oIntroduction
Clinical documentation is increasingly being recorded,
either partially or completely, using electronic
documentation systems. This type of documentation
occurs via a computerized device such as a desktop
computer, laptop, tablet, and sometimes a smartphone. In
order to access the system, healthcare professionals must
sign in with a username and password that is unique to
them. This security feature is a benefit of electronic
systems in comparison to paper charting because it
identifies who enters the client’s record and also restricts
who enters the system. Also, this security feature helps
protect the client’s privacy with electronic systems in
comparison to written records.

oDefinition
Electronic documentation, also known as digital
documentation or e-documentation, refers to the
process of creating, storing, and managing
documents in a digital format. This type of
documentation uses electronic media, such as
computers, tablets, or smartphones, to create, edit,
and share documents.
oPurpose
Electronic Documentation helps to ensure that electrical
systems are safe, reliable, and efficient. It provides a clear
and concise record of the design, which can be used for
troubleshooting, maintenance, and upgrades.

oImportance
Efficiency and Productivity

Microsoft Excel or Google Sheets, are used for
storing and managing numerical data, creating
charts, and performing calculations.
 Presentations: Electronic presentations, such as
those created with Microsoft PowerPoint or Google
Slides, are used to convey information in a visually
engaging manner, often for educational or business
purposes.
 Digital Images: Electronic images, including
photos, diagrams, and charts, are used to convey
visual information and can be edited using image
editing software like Adobe Photoshop.
 Audio and Video Files: Electronic audio and video
files, such as MP3s and MP4s, are used to store and
share audio and video content, including podcasts,
lectures, and tutorials.

 PDF Documents: Portable Document Format


(PDF) files are used to share and view documents in
a format that preserves the original layout and
design, regardless of the device or software used.

 XML Documents: Extensible Markup Language


(XML) documents are used to store and exchange
data between different systems and applications,
often in a structured and standardized format.
 Database Records: Electronic database records are
used to store and manage large amounts of data,
often in a structured and organized manner, using
database management systems like MySQL or
MongoDB.
