or data
entry errors. Outlying points above 30,000 are high hour removals that can be
caused by data entry errors or inaccurate data.

These outlying points can distort the true picture of the data. By using the
Eliminate Outlying Data Points option located beneath the MCTS Weibull Plot,
you can adjust the MCTS Weibull Plot accordingly.

Dealer Profile Search
The Dealer Profile page will show Main Store Dealer, Customer Names, Job
Sites and Job Site Types. You will also be able to find out what models and
which components that dealer is tracking.

Choose the desired Main Store Dealer Code from the drop down list and click
“Search”.

The Customer and Job Site data are supplied in the Dealer Profile Form
submitted to the MCTS System Administrator. Periodically throughout the year,
the MCTS System Administrator will request that you review the Dealer Profile to
keep it up to date and correct.

Due to the impact on search functions, this information is entered and maintained
by the MCTS Administrator. If corrections or additions are needed, please
contact the MCTS Administrator. This is the information submitted in the Dealer
Profile Form.

The listing of component and model numbers is generated from MCTS data. Any
component with a complete first life cycle will display on the list. It will also trigger the
prime product host model number to display. Indicating that there is at least one
complete life cycle recorded in the system.

Admin

Enter New Install/Remove Operations for Major Components and Critical


Parts, Register Components, Register Prime Products

The Admin link allows the User to enter install/remove data for a given Major
Component or Critical Part. If the serial number of a Major Component, Critical
Part or Prime Product Host is not already in MCTS, the User will be prompted to
register it as the install/remove data is being entered. Create Operation pages
may also be accessed from the Component History page.

New Major Component Operation

Step 1:

Choose Admin – New Major Component Operation:


Enter Serial Number and Date (may use calendar icon link to choose date)
Click on Continue.

OR

Click on Create Operation button on the Component History page.

Register Major Component


If the Serial Number is not found in MCTS, the Register Major Component Page
will open. The information box outlined in red below offers information on many
screens throughout MCTS.

This will register the Major Component in MCTS.


The Major Component Serial Number will be displayed.

Select CAT or Non-CAT (Manufacturer) – this refers to the manufacturer of
the component only.

If the history of this component is unknown, you must click the “yes” radio button
by “Unknown History” to display the list of “used “ components. This helps to
keep the component data with known history separate from the component data

hours from the previous Remove Operation Detail will be carried over. The User
can enter 0 if they do not wish to carry over the hours. Otherwise the default for
SMU is “0”. If Editing an operation you will need to manually insert the carryover
hours.

FUEL – If a dealer is tracking fuel consumption, it would be entered here.

Location on Prime Product (host): Drop Down menu for location of

Prime Product Serial Number is entered here or you can use the Serial
Number Select Option to search for it. If non-Cat, you will need to add your

Select Job Site – The Job Site field is drawn from the Dealer Profile data and
displayed in a drop down menu.

To Continue, click on “Save”. If you want to restore the data on the page, as it

If the host has not been registered in MCTS, a page will open and ask for the
registration data, before the operation is saved.

Mailbox Data Corrections

If a dealer has a verified database for collecting component life data, an interface
can be written to download the required fields for MCTS and transmitted regularly
to MCTS via the Caterpillar electronic mailbox. Any data that is rejected will
show in this page and can be corrected and released to MCTS tables. Please
contact the MCTS System Administrator for more information.

SIMS Data Search Screen


The ‘SIMS Data Search” link under the Admin tab allows you to search for SIMS data and
generate an Excel Spreadsheet. This spreadsheet would then be reviewed / edited and sent
to IT personnel to upload into MCTS application. This screen is currently only supported by
Internet Explorer (IE) and is not supported by Chrome.

Required fields to search:


1. “Basic” or “Advanced”
2. “Sales Model”, “Serial Number Range”, or “Serial Number”
3. Repair Date Range
4. At least one additional parameter of the following (by default all are selected):

Build Date
Factory recorded date of completion for the prime product and components. This
is the first install date from the factory.

CAT Reman
A major component or critical part that has been remanufactured by CAT.

Component Life Projection


Prediction of how long a component will last with the use of statistical tools such
as MCTS Weibull Analysis.

Component Life Summary


Identifies component life by machine model, customer and job site. Includes
average life and percent replaced due to Failure, Wearout or PCR.

Component Life Spreadsheet


Lists component history by machine model, customer and job site.

