WHAT ARE TECHNICAL REPORTS?


Technical report is an objective and
systematic communication about a
specific subject addressed to a specific
reader for a specific purpose. This purpose
may be to inform the reader regarding a
particular subject, to impart information as
a basis for decision-making, or to persuade
the reader to take an action.
WHAT ARE TECHNICAL REPORTS?

Technical reports are written daily by


technocrats, businessmen, and other
professionals. The volume of these reports
increases as the number of technological
advances rises. Providing valuable
information in the form of technical data
collected, analyzed, and presented well.
CHARACTERISTICS OF TECHNICAL REPORTS
For a technical report to be effective, it
must be characterized as follows:
R - Reader-friendly. It is adapted to the
readers’ needs, interests, and knowledge.
E - Error-free. It is devoid of errors in grammar,
mechanics, organization, and facts.
P - Prompt. It is completed within the allotted
time frame and submitted on time.
CHARACTERISTICS OF TECHNICAL REPORTS
O - Objective. It is not subjective; it has no
biases nor prejudices.
R - Results-oriented. It is directed toward
the attainment of the desired results.
T - Thorough. It has no missing items.
S - Short and Straightforward. It is written in
a short and direct manner.

PART MEANING
Title page It bears the title of the report, the
writer’s name, and the date of the
report transmission. The title may be
presented in any of the following
styles: one-line, parallel-line (lines of
the same length), pyramid (lines
increasing in length), and inverted
pyramid (lines decreasing in length).

Dedication page It is an offering of the report to an


individual or a group of individuals.

Acknowledgment page completion of the report.

Preface It states the purpose and the


scope of the report.

It contains words of a person


other than the writer about the
Foreword report.

report; it is either descriptive (short) or
Abstract informational (long).

It is a chronological list of the items


contained in the report with
Table of contents corresponding pages.

It is a chronological list of tables,


charts maps, and other graphic aids,
List of figures with corresponding pages.

discussion proper (presentation
Body/Report Proper of data), and conclusion and
recommendation of the
report.
It is a supplementary
Appendix material added at the end
of the report.
It is an alphabetical list of

TYPES OF TECHNICAL REPORT

Technical reports are aplenty. Because their


number is great, it is but fitting for technical
writing students to learn how to make them.
However, this chapter deals only with the more
common technical reports. These include
proposal reports, recommendation reports,
progress reports, feasibility studies, oral reports
and research report.
PROPOSAL REPORTS
Mills and Walter (1980) define a proposal as a
“written offer to solve a technical problem in a
particular way, under a specified plan of
management for a certain sum of money.” The
two must be referring to a business proposal (as
opposed to a research proposal) which involves
monetary consideration. This section will explain
the report presentation for both business and
research proposals.
PROPOSAL REPORTS
Formal business proposals are written in various
ways: however, according to Finkelstein
(2005), they are typically divided into the
following parts:
1. Executive summary - summarizes the
contents of the proposal; it is described as
such because it is usually written by the top
executive of the company, e.g., the President
or vice-president.

2. Technical volume or technical proposal gives a
detailed explanation of the solution to the
technical problem; it is usually drafted by technical
men, e.g., engineers and scientists.
3. Management volume or management proposal
- states a description of the organizational structure
and the persons in charge of implementing the
proposed solution; it is usually written by the
company’s personnel holding managerial positions
or possessing management knowledge and
expertise;
