Handbook: Rules and Regulations

LEAVE AND ABSENCES
(ADMIN & TEACHERS):
Teachers are required to notify the Principal at least one day in advance of any
planned absence. Lesson plans and worksheets must be prepared and made
available for the substitute teacher. Arrangements will be made based on
individual circumstances.
Please remember: When you are not in the classroom, the quality of student
learning may be affected. You are the key to a productive instructional day.

All admin staff are expected to avoid absences unless absolutely necessary and for
valid, acceptable reasons. In case of a planned absence, staff are required to notify
the Principal at least one day in advance.

All staff are expected to follow the procedures below when requesting or reporting
any form of absence. Consistency and clear communication ensure smooth daily
operations.

Planned Leave:
Notify the Principal and direct supervisor at least one day in advance.
Submit a Leave Request Form indicating the reason and dates of absence.
Ensure that any responsibilities are delegated or properly arranged during
your absence.
Emergency Leave:
Inform the Admin Office between 5:45 a.m. and 6:15 a.m. in case of
emergencies.
Immediate communication via phone or SMS is required.
Medical Leave:
Upon returning to work, submit an Absence Form along with a medical
certificate from a government hospital.
For doctor appointments, attach the official SMS appointment confirmation to
the request form.
Only one morning medical appointment per month is allowed unless otherwise
approved by the Principal.
Leaving During Work Hours:
If you need to leave during working hours, fill out the Early Leave Form and
wait for approval before leaving the premises.
Unnotified Absences:
Failure to inform the management of an absence without valid reason will be
noted and may result in a warning or deduction, as per School policy.
Make-Up Work:
Depending on the nature of the absence, the Principal may request you to
make up for the missed time/work.

LEAVE AND HOLIDAYS:

Sick Leave: Staff are entitled to 5 paid sick leave days per year.
Maternity Leave: Female staff are entitled to 1 month of paid maternity leave,
starting from the date of delivery, after completing one full year of service.
Summer, Winter, and Spring Holidays: These are subject to change based on
the official Staff Calendar. (Please refer to the calendar for exact dates.)

SUMMARY – Salary Deductions May Apply In the Following


Cases:

Unjustified absences (without valid reason or approval).


Sick leave exceeding 3 consecutive days without proper medical
documentation.
Exceeding the allowed leave days as stated above.
Attendance Hours and Working Times
Teachers & Admin Staff
Work Schedule:
Teachers must arrive by 6:50 a.m. and may leave at 2:15 p.m.
In accordance with Labor Law, teachers must complete 8 working hours per
day.

Admin Staff:
Security must arrive at 6:00 a.m. and leave at 4:00 p.m.
School Nurse must arrive at exactly 7:00 a.m. and leave at 3:00 p.m.
Admin Secretary must arrive at 6:20 a.m.
Marketing Staff must arrive by 6:50 a.m. and may leave at 1:30 p.m.

Late Arrival / Early Leave:


If you will arrive late, notify the Admin Office before 6:00 a.m.
If you need to leave early, request permission at least one day in advance.
Always seek approval from the Admin Office for any change in schedule.
Staff are expected to make every effort to arrive on time daily.
Teachers must be inside their classrooms by 7:00 a.m. sharp. If arriving
exactly at 7:00 a.m. go directly to your classroom.

After-Hours Stay:
Teachers are not allowed to stay in the school after 2:30 p.m. without the
Principal’s written approval.
Working on Weekends (Friday or Saturday):
Prior permission must be obtained from the Admin Office before Thursday.
A request form must be filled out and officially approved before working
on weekends.
Time Logging:
All staff must log in and log out when arriving at and leaving the school
premises daily.
DRESS CODE
Teachers are expected to dress in a manner that reflects professionalism and
aligns with the school's standards.
The teacher's coat uniform must be worn at all times.
Pants: Only black or navy blue pants are allowed.
Short dresses and skirts are not allowed.
Sandals or open-toed shoes are not permitted.
Socks must be worn at all times.
Avoid excessive makeup or elaborate hairstyles.
Hijab colors should be modest — avoid overly bright or flashy colors.

BEHAVIOR AND ATTITUDE


Teachers are expected to maintain a professional demeanor at all times. The
following behaviors are strictly not allowed:
1.Arguing in public, especially in front of students or parents.
2.Shouting or screaming in any situation.
If this occurs, the teacher will face the following disciplinary actions:
Written warning
Salary deduction (as applicable)

Arguing with parents or engaging in private communication with them


through personal phones, social media, or other unofficial channels.

