KEY OPERATING PROCEDURES
1. OVERVIEW
This operating procedure is set forth to provide awareness and observe security practices to help the CCTV
monitoring operations are consistent with accepted standard and practices.
2. OBJECTIVE
The objective of Company CCTV System are as follows:
To reduce the potential of crime by deterring potential offender
To enhance security and assist in the management of risks through assessment of behavior and action of
persons in places following reported incidents.
To help secure a safer environment for those people who live, work and visit the areas that are
monitored.
To assist the company in general claim management
Also to recognize that no one should assume that the presence of CCTV system will guarantee safety of
persons or property at all times.
Rather, it is one vital tool by the Security’s continuing effort to enhance company security and safety.
3. RESPONSIBILITIES
3.1. Security Department will be responsible for the overall project coordination and systems maintenance of
the CCTV. Also responsible for the physical maintenance of cameras and for the ongoing software
administration of the CCTV system.
3.2. Engineering services will be responsible for providing software and communications support as required.
3.3. Governance will be primarily responsible for the monitoring, reviewing and retrieval of footage and
enforcement of these guidelines.
Access to and use of recorded material shall only be by authorized by the Property Manager.
Authorized staff and contractor’s personnel (security) involved in the operation of the CCTV system are
required to adhere to this policy.

4.1 SYSTEM DESCRIPTION
4.1.1 The CCTV system contains a number of cameras which are networked to stand alone digital recorder units
4.1.2 All images are generally recorded and will be retained for a period as company required and automatically
overwrite as each system image management (DVR) becomes full.
4.1.3 Unless retained as part of investigation or court proceedings, or for other official company purposes, as
determined by the Property Manager in consultation with the Security.
4.1.4 Recordings are taken 24 hours a day where screens are monitored live.
4.1.5 No sound is recorded.
4.2 CAMERA UNITS AND LOCATIONS
4.2.1 No cameras will be placed in locations of expected privacy. Interior cameras maybe placed in locations of
high foot traffic, suspected offenders activity and/or high value equipment where personal and/or
company property safety is a concern.
4.2.2 “Dummy” cameras may be used as a deterrent when deemed appropriate.
4.3 EMPLOYEE INFORMATION
4.3.1 The existence of the cameras outside and inside the company buildings will be clearly apparent to the
employee and visitors signs that CCTV cameras are operating. Signs will be displayed at entrances and at
other key points:
Inform the public that cameras are in operations
Identify that the company as owner of the system.
4.4 MANAGEMENT OF ACCESS AND VIEWING OF CAMERAS
4.4.1 The company CCTV system will be locked in a separate limited access room at the Security Office. Only the
Security Manager and designated security operator (contractor) will be authorized to access and operate
the system.
4.4.2 Access to the CCTV system is for authorized staff and contractor only. For security, the system is password
protected.
4.4.3 Non-authorized personnel will not be permitted access to the CCTV system at any time.
4.5 ACCESS TO RECORDED MATERIAL
4.5.1 The retention of, and access to recorded material will be only for the purposes provided by these
guidelines.
4.5.2 Access to and use of recorded material will only take place:
In compliance with the needs of management to assist investigation of incident
Can be viewed only on a “need to know” basis, as determined by the PM and Security.

4.5.3 Information obtained through CCTV monitoring maybe released to persons or entities outside the
company (law enforcement) only when compelled by lawful means such as subpoena, court order or
when authorized by Security Dept. / Building Owner.
4.5.4 Recorded material will not be released to news or media sources or will not be sold or used for
commercial purposes or for the provision of entertainment without consultation and approval of Security
Dept / Building owner.
4.5.5 Recorded images shall not, under any circumstances, be used to publicize the existence of, or the
operation of the CCTV Program.
4.5.6 In any case that recorded material is required, all request must be received in writing stating the time and
date of the incident or footages for assessment and approval.
4.5.7 All requests for recorded materials shall be forwarded to the Security Department for further next action.
A database of all requests shall be maintained by the Security Department.
5. EFFECTIVITY
Example:
This standard operating procedure will become official and will take effect immediately once concurred by all
concerned groups and completely signed by all authorized approvers
