ABSTRACT

In an academic institution such as, Gold Institute the process of processing student information
and registration services is associated with significant problems of additional expenses as a result
of the manual procedures required. As a result, there is a requirement for a system that can
automate procedures while also catering to the demands of management, staff, and students. This
project investigates these difficulties and completed tasks such as merging student information
and registration records by automatically registering a student using GOLD Institute format,
which includes the year of enrolment, nationality, individual number, program, in take month
just to name a few. Furthermore, the system administrator has access to the student’s records and
can save them in database for future research and reporting. To create an automated system for
students’ registration, data regarding the current system and processes were gathered and
evaluated, a system design was created using UML (use case and class diagrams), and PHP,
MySQL, JavaScript, HTML, CSS. The implemented system was tested and validated to
guarantee that it carries out its primary function properly which is to register students into the
school’s database. The system’s benefits include quick accessibility, increase in availability,
security, and reactivity, as well as lower operational and accessory expenses

CHAPTER
ONE
GENERAL
1.0. INTROODUCTIINTRODUCTION
ONaccording to Wikipedia, is an educational institution that provides instructional and learning
A school

space. Most countries, particularly Cameroon have a system of formal education which is sometimes
compulsory. In these systems, students grow through a series of schools. The aim of this system is to help
school administration in their work and will also help students register into a particular school (colleges,
high school) online. The system allows school administrations to manage student’s registration and
records online. The system manages the registration data of multiple students of various data and time.
Each time a user visits the system, his/her credentials will be stored in a database. Next time a user loge
into the system, no need for registration but rather using the user’s name and password used during the
first registration process.

1.1. BACKGROUND OF WEB BASED E-REGISTRATION SYSTEMS

The field of information has improved tremendously in the past decade with the invention of so many
kinds of new technologies for example e-commerce, e-learning and online registration to name a few. The
proposed model is to implement online registration system at HISMIL a private institution in Cameroon
with the view of improving efficiency in the registration process. The need to speed up the process of
registration at higher institutions is more vital and need is there to automate the process.

This has wasted much time and financial resource for students as they sometimes travel only to register
and some have failed to meet the stipulated time frames (chaka & mungadzi, 2013).

An e-registration is a computer-generated process that supports the operations and management of

students. This is design to record, verify, and processing of student’s information, who register to a
particular institution. Despite the service provided by e-registration system, but various institutions still
use manual procedures, they manually take down students records and information on record books in
which it is time consuming and they can easily get lost or damaged. Student Admission can be understood

1
NJONDOP

as a process in which applicants apply to be part of an institution (to be admitted to an institution). Like
the manual registration system, where the procedure of registration starts with the filling of student

Admission form by a prospective student via the university’s manual admissions department (in this case,
the secretary and admin) (malalha, 2012).

The second will be the Universities Admission Department (in this case, the secretary and the admin) will
review and consider the application for admission and it will check that all the prerequisite and required
information which is compulsory is provided or not, also the documentation required with the form just
like certificates required are attached to the form or not attached to it. If any information is lacking, the
admission department will send to the user the application from where it was initiated, to rearrange and
provide the missing documents or mandatory information required (Admission Procedure & policy,
2012).

The whole entire application will be forwarded, along with the required documents to the section of the
admission department for the evaluation, eligible staff members will have right to decide that which
application is accepted or rejected. Since there are lots of chronological steps those needs to be followed
in the manual registration process, chances are high that mistakes can be made. These mistakes compound
by thy tediousness involved in the manual registration process has got a greater impact to the university in
terms of administration and efficient running of the university, because registration is the starting point of
all other processes in an academic year.

1.1.1. PROBLEM STATEMENT

With the future rapid increase in the student population in a school like HISMIL, combined with the
current trends and development in information technology (IT), providing a high-quality student
information and registration system that is reliable, secure, adaptable, scalable, and fault tolerant becomes
a foundation issue (Group-BIT-J/14/021, 2014). After conducting a thorough interview with the staff and
students of other schools such as ISPA, it’s therefore very clear to state that there are several problems
with the existing manual system of managing student information and records especially when it comes to
the registration processes. The current registration system really needs to be redesign and improved.
These problems are discussed below.

