WORK SCHEDULE AND WORKING HOURS

Please be informed that the Office & Lunch Hours are as follows:

It is mandatory to check in 9 hours at work.

• The start hour is 9.30 am.

• Casual Break - 1.30 to 2.00 pm

• Use HRMS religiously to mark your attendance & file leaves and please avoid any late
check-ins and early checkouts.

• Also, please ensure that leaves are approved beforehand by respective TL’s.

APPRAISAL POLICY

Company follows two cycles of appraisal in a year depending on the teams.

Amount of appraisals are completely subject to performance.

GRIEVANCE HANDLING SYSTEM

Please be informed that company handles all/ any sort of grievances via ticketing system
embedded in your CDHRMS account. In case of any query, a ticket can be raised by the employee
and the same shall be addressed by the concerned person within 12 hours.
LEAVE POLICY

This is implicit to all the employees working in all departments in the organization. For the purpose of
calculating leave balance, “year” shall mean the calendar year commencing on the first day of
January and ending on the last day of December. Leave, other than maternity leave, cannot be
claimed as a matter of right. Discretion is reserved with the authority empowered to sanction leave,
to refuse or revoke leave at any time, depending on the exigencies of the company’s work. All leave
must be applied for at least 2 days prior for approval to immediate manager, with the exception of
sick leave, which may be intimated verbally and post facto approval sought upon resumption of
work.

The deductions from leave, will be first towards the Casual and Sick Leave and then towards Annual
Leave.

• Types of Leaves

CASUAL/SICK LEAVE/EMERGENCY LEAVE ANNUAL LEAVE

BIRTHDAY LEAVE MARRIAGE LEAVE PATERNITY / MATERNITY LEAVE

SPECIAL STUDY LEAVE SABBATICAL LEAVE BEREAVEMENT LEAVE

• Casual/Sick Leaves/Emergency Leave

Leaves unplanned are termed as casual leaves & those which arise due to contingencies/illness are
termed as sick leaves.

Employees are eligible for 8 days of such leave, in a calendar year. Employees joining after January
1st will be eligible for leave on pro-rata basis.

Leave shall be availed with the prior approval of the Manager.

Unutilized casual or sick leaves as on 31st December will automatically lapse.

Emergency leaves arise due to unavoidable circumstances.

Employees are eligible for 1 emergency leave per month and will depend on the leave
balance availability. In case of non-utilization, the emergency leave will not be carry forwarded
to next month.
• Annual Leaves

Employee will be eligible for 16 days of Annual leaves in a calendar year. New

joinees will be credited AL on pro-rata basis on completion of 6 months. Leaves

extending than 3 continuous days will be called as Annual Leave.

An Employee is required to file such leaves minimum 10 days in advance and must be availed with
the prior approval of the manager.

Holidays and weekends falling within the period during which the Privileged Leave is availed, are
not considered as part of the leave. E.g., I avail leave starting from Wed, Aug 10, 2011 up to and
including Wed 17 Aug, 2018. Sat (13/8), Sun (14/8) and Independence Day (15/8) are not considered
as Leave. The Leave availed for the period would be therefore 5 days.

If an Employee has a total of 46 ALs in the account, a maximum of 16 ALs out of that can be
encashed and a maximum of 30 ALs will be carry-forwarded.

On cessation/separation of employment the unavailed annual leave balance will be encashed and
paid along with the final settlement of the employee.

• Probationary Leaves

Only one leave per month can be taken while an employee is on probation. Any excessive leave
will be treated as loss of pay. However, an employee can not avail for any leave in the first month
of his joining.

• Birthday Leave

Effective September 1, 2011, an employee is eligible to take one day off during the month of their
birthday. Only eligible, if the birthday is on a week day.

This applies for employees on Probation as well. However, the leave will be adjusted when the
employee is confirmed.
• Marriage Leave

Employees are eligible for 5 days of marriage leaves.

This applies for employees who have completed their Probation.

Leave shall be notified at least a month in advance.

• Maternity Leaves

The duration of maternity leave according to the latest Maternity Benefit Act 2017 is 26 weeks (182
days).

To be eligible for a maternity leave an employee should have worked for at least 80 days in
the preceding 12 months with Collegedunia.

This maternity leave should not be availed before eight weeks from the date of expected
delivery.

• Paternity Leaves

The duration of Paternity leave is 5 days.

To be eligible for a paternity leave an employee should have worked for at least 6 months with
Collegedunia.

This paternity leave can be availed 2 days before the expected due date and within 3
months of the actual delivery date. Minimum 1 day and a maximum of 5 days can be
availed in the mentioned period.

• Sabbatical Leaves

After completion of 3 years with Collegedunia.com for a tenure of 6 months to a maximum 12


months. The leaves will be unpaid.
Leave shall be notified at least 3 months in advance. Approval of TL is mandatory.
• Special Study Leave

An employee is eligible for a study leave of up to 60 days after completion of 2 years of service.
Approval of TL is mandatory for such leaves. The employee enjoys to be on roll of the company
payroll but is not paid.

• Bereavement Leave

3 days leaves can be availed in the event of Bereavement of blood relative (Parents, Siblings,
Grandparents, Spouse and In-laws.)

LAPTOP POLICY

Please find the below policy for the laptops. This applies to all the laptops which are issued by
the organization to employees at all locations.

• Laptop has been stolen:

Laptop stolen from any location, be it inside the office or outside - The employee will be penalized @
50% of the current market value of the laptop.

• Physical Damage:

Damage to the laptop, because of poor handling will only be considered as physical damage.
The same will also be validated by the Laptop Engineer.

For Example – Breaking of laptop screen / USB Ports / Power Jack / Plastic (outer body) are the
common cases of physical damage.

The employee will be penalized an amount equal to 10% of the monthly pay or the invoice amount, whichever is
lesser.
PROBATION, CONFIRMATION & EXIT

You will be on probation for a period of 6 months from your date of joining and during this tenure,
your performance will be reviewed in each aspect. On successful completion of 6 months at
collegedunia web pvt. Ltd., you will be a confirmed employee.

• Notice Period

During probation, if your performance is found to be unsatisfactory or it does not meet the
prescribed criteria, your employment can be terminated by company with a notice period of
minimum 24 hours to 30 days and vice-versa.

On confirmation, you will be required to give a maximum of 3 months’ notice which might be
negotiated by you with your TL. If you resign within 45 days of your last appraisal, your FNF shall
be done on the basis of your last drawn salary.