VISITORS
Visitors are not allowed during working hours.
(In case of an emergency, teachers must inform the Admin Office and the Head
Teacher for appropriate action and approval.)
PARENT COMMUNICATION
The Principal and Admin are responsible for contacting parents
regarding any issues related to a student’s academic performance, social
behavior, or discipline.
Teachers are not allowed to contact parents directly without prior notice
and approval from the Admin Office and Head Principal.
After receiving approval, teachers may communicate with parents using the
following official channels:
School landline phone
ClassDojo
Email (sent through the Admin Office only)
Scheduled Teacher-Parent Meeting
ACCIDENT REPORT
Student safety is our top priority.
Teachers must stay with their students at all times—from the moment
they enter the classroom, during break time, and until dismissal.

If a teacher needs to use the toilet, they must inform the assistants and
request the nurse to supervise the students to avoid any accidents.

Teachers must check all safety conditions before conducting any activity,
whether inside or outside the classroom.

If assistance is needed, the teacher should request help from the nurse or
security staff.

In the event of an accident, the teacher must attend to the student


immediately and notify the Admin Office and the nurse without delay.

An Accident Report Form must be completed and submitted to the nurse.

The incident must be clearly explained to the parents, and they must sign
the accident form to acknowledge receipt of the information.
ACADEMIC RESPONSIBILITIES AND DUTIES

The Advisory Teacher is responsible for the following tasks:

Preparing weekly lesson plans


Completing and submitting report cards
Writing weekly student reports
Creating and updating individual learning plans.
Correcting homework and worksheets
Daily updates and photos to be posted in ClassDojo
Conducting weekly and monthly quizzes (on Wednesday or Thursday)
Quizzes may be oral or written
Preparing and submitting monthly reports and other important student-
related documents.
Managing the borrowing of books and materials (from the Resource
Room), including worksheets and other learning tools.
Actively participating in and preparing for all school activities, both
indoor and outdoor
Teachers are responsible for arranging students' seating and ensuring that
the classroom and toilets are clean and ready before use. (Always inform
your assistant teacher to clean if needed.)

For All Subject Teachers:


All required documents and submissions must be sent on time to the Head
Teacher for review and approval.
Late submissions will result in a warning email after three consecutive
delays.

MONTHLY REPORTS AND EVALUATION


Teachers are required to submit a monthly report to evaluate students’
weaknesses and improvements. After each monthly report, teachers must
provide feedback on the progress of their students.
FIELD TRIPS
Field trips may be organized throughout the year to provide both
entertainment and enrichment for students. Teachers are required to escort
their classes to all assemblies and remain to help with supervision.

If you have ideas for specific assemblies or field trips, please notify the Admin
Office.

Teachers and the Admin team will always communicate any changes regarding
the location, date, or time of the field trips.

BUILDING AND ROOM REGULATIONS


Teachers are responsible for checking and maintaining the following in their
classrooms:
Organization of materials and furniture
Cleanliness – including the toilet, tables, walls, floor, windows, and door
Furniture safety – regularly check that all screws and parts are secure
Lights and AC – must be turned off when not in use or before leaving
Windows – must be locked before leaving the school
Ensure that all electrical appliances are connected to a surge protector
Students must be reminded to take care of classroom furniture and
equipment.
Any student who defaces or damages school property must be reported to
the office and will be held financially responsible for the damages.

Supervision & Safety


Teachers must be inside their classrooms by 6:45 a.m., and must remain
present whenever students are in the room.
You are fully responsible for any accidents or injuries that occur when
students are left unsupervised.
In case of emergency, call the nurse or security, or ask a nearby teacher to
watch your class if you need to step out briefly.
BULLETIN BOARDS
Bulletin boards are an important part of the classroom environment. They
should be kept updated regularly and used effectively to engage students
and keep them informed and interested.

CLASSROOM VISITATION AND SUPERVISION


Principals will visit classrooms both formally and informally as part of the
Performance-Based Teacher Evaluation (PBTE) process.
The goal of these visits is to enhance teaching quality and improve student
learning outcomes. Visits may be either announced or unannounced.
Teachers should review and reflect on the feedback provided after each
observation.
The Principal should be informed in advance of any special projects or
performances so they can attend and observe.
BUILDING MAINTENANCE REQUEST
For any repairs or maintenance needs, please send a photo to the Admin
Office so that maintenance can be notified to take action.
If there is an issue in your classroom or any part of the building, notify the
Security or Admin immediately to prevent the problem from worsening.