WRITTEN AND PRESENTED BY TEMMY BRYAN ASHU

2
NJONDOP
DESIGN AND IMPLEMENTATION OF A STUDENT REGISTRATION SYSTEM

The existing system which is a manual system is said to be time consuming. This brings about delays and
long number of students are on the wait which increases the work load on the staffs and students with
costly processes in terms of purchasing accessories like paper, files and shelve, combined with

Dissatisfaction from students and staff as a result of reputation of work that may lead to inadequate
accountability and cases of redundant repeated number allocation to students (Group-BIT-J/14/021,
2014).

There is a registration problem due to some manual means of registration which can easily lead to
misplacement or loss of student information.

The manual pre-assessment of student registration system is very slow and takes a lot of time which
causes the delay in completing the entire enrolment process (research project, 2021) to consume lots of
time and human efforts due to long queue of paying money in the banks/credit-unions and registration
processes.

Due to manual means of generating reports for students, such report can easily be misplaced or lost. The
outcomes from this study will help the university to know whether or not the problems of manual
handling of students\ registration and mismanagement of records have been overcome. The level of
acceptance and use of web-based registration system by the students of the university, that the findings of
this research will give a foundation for improving e-registration at the institution. From which other
institution of higher learning in the country can copy to improve upon their own e-registration exercise
(research project, 2021).

1.2. RESEARCH QUESTIONS

CHAPTER TWO

LITERATURE REVIEW
2. INTRODUCTION
This chapter briefly describes the literature review relevant to the website-based Student Registration
System. It provides enough background knowledge based on relevant literature reviews of related works.
The chapter analyzed relevant literature and technologies to the proposed project and identified gaps in
connected systems that the suggested system could address.

2.1. THEORITICAL FRAMEWORK

2.1.1. ONLINE REGISTRATION
In a school training facility, an online student registration system streamlines the application, registration,
and monitoring of students. Online registration systems, according to (Wal, 1990). Are websites that
allows users to sign up for memberships, events, and training, by filling out a form. Manual techniques
such as enrolling by phone, mail, or at events utilizing paper forms are being phased out in favor of online

7
NJONDOP

registration platforms. Also, a registration system unifies all of the operations involved in the enrolment
process into one system. Everything happens in one place, both online and offline (josh, 2021). A
registration system’s overall goal is to assist admission staff in registering more students, it equally saves
time, money, and resources by reducing paperwork, people, and costs. Many educational institutions now
use a manual approach, particularly the capturing student registration information, which frequently
results in record loss.

2.1.2. STUDENT REGISTRATION

According to (Group-BIT-J/021, 2014), registration refers to the precise positioning of an entity or the
degree of accuracy in its positioning relative to (a) another entity or (b)and independent of reference.

Students must register in order to gain access to academic institution’s academic and administrative areas.

2.1.3. STUDENT REGISTRATION SYSTEM

Student registration system, according to (Temple, 2013), are systems that involve step-by-step
interdependent actions of formally assigning and recording a student’s enrolment and other records, and
are open to those who have already been enrolled or who are applying to be in an academic institution.
Web-based or online student registration system, according to (Maddison & Dalton, 2007) provide users
with easy access to and manipulation of information that are important to them. Because of the extent of
the benefits they bring, these systems are frequently in high demand due to the high criteria for
functionality and performance. The development of integrated and online systems is important for a
variety of reasons. It not only addresses manageability difficulties, but it also ensures component
uniformity and usability. When the overall design of the system is completed, these advantages contribute
to increased production and, as result, a better end.

2.2. EMPERICAL REVIEW

Various scholars and researchers have explored this subject of web-based student recorded management
system for the past eleven tears. New concepts have emerged as a result of recent advancements in the
process of student’s records in higher institutions, making literature reviews more difficult. However,
we’ll be looking at what researcher have written about a related topic.