Contingent Damage
A component is removed because of damage done to it caused by the failure of
another component.

Critical Part
A part within a major component.

Critical Part Location on Major Component


The position of the critical part within the major component (Left, Right, Front,

Unknown History
The history and/or origin of a component or prime product are unknown. For
example – a piece of equipment purchased used with no record of service
history. MCTS may have the factory information for the first life, but there is no
information available between the build date and the current date. There is
limited reporting functionality for these components.

Transfer
Major component or critical part is moved from one host to another, it was not
repaired and the SMU are carried over.

Wearout
Component indicates it is at the end of its usable life, but has not failed.

MCTS Basic Information
This information is included in an e-mail sent to inquiring users.
Access is required to view MCTS website. Only participating dealers have
access to the website. When choosing to use MCTS, a Dealer must commit to
keeping the data current. Access will be granted for a limited period of time,
approximately 30-90 days, to enable a dealer to review MCTS. If the dealer
chooses not to participate, that access will be terminated.

1) Access to MCTS Website

There are two types of access to MCTS - MCTS Dealer User and MCTS Dealer
Administrator. This access is controlled by your CWS Login ID. A MCTS Dealer
User may only view the screens in MCTS. A MCTS Dealer Administrator can
view and update your data. It is recommended that there are a limited amount
of MCTS Dealer Administrators in a dealership to control data issues and
maintain data integrity. Please e-mail the name and CWS Login ID for those
who need access and indicate MCTS Dealer User or MCTS Dealer Administrator
to the MCTS System Administrator. This request must come from the MCTS
Dealer Contact Person. The CWS system updates every hour, so there is not
much delay in getting access.

2) Dealer Contact Person

A single point of contact at the dealership, who will be responsible for the data
and any details regarding MCTS, should be appointed as the MCTS Dealer
Contact person. This person will receive e-mail requests and updates from the
MCTS System Administrator and will be responsible to relay communications to
all MCTS Users at the dealership. The MCTS System Administrator will be the
contact at Caterpillar and can do on-line demonstration/training if desired. It is
recommended that the MCTS Dealer Contact Person, and any other person who
will be entering or editing data, participate in training.

3) MCTS User Guide

This is a screen-by-screen, line-by-line self instruction presentation on how MCTS


works and how to use it. It is found under Help menu drop down. It is large
PDF file that contains pages of screen shots showing the input and output
function of each line on each screen. It is intended as self instruction for new
users. To view it:
- Go to Internet Explorer and clear the address box.
- Type in: https://mcts.cat.com Enter.
- The corporate web security screen will appear. Type in your CWS ID and
password, click on submit and the MCTS menu screen will appear.

- On the top of the homepage, you will find the word “Help”. Click on it and
a drop down list will display, from there you choose “User Manual” and the PDF
will open for viewing or printing.

4) MCTS PowerPoint Presentation

Attached you will find a presentation that is an basic introduction of MCTS. This
presentation is also available on Catminer.com.

5) Data Input Spreadsheet - History Data Loading Only

Since MCTS tracks a component from the factory. MCTS already has the basic
information for the first install. If your dealership elects to use MCTS, the biggest
job will be to transfer existing history into MCTS. This must be done to have a
“complete” record of the components lives. We have tried to make this as simple
as possible by providing a standard format on an Excel spreadsheet. Once
records are transferred, send them to me, and I will review them for any
overlooked errors or omissions. These spreadsheets are put through various
edit programs to check for errors such as model number, serial number format,
date format, etc. If any are found, I will work with the appointed MCTS Contact
Person or person submitting the data to get the data corrected. Once the data is
as complete and correct as possible, it will be loaded into MCTS. As the data is
loaded reports are generated indicating any sequence errors or other errors that
occurred as the new data is added to the existing data from the factory. These
issues are reviewed and corrected as possible. During this time, the data is only
viewable by the submitting Dealer and the MCTS System Administrator. When
all corrections are made, the data is released for general view.
This is a time consuming commitment, but worth it in the end. If we don't
load history, MCTS would have reports of not much importance for several years.

6) On-line Data Entry – manual entry

If the population of components you choose to track are new, just approaching
their first changeout, the data can be directly entered into MCTS. All of the set-
up must completed before MCTS will accept data. It is recommended that the
person entering the data complete an on-line training with the MCTS System
Administrator.

