Term of Reference – Student Tutor

This agreement sets out the terms of reference for the Student Tutor position at British
University Vietnam (BUV). The purpose of this position is to provide academic support to
students who require additional assistance to achieve their academic goals.

Requirements
To be eligible for the Student Tutor position, candidates must:
1. Be currently enrolled as a student at BUV.
2. Have completed at least one full year of study at the undergraduate level.
3. Have a minimum average score of 60% in previous academic year and no Major
Academic Misconduct.
4. Demonstrate excellent communication, interpersonal, and organisational skills.
5. Be able to commit to a minimum of 3 hours of tutoring per week.
6. Demonstrate good behaviour and not violate any University’s regulations that lead
to official warning or disciplinary action.
The inability to maintain any of the above requirements may disqualify student tutor
candidates and lead to immediate termination of the current student tutor’s term.

Responsibilities of the Student Tutor


The Student Tutor is expected to:
1. Arrive at least 5 minutes early & attend all scheduled tutoring hours as registered
with the SAS office and provide adequate notice in case of any absence or
scheduling conflicts.
2. Adhere to the tutoring session procedure diligently. Tutoring sessions must take
place exclusively in the designated locations specified and supervised by the SAS
office.
3. Keep precise records of tutoring sessions by filling out the Student Tutoring Record
form after each session. In exceptional circumstances, with approval from Student
Academic Support (SAS) Office, you may submit the form late, but no later than 24
hours after the end of the tutoring session.
4. Be committed to high-quality academic support to student tutees, including tutoring
plans and ongoing feedback.
5. Follow all University policies and guidelines related to Academic Conduct. Commit
to avoiding plagiarism, collusion, contract cheating, and any other type of Academic
Misconduct.
6. Only support the tutee on learning strategy and explain course content through the
use of course materials and additional practice. You can provide feedback but must
not provide your paper or notes, write assessments, or edit for tutees.
7. Communicate clearly and effectively with student tutees, using appropriate
language and terminology for the subject area being tutored.
8. Always maintain a professional and respectful demeanour when interacting with
students, faculty, BUV staff and stakeholders.
9. Commit to ongoing development activities, including attending all required training
sessions and staying up to date with best practices in tutoring as requested by the
SAS Office.
10. Participate actively in academic and promotional activities that support the Student
Tutor program, such as mentoring new tutors, assisting with program outreach
events, and contributing to program development initiatives.

Not meeting these responsibilities could potentially lead to disqualification as a student


tutor. It is essential to consistently fulfil all duties associated with the student tutor role to
maintain eligibility and ensure the program operates effectively.

Evaluation & Recognition


Student tutor performance is evaluated by the SAS Office based on four key areas: tutee
feedback, booking volume & frequency, engagement, and professional conduct.

• Tutee Feedback:
This criterion assesses the quality of feedback received from tutees regarding their tutoring
experience. Positive feedback indicates that the tutor effectively meets the needs of their
tutees and provides valuable assistance in academic improvement.

• Booking Volume/Frequency:
This criterion measures the frequency and volume of tutoring sessions booked by tutees
with a particular tutor. It reflects the demand for the tutor's services and indicates their
availability and popularity among students seeking academic support.

• Engagement:
This criterion evaluates the level of engagement and involvement of the tutor in various
activities related to the tutoring program. It includes contribution in academic and
promotional activities, such as creating social media content to promote the program,
attending training sessions to enhance tutoring skills, and serving as a workshop leader for
instructional sessions like exam recaps which aim to review key concepts and address
student questions. Active engagement demonstrates the tutor's commitment to the
program and their willingness to contribute to its success.

• Professional Conduct:
This criterion assesses the professionalism and reliability of the tutor in fulfilling their
responsibilities. It includes factors such as punctuality, adherence to scheduled tutoring
sessions, and maintaining a positive and respectful demeanour during interactions with
tutees. Professional conduct is essential for building trust and rapport with tutees and
ensuring a conducive learning environment.

Achieve Expectations Performs well and consistently meets 100
(A) expectations
Need Improvement (NI) Meets the basic requirements and 50
generally performs adequately

Termination of
the tutor period

Duration of Agreement
This agreement will be effective from the start of the semester and will terminate at the
end of the semester.

Confidentiality
The Student Tutor agrees to maintain the confidentiality of all information related to their
work as a tutor, including but not limited to student records, academic progress, and
personal information.
Nevertheless, it's crucial to emphasize that this confidentiality is subject to certain
conditions. In situations where there are concerns jeopardizing the safety or well-being of
students, faculty, or staff, the obligation to report such information to the SAS team
overrides this duty of confidentiality.

Acknowledgment
The Student Tutor acknowledges that they have read and understood the terms of