(Gunawardana, Ishara, Ragel, & Radhakrishnana, 2008) conducted study on online course registration for
the faculty of engineering and in their report, they created a solution called Online Registration in the
Visual Studio 2003 development environment, as well as three projects (as part of the solution)as follow:
Registrations their system’s first project, and it dependent on the following two projects; Data Access-
this project would control the data exchange between the client and the server; and Web security- this
project would set up the database as well as handle authentication and authorization. They concluded by
saying that this paper described their experience designing, developing, and deploying an online course
registration system at the University of Peradeniya’s Faculty of Engineering. The system has not only
made the course registration process easier for all parties involved, but it has also enhanced the process by
decreasing errors

Despite the fact that their technology considerably reduced errors, it lacked ongoing interaction with
students in the updates of the student’s registration status updates. It also lacked accountability because
not all of the persons required for authentication in the old system still had access to approve the
registration, causing the entire system process to be disrupted.

This is what our system has now taken into greater consideration and would include all the stakeholders in
the approval and hence instill accountability into the whole system not putting all the work to one person
who runs the system.

CHAPTER THREE

METHOLOGY AND INTERNSHIP ACTIVITIES

3. INTRODUCTION
The designing of a reliable, scalable, and secured java application is a complex task that requires

knowledge of web development tools. This chapter focuses on the methods employed to undertake the
research. It includes the description of the type of data, data source, sampling design, and data analysis
techniques.

3.1. METHODS OF DATA COLLECTION

This section highlights the method of data collection foe this study. Both primary and secondary methods
of data collection were performed to obtain the requirements.

WRITTEN AND PRESENTED BY TEMMY BRYAN ASHU

10
NJONDOP
DESIGN AND IMPLEMENTATION OF A STUDENT REGISTRATION SYSTEM

3.1.1. PRIMARY SOURCE OF DATA

Most of my primary sources of data were from the observation and different research through
questionnaires which was answered by the students.

3.1.2. SECONDARY SOURCE OF DATA

Secondary source of refers to gathering of information that is already available. The data was previously
collected, has undergone necessary statistical analysis and is not owned by the researcher. This data is
usually one that was collected from primary sources and later made available for everyone to access.

Existing data is typically summarized to boost the overall effectiveness of a research. You

can collect these data from;

• Books
• Internet
• Journals

3.2. TECHNIQUES/TOOLS FOR DATA COLLECTION

1. Case Studies
A case study is usually an in-depth description of a process, experience, or structure at a single
institution, in order to answer a combination of ‘what’ and ‘why’ questions, case studies generally
involve a mix of quantitative (i.e., surveys, usage statistics, etc.) and qualitative (i.e., interviews,
focus groups, extant document analysis, etc.) data collection techniques. Most often, the researcher
will analyze quantitative data first and then use qualitative strategies to take deeper into the meaning
of the trends identified in the numerical data.

2. Checklists

WRITTEN AND PRESENTED BY TEMMY BRYAN ASHU

11
NJONDOP
DESIGN AND IMPLEMENTATION OF A STUDENT REGISTRATION SYSTEM

Structure a person’s observation or evaluation of a performance or artifact. They can be simple list of
criteria that can be marked as present or absent, or can provide space for observer comments. These
tools can provide space for observer comments. These tolls can provide consistency over time or
between observers. Checklists can be used for evaluating database, virtual IM service, the use of
library space, or for structuring peer observations of instruction sessions.

3. Interviews
In-depth Interviews include both individual interviews (e.g., one-on-one) as well as “group”
interviews (including focus groups). The data can be recorded in a wide variety of ways including
stenography, audio recording, video recording or written notes. In-depth interviews differ from direct
observation primarily in the nature of the interaction. In interviews it is assumed that there is a
questioner and one or more interviewees. The purpose of the interview is to probe the idea of the
interviewees about the phenomenon of interest.

4. Observation
Sometimes, the best way to collect data is through observation. This can be done directly or indirectly
with subject knowing or unaware that you are observing them. You may choose to collect data
through continuous observation of via set time period depending on your project. You may interpret
data you gather using the following mechanisms

 Descriptive observations: you simply write down what you observe.