7) Other Data Entry Options

There are few other means of getting the component data into MCTS.
 An interface option is available if your dealership uses MANAGER.
 An interface from a current system at your dealership.
Please contact the MCTS System Administrator to discuss these options.

8) Dealer Profile Form

Once you dealership has committed to using MCTS, this is the first document that
must be submitted. In MCTS, all components and prime products are registered
to a customer and mine site. The Dealer Profile contains that
information plus, components to be tracked and model numbers of machines to
be tracked. The MCTS System Administrator will enter this data into MCTS which
creates the drop down menu for the customer information. It is also displayed
under the Reports, for reference by other sharing dealers. If a dealer chooses
not to share data with other dealers, they will only see their own dealer code, no
choices.
This is an easy reference for users to be able to research the data
knowing what dealer is tracking what components. If there were not a list, the
user would have to enter a search for every component on the list for every
registered dealer to get the desired data.
The list of MCTS Dealer Administrators and MCTS Dealers will be added
to this form by the MCTS System Administrator. You will be asked periodically to
review the Dealer Profile for updates.

MCTS will be routinely enhanced to improve functionality and user friendliness.


Future MCTS improvements and enhancements will be driven by input from
users. Any suggestions you have, please document and e-mail to the MCTS
System Administrator and it will be added to our Suggested Enhancement List.

The MCTS Input Spreadsheet mirrors the install and remove screens in MCTS. For the
conversion Interface to work properly, please follow the detailed instructions here. This format
must be kept the same and there should be no hidden formulas on the submitted spreadsheet.
Also, you will find comment boxes inserted in the spreadsheet for a quick reference. You will find
that there are a few fields on the spreadsheet that do not currently exist in MCTS. These were
included to make our process consistent with the Component Life Team gathering process.
These additional fields are on our Future Enhancement List. If you have an earlier version of this
spreadsheet, please note that the Install and Removal Operations are now on the same line.

Please insert Date Prepared, Dealer Name, Dealer Code, and Prepared By in the upper left
hand corner of each spreadsheet prepared.

Reminder: Don’t forget to delete sample data on spreadsheet.

COMPONENT INFORMATION:

COLUMN A: COMPONENT NAME (TYPE) (up to 20 characters)

Choose from the component types listed on the Component Type List. If the component type
you wish to track is not on the list, contact the MCTS System Administrator to have it added. A
reference list is on the MCTS Website including SMCS codes for reference. If you are tracking
used components with unknown history, you must choose the component type specified as Used.
For example: Used Engine.

COLUMN B: COMPONENT SERIAL NUMBER or CRITICAL PART SERIAL NUMBER (5 to 30


Characters)

This is the serial number assigned to a component by CAT OR the Dealer/Customer


Component Identification (ID) Number with the Dealer Code prefix. Adding the dealer code
prefix on the Dealer Customer Component (ID) Identification Number creates a unique serial
number within that dealer code. For example a final drive is not serialized by CAT, and the
Dealer/Customer Component ID Number is FD101, the dealer code prefix is added and the
number would be B350FD101. If your dealership does not use the CAT assigned serial numbers
but assigns it's own number to a component, contact the MCTS System Administrator. Please
remove preceding “0” from serial numbers that are not a part of the 8 digit serial number. Note: If
you are tracking used components with unknown history, then you must put the dealer code prefix
on the serial number, whether it is CAT or non-CAT serial number.

COLUMN C: DEALER/CUSTOMER COMPONENT IDENTIFICATION NUMBER (Up to 25


characters)

This is the number assigned to a component that the dealer or customer uses to reference
that component. For example the transmission with CAT Serial Number 6LE00657 may also be
referred to by the dealer as TR86. This number must be unique to this component. A component
not serialized by CAT may have a number assigned to it by the dealer for tracking such as DFR21
for a differential; this would be the Dealer/Customer Component ID No. This is also the dealer
assigned serial number without the dealer code prefix. This field is required when you
make any edits to the Component Header, but not required in the History Loading Spreadsheet.
It is required because we have on the “Requested Future Enhancement List” the request for a
search by the Dealer/Customer Component ID Number.

COLUMN D: CAT or NON-CAT COMPONENT

This indicates Manufacturer. MCTS has the capability to track other components than those
manufactured by CAT. Please indicate with an "N" if the component you are tracking is a non-
CAT Component. IF IT IS A CAT COMPONENT, LEAVE BLANK.

