Event Proposal

Event Name:

Event Date:
Duration: 2 Days
Number of Teams: 30 teams with 5 members each.(Number can change based upon venue)

Event Overview:

This is a two-day immersive event designed to simulate real-world software

development experiences. Students will register individually for specific roles: frontend
developer, backend developer, intern, tester, and product manager. These individuals will
be grouped into teams to collaborate on a project. Over the course of two days, they will
experience all phases of product development—from initial task assignment to
stakeholder negotiations to final project release. The event will culminate with team
presentations where they will launch their projects to a global audience.

Objectives:

● To provide students with hands-on experience in collaborative tech roles.

● To foster teamwork and problem-solving in a real-world simulation.
● To enhance communication skills through stakeholder negotiations.
● To deliver a working project by the end of the event.

Event Structure:

Day 1: Project Kickoff and Development

● Project Introduction and Briefing

Each team will receive the details of the project they need to work on. Teams will
be given their first tasks, which will involve initial planning and division of
responsibilities.
● Development Phase
Teams begin working on their projects. Small tasks or challenges may be
provided intermittently to test their adaptability.
● Stakeholder Meeting
Teams will meet with simulated stakeholders (event organizers or invited
professionals) to discuss major project changes. They will negotiate
requirements and agree on changes they must incorporate into their project.
Day 2: Project Completion and Global Release

● Final Development and Testing

Teams will finish working on their projects. They will test their solutions, resolve any
bugs, and ensure their project is ready for release.
● Final Touches and Presentation Preparation
Teams will wrap up their development and prepare for their presentations.
● Global Project Release (Presentations)
Each team will present their completed project to the audience. The presentations will
simulate a “global release,” where the teams showcase their project features, the
challenges they faced, and how they overcame them.
● Award Ceremony
Awards will be given to outstanding teams in various categories (e.g., Best Project, Most
Innovative Solution, Best Stakeholder Negotiation).

Key Roles:
● Frontend Developer: Responsible for the design and user interface.
● Backend Developer: Handles the logic, database interactions, and server-side
functionalities.
● Tester: Ensures the project is bug-free and functions as expected.
● Product Manager: Oversees the project, coordinates team efforts, and ensures project
goals are met.
● Intern: Assists team members in various capacities, providing support as needed.

Special Elements:

● Mini Challenges:
Throughout the event, teams will be given small, time-sensitive challenges related to
their projects to keep the atmosphere competitive and dynamic.
● Stakeholder Negotiation:
At 2:00 PM on Day 1, teams will engage in a stakeholder meeting where they will have to
negotiate changes to their project with clients (stakeholders), reflecting real-world
situations where requirements evolve during development.
● Global Release Simulation:
The final presentation will be treated as the “global release” of the project, where teams
will showcase their work to the entire audience.

Awards and Recognition:

● Best Project
● Most Innovative Solution
● Best Team Collaboration
● Best Stakeholder Negotiation
● Most Promising Intern

Resources Required:
● Projectors and presentation equipment.
● Mock stakeholder profiles for negotiations.
● Refreshments for breaks and lunches.
● Prize Pool
● Venue
● Hampers Vouchers Coupons
● 150+ Doc Cards for Participants
● 40-50 Doc Cards for Organisers(Can be own also)
● Printed Certificates for winners
● Trophies

Conclusion:

This is designed to offer students an enriching, hands-on experience that mirrors

real-world software development projects. By assigning roles, encouraging teamwork,
and introducing stakeholder interactions, this event will help participants sharpen both
their technical and soft skills. The global release presentation will give teams a platform
to showcase their innovation and hard work, while also preparing them for future
professional challenges.