 Inferential observation: you may write down and observation inferred by the subject’s body
language of behavior.
 Evaluative observation: You may make an inference and therefore a judgment from the behavior.
Make sure you can replicate findings.

5. Surveys or Questionnaires
Surveys or Questionnaires are instruments used for collecting data in survey research. They usually
include a set of standardized questions that explore a specific topic and collect information about
demographics, opinions, attitudes, or behaviors. Three popular programs that allow you to create

online surveys are Google Forms, Survey Monkey, and Poll Everywhere. A great (Low-cost) tool for
reference statistics is Gimlet.

3.3. POPULATION OF THE STUDY

During the internship there where a lot of people I came across. It was about finding how a website can
help facilitate the operation of enterprises, organizations, the general population and how it helps in
increasing productivity.

3.4. SAMPLING TECHNIQUES

Due to some constraints on research. I was able to come up with the following sampling methods, which
are discussed below

My sampling methods for this research were both probabilistic and non0probabilistic in nature. And due
to some geographical constraints, I used two sampling methods namely

I. Random sampling: is the purest form of probability sampling. Each member of the population has an
equal and known chance of being selected. When there are very large populations, it is often difficult
or impossible to identify every member of the population, so the pool of available subjects becomes
biased.

II. Judgmental sampling: is a common non-probability method. The researcher selects the sample-based
judgment. This is usually an extension of convenience sampling. For example, a researcher may
decide to draw the entire sample from one “representative” city, even though the population includes
all cities. When using this method, the researcher must be confident that the chosen sample is truly
representative of the entire population. The reasons for choosing these sampling methods were
because; for the random method, the idea was to get a bunch of people who were a mixture of

different professional backgrounds. This is so that we can easily get data about how software
technology affects all types of businesses. The idea behind the judgment sampling method was so as
to adjust the data collection techniques to the limitations and constraints which affected the research.

My major constraints were financial and geographical.

13
NJONDOP
DESIGN AND IMPLEMENTATION OF A STUDENT REGISTRATION SYSTEM

III. Observations: was a key source. This helped me in improving my information concerning the study.
During my working period, I used observations to serve as a technique for the gathering information
and the study for how job seekers and other employers carry out their day-to0day activities in order
to get job or an employee respectively to understand the kind and quality of work they could
complete while using an application. These observations were one of the fundamental points for this
research.

3.5. METHOD OF DATA ANALYSIS

Since the data for this study gotten was based purely on the quantitative measure, the data analysis
technique is Quantitative Data Analysis are.

Here are some methods of Data Analysis are:

1. QUALITATIVE ANALYSIS

This approach mainly answers questions such as ‘why’, ‘what’, or ‘how’. Each of these questions is
addressed via quantitative techniques such as questionnaires, attitude scaling, standard outcomes, and
more. Such analysis is usually in the form of text and narratives, which might also include audio and
video representations.

2. QUANTITATIVE ANALYSIS

Generally, this analysis is measured in terms of numbers. The data here present themselves in terms of
measurement scales and extended for more statistical manipulation.

3. EXTERNAL ANALYSIS

Text analysis is a technique to analyze texts to extract machine-readable facts. It aims to create structured
data out of free and unstructured content. The process consists of slicing and dicing heaps of structured,
heterogeneous files into easy-to-read, manage and interpret data pieces. It is also known as text mining,
text analytics, and information extraction.
4. STATISTICAL ANALYSIS

Statistical involves data collection, interpretation, and validation. Statistical analysis is the technique of
performing several operations to quantify the data and apply statistical analysis. Quantitative data
involves descriptive analysis. It includes various tools to perform statistical data analysis as SAS
(Statistical Analysis System), SPSS (Statistical Package for the Social Science) Stat soft, and more.

5. PRESCRIPTIVE ANALYSIS

Prescriptive analysis suggests various courses of action and outlines the potentials implications that could
be reached after predictive analysis. Prescriptive analysis generating automated decisions or
recommendations requires specific and unique algorithmic and clear direction from those utilizing the
analytical techniques.

