Explain the benefits and features of planning with SAP Integrated Business Planning

Overview of IBP

Figure 1: Integrated Business Planning - Overview

Integrated Business Planning has a number of applications which are each licensed
separately.
Sales and Operations planning is a core component, used in most if not all implementations. It
enables you to plan interactively or in the background via the Excel interface, or analyze your
plan via the web interface. It allows you to create your own attributes and key figures with you
own calculations and also contains basic demand planning functionality.
IBP for Demand contains advanced forecasting and demand sensing algorithms. Similarly,
IBP for Inventory has advanced inventory management functionality.
IBP for Response and Supply allows you to sort demand by priority, then plan supply to match
with a constraint based optimizer, or an unconstrained heuristic.
Supply Chain Control Tower provides visibility across all of the other components.

Lesson 2
Overview of IBP Response and Supply

LESSON OBJECTIVES
After completing this lesson, you will be able to:

Describe the main functionality within SAP IBP Response and Supply planning

Overview IBP Response and Supply

Figure 2: Integrated Business Planning - Response and Supply

Most IBP components plan with „time series" - all the requirements in a particular „bucket"
e.g. week or month, are grouped together and a matching supply generated by either an
unconstrained heuristic or an optimizer that considers constraints.
IBP for Response and Supply supports this, but also allows you to plan by individual order.
You can sort the orders by their priority, then generate a single supply order against each
demand. Currently this is only possible with heuristics, but optimization is also in the
roadmap.

Lesson: Overview of IBP Response and Supply

Figure 3: Integrated Business Planning - Response and Supply

Integrated Business Planning for Response and Supply offers a variety of approaches that are
suitable for many industries.

Figure 4: IBP Response and Supply - Key Capabilities

You use response management to plan your company's supply and demand. This means
ensuring that you always have enough stock available, and that you can respond quickly to
any changes that might arise on short notice.
With response management, you can take care of the entire process as follows:

Create a supply plan - which can be tailored to your individual customer requirements
based on master data, transactional data, and configuration data imported from any
systems, as well as forecast information.

© Copyright. All rights reserved. 5

Unit 1: Introduction

Control which orders will be processed first - you do this by creating rules with which to
rank customer orders by priority.

React quickly to any unforeseen supply and demand changes, using simulations (what-if
analysis) to try out potential solutions, and then update your live plan accordingly.

Analyze gating factors in order to better overcome them in future.

Response management requires master data (especially locations and materials),

transactional data (especially order information), and configuration data to work.

Figure 5: IBP Response and Supply - Integration capabilities

SAP IBP for Response and Supply can be integrated to other solutions via SAP HANA Cloud
Integration (HCI-DS) or SAP Smart Data Integration (SDI).

LESSON SUMMARY

Unit 1
Lesson 3
Where IBP fits into the SCM Landscape

LESSON OBJECTIVES
After completing this lesson, you will be able to:

Specify, where Response and Supply planning can be used in an SCM landscape

Where IBP fits into the SCM Landscape

Figure 6: Response and Supply Planning - main processes

Demand Prioritization
Depending on your business requirements, you might want to assign a higher priority to
certain orders. With response management, this is easy - all you have to do is create a rule for
that order. These rules will be applied during planning runs and simulations, so orders will
always be given the correct priority and processed accordingly. You can subsequently edit or
delete the rules at any time.
Constrained Forecasts
Early on in the planning process, it can be useful to anticipate future customer demand and
your own ability to fulfil it. This is what the constrained forecast is for - it considers the orders
that are likely to come in and then calculates how many of these orders you'll actually be able
to fulfil by taking the following into account:

Resource capacities

Supplier commit quantities

Material availability and lead time

Simulations (What-If Analysis)

© Copyright. All rights reserved. 7

Unit 1: Introduction

Sometimes an unforeseen demand might occur, and you'll need to react quickly and update
your supply plan. Simulations enable you to analyze the root cause of the problem and then
experiment with as many different solutions as you want without affecting your live data.
Once you've settled on a course of action, you'll be given an instruction sheet containing all
the guidelines you (or a colleague) need to update the live order. The instruction sheet is
available online and can be shared with as many relevant colleagues as necessary. You can
also download it as an Excel file.

Figure 7: Response and Supply Planning - different views required:

Lesson: Where IBP fits into the SCM Landscape

A gating factor is anything that prevents you from fulfilling an order or forecast demand on
time - for example, insufficient stock or manufacturing capacity. With response management
you can analyze these gating factors and devise solutions to overcome them.
By acquiring more familiarity with your supply chain in this way, you can also make any
necessary changes that might prevent those gating factors from arising in future.

Unit 3
Lesson 1
General Remarks

LESSON OBJECTIVES
After completing this lesson, you will be able to:

Explain the general set up and configuration needed to model Response and Supply
planning within IBP

General Points

Figure 17: General configuration of IBP

Attributes are used to represent individual entities in the supply chain e.g. product or
customer.
They are grouped together in master data types, which have at least one attribute as the key,
with the other attributes assigned to them. For example LOCATION may be the key field with
the COUNTRY it is located in, stored as a dependent attribute. Master data is loaded to the
master data types, for example all the customers and their dependent countries.
Master data types are used to build planning levels within planning areas. A number of
attributes from each MDT can be assigned to each level, which then decides their granularity.
Key figures store numeric data and must be assigned to a „base planning level" thereby using
it's particular granularily.
For example CONSENSUSDEMAND is stored at PERPRODCUST LEVE - so it contains values
for each product/customer/period combination.

