Spreadsheets
•application package designed to store,
organize and manipulate numerical data
and charts.
•Also called electronic ledger.
•Examples : MS Office Excel, Open Office
Calc, Word Perfect Office Quattro Pro,
iWork Numbers, Google Sheets etc.

Components of Spreadsheets
1. Worksheet – Spreadsheets’ working area.
It is a grid of rows and columns.
2. Database engine – for holding and
manipulating records.
3. Formula engine – component that
processes mathematical expressions.
4. Functions library – component that holds
inbuilt mathematical expressions.
5. Graph generator – for creating charts.

Types of Spreadsheets
1. Proprietary Spreadsheets – purchase a
license e.g. MS Excel.
2. Open source Spreadsheets– available
free of charge e.g. Open Office Calc.
3. Web Spreadsheets – available online
e.g. Google Sheets.
4. Spreadsheets as a Service – available
as cloud service e.g. Excel 365.

Uses of Spreadsheets
1. Accounting
•Prepare budgets
•Accounting reports
2. Statistical analysis
•Calculating statistical values e.g. mean,
median etc.

3. Records management
•Organizes data in tabular manner making it
suitable for records storage
• they also come with records manipulation
operations e.g. sorting, filtering etc.
4. Forecasting
•Its automatic recalculation feature enables
‘what-if ’ analysis.
•Can be used to track the value of assets
(appreciation and depreciation).

5. Financial analysis
•Comes with many features that can perform
financial analysis e.g. loan repayments.
6. Decision Support System
•Spreadsheets come with advanced features
e.g. solver that can be used in decision
making by top level management of an
organization.

•Used to prepare monthly payment
summary for employees of a company.
8. Education
•Used to process exam results e.g.
subject grading, best of 7, mean score
etc.

Advantages and Disadvantages
of Spreadsheets
Advantages
1. It makes it easy to create instant
calculations/manipulation of data.
2. They present data in a neat manner
3. They are easy to change or edit.
4. It keeps data organized efficiently.
5. Most spreadsheets offer third-party
support- file can be opened by another
program.

6. There are integration options thus
enabling data sharing between programs.
7. You can create multiple spreadsheets
within one file making it easy to see
trends.
8. Can present data in chart form

enables what-If Analysis to be conducted.

Disadvantages
1. It takes time to learn the formulas.
2. Formulas differ from one Spreadsheets to
another

incompatible.