6. DIAGNOSTIC ANALYSIS

The diagnostic analysis is a step further to statistical analysis to provide a more in-depth analysis to
answer the questions. It is also referred to as root cause analysis as it inclu9des processes like data
discovery, mining, and down drill through.

3.6. INTERNSHIP
An internship is a temporary position within a company or organization where individuals, usually
students or recent graduates, gain practical work experience in a specific field. Internships can vary in
length, typically lasting from a week to several months.

Internships offer valuable opportunities for individuals to apply their academic knowledge in a real-world
setting, develop new, skills, build professional networks, and explore potential career paths. They can also
provide insights into the day-to-day /operations of a particular industry or company.

3.6.1. INTERNSHIP ACTIVITIES

I carried my internship at GOLD SERVICE ENTERPRISE Cameroon from June scheduling detailed in
weeks with the activities as follows:

• First Week of internship

One of the first day, I was asked a series of questions by the director of the IT department about my field
of study and what motivated me to choose it. These questions were to test my level of knowledge in
software engineering.

• Second Week of Internship

During this period, I was given a handout of past probatoire questions. This handout contains 100 which I
was to answer and submit for correction.

• Third Week of internship

This week, the company received a stock of iPad tablets and I was assigned to register the iPad tablets
with their IMEI numbers in database and install the company’s App in them.

• Fourth week of internship

I fell sick this week and was admitted at the hospital for a period of 2weeks. I received visits from my
supervisor and other interns.

• Seventh week of internship

This week I was given a task which consisted of connecting two computers in the use of AnyDesk. This is
software that permits you to connect to another computer from a distance.

• Eighth week of internship

This week my supervisor showed me how to crimp an Ethernet, after showing me how to crimp an
Ethernet cable he asked me to crimp a new one for an employee whose Ethernet cable got bad and
couldn’t perform his work very well.

• Ninth week of internship

During this week my supervisor and I went to a branch of the micro-finance located at avenue () to repair
a printing problem. The problem was that the printers IP addresses wasn’t entered correctly in the
computer so the printer couldn’t execute orders.

• Tenth Week of internship

This week I started learning the basics of HTML, CSS and JAVA.

3.6.2. APPLICATION OF TOPIC TO INTERNSHIP

• In class, we were taught that in order to develop software for companies or for other benefits, we
need to first define the information system for the project.

• In addition, we taught the object-oriented programming tools and how they function. For
example, VB.NET.

3.7. UML
The acronym UML stands for Unified Modeling Language. It is the third-generation modeling language
that has standardize by the OMG (Object Management Group) in 1997. It was formally established in
1994. It allows you to define an application as a feature of the object method that were used to create it.

The UML approach incorporates concepts from the BOOCH, JACOBSON OOSE, and OMT methods.

Nowadays, UML is the most widely used standard of object-oriented modeling in computer engineering.
Within the UML, they’re 14 diagrams that are divide and fall under two categories which are structural
and Behavioral diagrams.

 Object diagram
 Component diagram
 Deployment diagram
 Package diagram
 Composite Structure diagram
 Use case diagram
 Activity diagram
 State machine diagram
 Sequence diagram
 Interaction Overview diagram  Timing diagram.

So, what I used to design my project are the following;

3.7.1. Use Case Diagram

Use case diagram are a set of use cases, actors, and their relationship. They represent the use case view of
a system. A use case represents a particular functionality of a system. Hence, a use case diagram is used
to describe the relationship among the functionalities and their internal/external controllers. These
controllers are known as actors.

 Administrator and must be logged into the system

Post condition:

The user is logged into the system 9if the user is successful; else, the system state remains unaltered.

If the admin successfully logs in, the Admin can add, delete, and examine the login credentials of all
system users; otherwise, the system status remains unaltered.