COLUMN E: COMPONENT DESCRIPTION (Up to 18 characters)

This column is used for any description that may be desired for a component or critical part. For
example, Component S/N 8WM00179, Component Type would be Engine and Component
Description may be 3516 HD or anything else the dealer may desire to use as a reference for that
component or critical part. This is not a required field.

COLUMN F: DATE OF INSTALL OPERATION

The date the component or critical part was installed. Date Format should be month/day/4
character year. For example: 3/31/2003.

COLUMN G: DATE OF REMOVAL OPERATION

The date the component or critical part was removed. Date Format should be month/day/4
character year. For example: 3/31/2003.

COLUMN H: SOURCE OR ORIGIN OF INSTALL

Where did the component or critical part come from? Choices in MCTS are: Cat Reman,
Customer Rebuild, Customer Repaired, Dealer Rebuild, Dealer Repaired, Factory Rebuild, New,
Transfer, and Unknown. The first install of a component must be: New, Cat Reman or
Unknown. If the component you are tracking is a used component and the history is unknown,
you should enter Unknown History.

COLUMN I: REASON FOR REMOVAL

Why was the component or critical part removed? Choices in MCTS are: Contingent
Damage, Failure, Wearout, PCR, PIP/PSP, Transfer, and Unknown.

COLUMN J: COMPONENT INSTALL HOURS

This would be the hours on the component at installation. If the Origin for Install is Customer
Repaired, Dealer Repaired, Contingent Damage, or Transfer the SMU hours from the previous
Remove Operation Detail will be carried over. The User can enter 0 if they do not wish to carry
over the hours. Otherwise the default for SMU is “0”. Hours is the default, please note if
different. SMU format does not accept decimal points. For example "0" or "3,045"

COLUMN K: LIFE ACHIEVED (COMPONENT SMU)

COLUMN O: FUEL USAGE

Amount of fuel consumed in a life cycle. Fuel may be in Gallons or Liters, designated on the
Dealer Profile. Gallons is the default, please note in Dealer Profile if different. Fuel format does
not accept decimal points. For example "22.5" (Must enter “0” if no data). Generally this will be
“0” on the install operation. The default is “0” since this field mostly applies to engines.

COLUMN P: PART NUMBER CAUSING REMOVAL

COLUMN W: MACHINE SALES MODEL

Please indicate the sales model number of the Prime Product (Machine).

COLUMN X: HOST PRIME PRODUCT S/N or MAJOR COMPONENT S/N

This is the Prime Product Serial Number in which the Major Component resides or the Major
Component Serial Number in which the Critical Part resides. Please remove preceding “0” from
serial number that is not part of the Caterpillar 8 digit format.

If your dealership desires to track non-CAT equipment, the dealer code prefix should be added to
the serial number, as it is with a component serial number.

COLUMN Y: HOST PRIME PRODUCT DEALER/CUSTOMER IDENTIFICATION (ID) NUMBER


OR DEALER /CUSTOMER COMPONENT ID NO. (Up to 25 characters)

Dealer/Customer ID No may be a unit number, truck number, and name, whatever the
dealer/customer uses to identify that prime product. The Dealer/Customer Component ID is the
number assigned to a component by a dealer. See Column D. Not a required field.

COLUMN Z: HOST TYPE - PRIME PRODUCT OR MAJOR COMPONENT

Please indicate in this column with a "P" for Prime Product or "M" for Major Component. This
is determined if you are tracking a component which is hosted in a machine or a critical part
which is hosted in a component.

COLUMN AA: HOST SMU AT INSTALLATION

The Host SMU (Service Meter Unit) is the cumulative SMU for the life of the host. SMU
format does not accept decimal points. SMU may be in Hours, Kilometers or Miles chosen at
the time of registering a component. Hours are the default. Please note in Dealer Profile if
different. Must enter “0” if unknown.

COLUMN AD: JOB SITE (Up to 30 characters)

The job site field is the actual mine name. Please make sure the name is correct and that the
spelling matches the Dealer Profile.

COLUMN AE: JOB SITE TYPE

Must match the Dealer Profile Information. The choices for Job Site Type in MCTS are:
Aggregate, Bauxite, Coal, Copper, General Construction, Gold, Iron, Kimberlite, Limestone,
Military, Mining Reclamation, Municipal, Quarry, Silver, Smelting Facility, Tailings Dam, Tar
Sands, Unknown/Other, Waste and Zinc. If there is a choice that you feel needs to be added,
please contact the MCTS System Administrator.
