MS-Excel Shortucut Keys

Ctrl + N New File


Basic Operations
Shift + F11 Creates a new sheet
Ctrl + S Save File
Ctrl + W or Ctrl + F4 Close File
Ctrl + O Open file
Ctrl + C Copy
Ctrl + X Cut
Ctrl + V Paste
Ctrl + Alt + V Paste Special…
Ctrl + D Copies the first cell down in a selected range
Ctrl + R Copies the first cell to the cells on the right side in a selected range
Ctrl + Z Undo
Ctrl + Y Redo
F2 To edit an entry in a cell. Select the cell and press F2
Ctrl + ; (semi-colon) Inserts the current date
Ctrl + Shift + : Enters the current time
Repeats the last command or action, if possible. When a cell reference or range is selected in a formula,
F4
F4 cycles through all the various combinations of absolute and relative references.
Ctrl + A Selects a range, then the entire sheet
Ctrl + Tab Switch between open workbooks / files
Movement and Selection
Ctrl + Page Up Selects the sheet to the left
Ctrl + Page Down Selects the sheet to the right
Navigate around the sheet in the four directions very quickly. It jumps between filled cells and empty
Ctrl + Arrow keys
cells. Use the Shift key along, to select the range.
Ctrl + Home Takes you to the top, left of the sheet
Takes to the last used cell (bottom right) - it is the intersection of the last used row and last used column
Ctrl + End
and may be empty.
Shift + Home Selects all the cells between the current cell and column A
Ctrl + Shift + Home Selects all the cells between the current cell and cell A1
Ctrl + G or F5 Displays the Go To dialog box.
Ctrl + [ Selects the cells that are used in the formula
Ctrl + ] Selects the cells (containing formula) that use the value of the selected cell
Ctrl + space bar Selects the current column(s)
Shift + Space Selects the whole row.
Ctrl + 1 Opens 'Format Cells' dialog box for whatever is selected
Ctrl + Shift + ~ Applies General format
Formatting
Ctrl + Shift + 1 Applies number format
Ctrl + Shift + 2 Applies time format
Ctrl + Shift + 3 Applies date format
Ctrl + Shift + 4 Applies currency format
Ctrl + Shift + 5 Applies % format
Ctrl + Shift + 6 Applies scientific number format (can be skipped)
Alt + Enter Line break in a cell
Ctrl + K Opens the Insert Hyperlink dialog
Ctrl + T Format as table
Ctrl + + Insert Cells / Rows / Columns (need selection)
Ctrl + - (minus) Delete Cells / Rows / Columns (need selection)
Insert / Delete, Show / Hide
Ctrl + 6 Show / hide objects
Ctrl + 9 Hides the selected rows
Ctrl + 0 Hides the selected columns
Ctrl + Shift + 9 Unhides any hidden rows within the selection
Ctrl + Shift + 0 Unhides any hidden columns within the selection
Ctrl + F1 Hides / shows the ribbon
Ctrl + Shift + F1 Hides / shows the ribbon and tabs also
Ctrl + ` (near Esc) Shows / hides all formulas on the sheet
Ctrl + Shift + L Apply Filters to a range
Ctrl + F / Ctrl + H Displays the Find and Replace dialog box
Shift + F2 Create or edit a cell Note
Miscellaneous
Alt + = To automatically enter the SUM function in a cell or range
Alt + down arrow Opens a drop-down list of entries already in a column
Alt + F8 Opens the Macro dialog
If you have a formula that is showing an error, you can see the result of part of the formula by selecting
F9
the part and pressing F9. The part you select must be able to calculate on its own.