3.7.2. FLOW OF EVENTS

Basic Flow

 The system requests that the actor enters his/her username and password.
 The actors enter username and password.
 The system validates the username and password.
 The user is logged into the system
 Admin user click on mange login credentials button.
 System responds with a mange credentials page.
 Admin add or delete or view login credentials  System saves or retrieves from the
database.

 System pops out successfully message

 Admin clicks on Manage registrar page.
 Admin add, delete, update and submit registrar record
 System saves record to the database  System pops out successful message

Alternate Flow

 The system requests that the actor enters his/her username and password.

database.

 System pops out error message.

 Admin add, delete, update and submit registrar record.
 System fails to save to the database.
 System pops out error message.
3.7.3. UML CLASS DIAGRAM
A static diagram is the diagram. It depicts an application’s static view. As a result, the entire system is
represented by a set of class diagrams. Class diagrams are used not only for visualizing, describing, and
documenting many parts of a system, but also for creating software program executable code.

4. HISTORY OF THE
ORGANISATION
In December 1998, a credit agreement was signed between the Republic of Cameroon and the French

Development Agency (AFD). The [purpose of this agreement was to finance the creation of a financial
institution, specialized in financing very small enterprises (VSEs). The project was created for ETs
GOLD SERVICE and was called “Project for the financing of very small enterprises in urban areas”. It
lasted 42 months and allowed to distribute nearly 5,000 credits to VSEs. The first loans were granted in
December 1999 in Yaoundé and extended ii the 33-rd. month. The aim of the project was initially to set
up an effective and profitable medium-term scheme for financing MSEs in the urban centers of Yaoundé
and Douala.

In a second phase, this project aimed at transforming this mechanism into private financial institution
specialized in the financing of ZSEs in urban areas in Cameroon. The Transformation into an independent
financial institution named GOLD INSTITUTION which occurred on 2005 with the entry of local and
foreign shareholders in the capital.

Fifteen years later, the growth and development of “” has allowed a gradual expansion in 7 of 10 regions
of Cameroon with a network of 24 branches, both I urban and rural areas. GOLD SERVICE Cameroon
has also diversified its target customer base. I addition to VSEs, it serves more than 14,000 customers,
including individuals (private employees, civil servants, government employees and pensioners) and
Small and Medium Enterprises (SMEs).

Database Table for the Online Registration System

Table are database objects that hold all of a database’s information. Tables and spreadsheets are similar in
that data is logically organized in a row-and-column format. Each row represents a separate record, and
each column represents a field in the record. A table containing user data for a corporation, for example,
might have a row for each user and columns for user information such as number, name, address, and
phone number (Simo, 2021). The tables for the E-registration System are listed below.

40
NJONDOP
DESIGN AND IMPLEMENTATION OF A STUDENT REGISTRATION SYSTEM

As discussed in the previous chapters the main problem that we addressed was dealing with students’
registration. First and foremost, this platform has been designed using the 3-tier architecture which is
consist of the server, client and the database all interacting with each other through PHP language at the
level of the control structure to ensure the security of the personnel allowances to avoid hacking of the
system or any other undesired intrusion.

The Online Registration System offers a number of benefits to the user and can capture data, store, and
view, add, and delete the records entered. The construction of this platform was difficult because it
necessitated expertise of a variety of programming and coding languages, to make it function as to meet
the users’ needs and standards. This has very much added meaning to the work as many researchers
began.

5.2. RECOMMENDATION
We feel that universities and other institutions of higher learning, such as GOLD INSTITUTION, should
use this technology because we believe it can make the registration and information management
processes more effective and efficient.

In the future, the developed system could be upgraded from its current state to a mobile application,
allowing students and management to carry out the systems functions utilizing mobile devices while
devices while on the go. Other modules, such as library, and payroll can be added to the system to meet
the University’s information management and record keeping needs.

CONCLUSION

Online system registration is necessary in nowadays system of education. With the world evolving and
everything being done digital which saves time provides more security to user’s information, easy access
to files and users information. Therefore, it is needed for institutions, organizations with or without a large
amount of population to implement online registration or website-based online registration to facilitates
the work of both students and the administration, and to easily access and safeguard students’ files and
information.