© Copyright. All rights reserved. 18

Lesson: General Remarks

Another key figure CONSENSUSDEMANDBYCOUNTRY might be stored at

PERPRODCOUNTRY level - so it would contain data per product/country/period - typically
aggregating the values from multiple customers.

General configuration of IBP Response and Supply

FOR RESPONSE AND SUPPLY PLANNING – YOU ALSO NEED TO MAINTAIN:

Response Management Settings
Relation to one IBP planning area and version.
Semantic mapping of time periods, attributes, key figures or planning levels of the IBP
planning area to related properties in response.
Forecast Consumption Profiles
Define the planning level and periodicity from which the forecast key figure from the IBP
planning area is read.
Product Allocation Profiles
Are created simultaneously with the forecast consumption profile.
Both profiles can be assigned to the location material master data in ERP and are
evaluated during planning in response.

These will be covered in a later unit.

Gating Factor Analysis

Definition of Gating Factor
A gating factor is anything that prevents you from fulfilling an order or forecast demand on
time – for example, insufficient stock or manufacturing capacity. With response management
you can analyze these gating factors and devise solutions to overcome them. By acquiring
more familiarity with your supply chain in this way, you can also make any necessary changes
that might prevent those gating factors from arising in future.

Generate Product Allocations

Create Product Allocation
The process “Create Product Allocation Plan based on Priority Process” creates constrained
forecast.

This contains the following:

this generated constrained forecast can be used as an input to generate product allocation
key figure. For this copy of generated constrained forecast to product allocation quantity,
the COPY planning operator type in IBP Framework can be used.

in Standard planning area SAP7, COPY operator with key COPYFORECASTTOPALand

name Copy Forecast to Allocationcan be used to copy constrained forecast to product
allocation

the level of product allocation key figure is always same as the level of constrained forecast
key figure

Product Allocation Consumption

When a sales order item consumes the product allocation quantity, this product allocation
consumption information is stored in table /IBP/RM_PALCONS for active version. For the
simulated orders, the consumption information is stored in table /IBP/RM_PALCON_S.
In SAP IBP response, there is no backward consumption of the product allocation bucket. If
the remaining product allocation quantity is less than the request schedule line quantity,
planning run automatically consumes remaining quantity (if available) from future buckets
using forward consumption if the feature flag PLANNING RUN LATENESS STRATEGY is set to

Lesson 1
Confirmation Run 88

UNIT OBJECTIVES

Analyze Order Confirmations

© Copyright. All rights reserved. 87

Unit 10
Lesson 1
Confirmation Run

LESSON OBJECTIVES
After completing this lesson, you will be able to:

Execute confirmation run

Analyze Order Confirmations

Confirmation Run
Definition of the Confirmation Run
The confirmation run in IBP for response and supply is the basic planning run to plan sales
orders. It also considers open forecasts, fixed requirements and receipts (stock) from
execution and safety stock.
The confirmation run creates, when necessary, multi-level receipts and considers the
different valid sources of supplies available. Constraints considered in the confirmation run
are:

Resource Capacities

Supplier Commit quantities

Material availability and lead time

Product Allocations

Additionally, the confirmation run creates new confirmation proposals for sales orders.

Constraints in the Confirmation Run

Planning considers the following constraints:

Resource Capacities on daily or weekly buckets

Resources together with an initial Resource Availability can be imported from ERP based
on Work Center Capacities. Resource Availability can be overwritten and adjusted in the
IBP planning area.
Usage of resources can be derived from ERP based on production versions. Nevertheless
the bucked resource consumption must be complemented using transaction
“pds_maint”.
Supplier Constraint
A Supplier Constraint can be defined for purchasing materials in the IBP planning area.
Lead time
Lead Times for production, procurement and transport are considered in planning. The
Lead Times are imported from ERP as part of the sources of supply.

© Copyright. All rights reserved. 88

Lesson: Confirmation Run

Product Allocations
Product allocations are generated by the process “Create Product Allocation and Supply
Plan based on Priority” or created manually.

Transactional Input Data in the Confirmation Run

The following are Transactional Input Data in the Confirmation Run:

Sales Orders
Open sales order items is the primary demand which is considered in this planning
process.
Forecast
Open forecast is considered as demand in planning.
Safety Stock Target
For safety stock planning either the safety stock target defined in ERP material master or
a time dependent safety stock define in IBP planning area is considered.
Fixed requirements and receipts from execution
Fixed execution requirements and receipts like stock, purchase orders, production
orders and stock transfer orders can be imported from ERP. These elements will not be
changed in planning but requirements and receipts are considered.

Product Allocation Usage in Confirmation Run

The planning run carries out a product allocation check (PAL) when location material is
relevant for product allocation.
The input for the product allocation check is an order item (location material) with a request
schedule line (requested quantity and date), and the output of the product allocation check is
one or several confirmed schedule lines (confirmed quantities and date).
The product allocation check can be of type unconstrained or constrained as follows:

Product allocation becomes a constrained check for sales order confirmation when the
product allocation quantity is less than the requested quantity.

Product allocation becomes an unconstrained check for sales order confirmation when the
product allocation quantity is equal to or more than the requested quantity.

Note:
The confirmation of the sales order is limited to the lesser of supply and product
allocation quantity

Product Allocation Usage in Confirmation Run

As product allocation is maintained as time series storage in SAP IBP framework, the time
series consists of a start date and end date of the bucket alone with other planned objects
used.
The requested date in schedule line of the sales order item determines the product allocation
bucket by comparing with the start date and end date stored in the SAP IBP framework
