Microsoft Outlook (Classic)

Connecting Gmail to Outlook

1. Log in to your gmail.com profile. Go to Settings in the upper right corner (gear wheel) and
click “See all settings”. From the Settings menu select the Forwarding and POP/IMAP
tab. Then change the status to Enable IMAP;

*IMAP settings will soon be removed from Gmail1.

toggle on the ‘Allow less secure apps’ option.

3. Start Microsoft Outlook from the Start menu by typing Outlook in the search bar or from
All apps. When you launch the Outlook app, it will require you to connect your email
address. Type in your email address and click “Connect”;

Follow the instructions on the screen and sign in to your Google profile. Then you must
accept the Microsoft apps & services access to your Google Account.

4. From the web browser pop-up window with the message, https://outlook.office.com wants
to open this application, select Open. After that, you should have access to your Gmail.
Now, go to Adding a New Contact.

5. The initial steps are slightly different if an Outlook account has been added before. First,
check the additional server settings regarding incoming and outgoing mail from File → Info
→ Account Settings → Server Settings. Make sure the data below matches your settings:

6. Then, select “Account settings” from the File menu.

7. In the next window, make sure you are in the “Email” tab and then click “New”:

8. Enter your email address and DO NOT select the advanced/manual setup. Don’t forget to
enable your IMAP settings (step 1) and to allow the “Less secure apps” option if you
haven’t already.

9. If Outlook displays an error message and does not allow you to add your gmail the reason
may be that Google has discontinued the support for less secure apps so it may not be
available for you. If so, go to the following link and complete the instructions.

10. Now you should have access to your Gmail and receive a new Microsoft Outlook Test
Message.

Adding a New Contact


11. Add the email address [email protected] to your address book. Select the
icon → Home → New Contact (in the New group):

You can do this also by navigating to Home → Find group → Address Book → File → New
Entry → New Contact. Fill in the fields as shown below and then click Save & Close;

Creating an Email Signature
12. Add a signature management button to the quick access toolbar. Go to File → Options →
Quick Access Toolbar → Select All Commands from the dropdown → Find Signature →
Double-click it and press OK.

You can also do this by clicking on the icon in the quick access toolbar → More
Commands and continuing the above-mentioned steps.

13. Now, create two signatures – one in English, and one in Bulgarian. Go to Signatures →
New → Name the signature → Create it → Save the changes.

For more customized signatures, refer to the following link → Download the template
gallery → Edit your signature in MS Word → COPY & PASTE the finished design directly in
Outlook.

14. Send an email with a subject “Exercise” and a body of your choice to the following
recipients:
● To: [email protected] (get the info from the address book)
● Copy (Cc): [email protected]
● Hidden copy (Bcc): [email protected]

*Before sending the email, apply your English signature from the previous step.

Setting Additional Options

15. Set Outlook to check your mail every 10 minutes (without changing the Offline mode) from
the Send / Receive section → Send / Receive Groups → Define Send / Receive Groups.

16. Create a new folder named “UE-VARNA” in your email (right-click on “inbox” below your
email in the left column → New Folder).

17. Create a new rule from the Home tab → Move group → Rules → Manage Rules & Alerts, so
every time you receive an email from a sender address, containing ue-varna.bg, it moves
to the folder “UE-VARNA” (Advanced options → Move messages from someone to a folder
with specific rules in the sender address).

18. Add two RSS feeds to your Outlook email (in the left column go to Outlook → RSS Feeds →
Add a New RSS feed). To find an RSS link you can visit Google and write the name of a
news website such as Forbes, CNN, BuzzFeed, National Geographic etc. followed by the
word RSS. You must copy the link to a specific topic category or subject area from the
respective website and paste it into the Add New RSS feed window. Use the
https://rss.app/ website to turn any webpage into an RSS feed link.

If you want to remove your Outlook account, you can do so from File → Account Settings →
select your email from the list and then click the “Remove” button. If an “Error” message
appears, select Data files → Add, confirm OK and then try to remove your account again.
