ADD OD Workload Analysis - Template
Purpose
This template is aimed at identification of adequate resourcing for an organizational unit (team, department, etc.) based on defined workload drivers as applicable
Position Name Call out the Job Role for which you are mapping the activity/work item
Organization Name Add the name of the team/section/department for which the activity will be mapped
Activity Add details of the actual work carried out. Try to capture the work at adequate level of detail to ensure objectiveness. Where feasible, ensure time can be represented in minutes instead of hours
Time Taken Capture the time taken to complete one instance of the work/activity described above
Periodicity Mention the periodicity of regular events (eg. Daily, weekly, monthly, etc.). For activities which are not regularly performed, fill as 1
Iterations Call out the iterations of an activity in 1 year time period (For periodic activities, fill as 1)
Total Hours This should be left blank. Values will be calculated based on other inputs
ADNOC Classification: Internal #
i. Conduct the emergency drill exercise de-briefing meetings and collate all the necessary observations/findings.
j. Prepare a summary of all the findings and feedbacks post the exercise and share with the CM&BC Team.
k. Establish necessary coordination with Action Owners, and timely closeout of all relevant findings.
l. Inventory assessment in terms of utilization and replenishment (foam stocks, bunkergears, SCBA units etc)
Stakeholder Management and Committees Establish necessary coordination with relevant external entities/governmental authorities/regulators
a. Attending coordination meetings and workshops.
b. Preparation of necessary requirements as demanded by relevant entities.
c. Participates in mutual aid exercises (NCEMA, Civil Defence and neigbhouring facility operators)
d. Provide necessary security updates to relevant entities as deemed necessary.
e. Supports in obtaining certificate of compliance for company sites.
New Projects Establish and ensure alignment with HSE standards, procedures and relevant codes.
a. Review and incorporate relevant HSE requirements on specific scope of work.
b. Attend pre-bidding clarification meetings/kick-off meetings upon contract award.
c. Coordinate and facilitates site reconnaisance site survey for the bidders/consultants/service providers.
d. Assisting with necessary HSE documentation in finalizing the scope of work.
HSE Trainings and Communication Communicates HSE messages and necessary engagement sessions
a. Develop an internal plan for safety talks and awareness sessions.
b. Conduct regular internal safety talks and awareness sessions.
c. Support the roll-out of all HSE campaigns and monitor the implementation.
d. Execute HSE campaigns as per the annual approved schedule for the department.
e. Develop an implementation plan for conducting HSE trainings for the target employees as part of ADNOC Unified initiatives.
f. Provide appropriate updates on the overall progress in coordination with HSE Compliance and Performance Team.
g. Allocation and distribution of HSE campaign materials across all relevant sites.
h. Prepare and share the post-campaign reports and presentation.
i. Consolidation of all relevant data related to the campaign implementation and progress.
j. Support in preparation of "HSE Flashes" and "Lessons Learnt".
k. Delegate site HSE Team to confirm if "HSE Flashes" and "Lessons Learnt" have been cascaded to target audience.
l. Assign HSE team to validate the implementation of the required improvement plan and its effectiveness.
Incident Management Periodic reporting of safety observation/incident/near-misses
a. Report safety observations based on the identified KPI related to the annual HSE Assurance Program.
b. Follow-up and verify the closeout of all reported safety observations for each site.
c. Prepare and submit progress report.
d. Data gathering and review of all documentations relevant to the incident.
e. Participate in incident investigation as a team member.
f. Provide guidance during preparation of ToR and actual investigation in line with the relevant HSE Standards.
g. Prepare, and review of incident investigation report ahead of draft presentation to the incident owner.