STUDENT RIGHTS
Teachers are expected to manage minor discipline issues within their own
classrooms, while respecting each student's dignity and rights. The following
guidelines must be followed:
No shouting at students.
No physical contact such as pushing or pulling.
No use of inappropriate or disrespectful language.
No humiliating punishments, such as making students “face the wall.”
This type of punishment can lead to feelings of rejection and rebellion.
If a behavioral issue persists or is severe, do not hesitate to involve the
Principal. However, before it escalates, speak privately with the student to
address the concern constructively.
Students should not be sent directly to the Principal without proper
documentation.
A referral form must accompany the student, and the teacher should
explain the situation clearly.
The Principal will meet with the student and/or parents to determine the
appropriate course of action.
Teachers must provide evidence that multiple strategies were used to
correct the student’s behavior before referring the case to administration.

HOMEWORK
The Principal will determine a reasonable amount of homework to assign
to students.
Homework should reinforce classroom lessons and be assigned with a
clear purpose.
Teachers are expected to correct homework daily.
Inform parents if a student is consistently not completing homework.
Always post homework assignments on ClassDojo to notify parents,
encouraging them to check their child’s school bags.
Homework should generally be distribute on Wednesdays. If you assign
homework on other days, please notify parents via ClassDojo in advance.

RESOURCES
Teachers are responsible for all materials and resources borrowed from
the Resource Room.
All resources and materials should be borrowed on Thursdays only, for
use in the following week.
Teachers & Assistant are accountable for any damage or loss of the items
they have borrowed.
EXAMS AND WORKSHEETS

Exams and revision materials should be submitted on time, preferably at


least two weeks in advance for checking and editing.
Students who are absent during exams must complete their exams upon
returning to school.
For any lessons missed that are included in the exam, teachers must
provide a brief review lesson before administering the exam.
Worksheets must be submitted by Wednesday for checking and printing on
Thursday, and are to be distributed on Sunday.

LESSON PLANS
Lesson plans must be submitted every Tuesday for initial review.
After checking, they will be returned for revisions and final submission is
due on Thursday.
Finalized lesson plans will be collected on Sunday.

Failure to submit lesson plans, reports, or any assigned tasks on time may
result in a salary deduction.

RECORDS
Teachers are expected to maintain accurate and up-to-date records, as we
are often required to provide accountability for student grades and
performance.
You must be able to justify your record-keeping and grading practices
when requested.
Additionally, student records are confidential and must not be shared
without proper authorization.
STUDENT ATTENDANCE
Teachers must record student attendance daily.
The attendance sheet must be posted near the classroom door for easy
access.
Teachers are responsible for the safekeeping of the attendance sheet; any
loss will be their responsibility.
Please ensure that attendance is taken at the beginning of every class
period, especially after breaks.

RESPECT
Teachers are responsible for teaching students proper manners, including
how to treat their classmates, teachers, and staff with respect.
Do not allow students to belittle, mock, or make sarcastic remarks toward
one another, staff, teachers, or anyone else.
We aim to help students become culturally aware and respectful
individuals.
All adults in the school must be addressed by students as Miss, Mrs., Ms., or
Mr., and this standard should also be followed in the presence of students.
Any inappropriate language or unfamiliar words that are not suitable for
the classroom should not be allowed.
If a student says something questionable or inappropriate, inform the Head
Teacher, who will report it to the Principal to help prevent complaints from
parents.
Teachers must use only English or Arabic in the classroom to avoid
confusion or students picking up and imitating the wrong language or
behavior.
RULES, REGULATIONS, & POLICY COMPLIANCE
All staff members are expected to perform their duties to the best of their
ability and to fully comply with all school policies and regulations.
Teachers or administrative staff who are not in compliance will be notified
either verbally or in writing, with clear instructions on the necessary
improvements to meet compliance standards.
SUPERVISION
Supervising students is your responsibility at all times while on school
premises.
When correction is needed, do not hesitate to act.
Always be polite and respectful, treating students the way you would
like to be treated.
If a student does not respond to gentle correction, use firm but
professional authority to manage the situation.
Teachers should always be mindful of their tone, volume, and attitude
when addressing students.
Remember, teachers and students are not equals. You earn the respect of
your students by being competent, friendly, fair, consistent, and firm.
While it’s important to enjoy your interactions with students, maintain
professional boundaries at all times.
Teachers are expected to maintain control both inside and outside the
classroom.
