WHAT IS WORD PROCESSING?
Also known as The Document Preparation System.
Word Processing software is used to manipulate, format the text, to create memos, letters, faxes and documents. It is also used to format and beautify the text. It is a program where you can type and print a documents. Word processing describes creating or editing a document using a word processor, such as Microsoft Word, Google Docs, or LibreOffice Writer. It provides a list of features and some are: • Thesaurus, the option provides synonyms, antonyms and related words for chosen word or phrase. • Font option provides font color, font style, font effect, font size to modify the text. • Grammar and Spelling check option available for checking errors. Word Processors are: 1.Microsoft Word • It is the most famous and most used word processing software. • Microsoft Word is a word processing software developed by Microsoft Corp. This is a licensed standalone product or a component of Microsoft Office. It is compatible in both Windows Operating System and Mac Operating System. There is also a version available for mobile devices. Advantages of Microsoft Word • Microsoft Word is a great tool as typing is faster than ever. It is easy to correct the mistakes by just hitting the backspace or delete button. There are the templates for any type of document and mail merge from a database so that you can easily send out the letters to multiple people at a time. • You can align the text whether at the center, right or left margins or justified takes just one click, spelling and grammatical mistakes are pointed out instantly. You can correct any mistakes which are made easily. The bullets and numbers are done automatically and there is always an option to ask for help. • You can use thesaurus feature when your words run out. The images and the figures can be attached and laid out easily. Copying the documents is fast and easy. Copies can easily be made which saves on printing and it is much easier to do. Microsoft Word can save multiple versions of documents and easily sort them so that you can go back to the previous versions of the same document. • Microsoft Word is available practically everywhere. It comes standard on many PCs. You can typically find it on your work computer. The computers at school and your home PC. This makes it easy to save the documents on a flash drive, take them with you and work on them somewhere else. If you need to do some work, you can usually find a computer with Microsoft Word on it. • Etc… Disadvantages of Microsoft Word • Microsoft Word requires a computer to edit or view the documents which may sometimes not be there especially when on the go. The people use the same templates. So, the documents just become clones of each other. and help option sometimes provides vague answers. • Typing is impossible when there is a black-out or laptops run out of batteries. The plagiarism is easy to do because it is very easy to just copy and paste and the thesaurus has a very limited vocabulary. • Some symbols aren’t easily accessible which makes the typing in different languages that use a different alphabet is difficult and some complex mathematical equations would be easier to handwrite. • While sharing and collaboration of the documents within a small group, only one person can make corrections at any given time. The shared documents can not be edited in real-time and restarting numbering & bullets is problematic. • The people tend to become careless because they know they can easily correct the mistakes. Spelling and grammar checker can not spot all the mistakes and the people can become dependent on them. • Etc… 2.Google Docs • Google Docs is a word processor included as part of a free, web-based software office suite offered by Google within its Google Drive service. Unlike Microsoft Word, this application allows users to create and edit files online while collaborating with other users in real-time. Edits are tracked by user with a revision history presenting changes. Advantages of Google Docs • Online Availability - the most significant advantage of this product is that it is available online, you can work easily, without downloading any programs or software. This consumes less RAM (Random Access Memory). • Less Spatial - all the data remains online. To work with Google Docs & Spreadsheets you only need to have Internet connection and a web browser. You do not need to be concerned with "filling" your hard drive. Data is stored on • 99.99% Data Availability - Google claims that it provides you with secure data storage and that it will be available to you most of the time. They claim that you will not suffer data loss. • Share Your Work - There is no need to email your colleagues with your work. Save your time by sharing your work with other users with a simple invite. • Its Free - no need to purchase any software. • Etc… Disadvantages of Google Docs • There is a report suggesting that there are security issues for use in the UK. Since Google Docs is located in California, the UK is effectively exporting their data out of the country each time they use it. • Some people feel insecure about saving private information in the "cloud". • You can't load pictures into the folders. Only pictures within documents. This would present a problem if images are used a lot. • It messes up basic formatting if you upload existing documents. The best way to overcome this is to create the documents in Google Docs. • Etc… 3.LibreOffice Writer • LibreOffice Writer is a free and open-source word processor and desktop publishing component of the LibreOffice software package and is a fork of OpenOffice.org Writer. Writer is a word processor similar to Microsoft Word with many similar features, and file format compatibility. The only difference is that LibreOffice Writer is free. Advantages of LibreOffice Writer • Full Featured - Just about everything you can get in a purchased office suite is available - word processor, spreadsheet, slides, drawing, database. • The Draw program provides features that you may not find elsewhere (at least not easily) - e.g. flowcharts with arrows that automatically connect to boxes, following smooth lines. • Follows industry standards - e.g. the spreadsheet uses the same formulas you'd be used to from Excel. • Compatible - Easily open and edit documents from Microsoft suite; save in all the usual file formats, with good formatting. (i.e. It won't look skewed when you send it to others. There are small issues with editing existing slides from PowerPoint, but these are minor.) • Editing PDFs - Word will not let you do this. For small-scale edits, LibreOffice Draw works great. • Maintained actively with frequent and useful updates. • Etc… Disadvantages of LibreOffice Writer • The menus are outdated; while it's full featured, some tools are buried within dialogs that you'd have to find under sub-sub-menus, etc. • It's not online. The current way of collaboration is online apps like Google Docs. This makes collaboration less convenient. • It can give a poor impression if it becomes visible to clients or other stakeholders; this isn't a flaw with the suite itself, but often impression matters. • Etc… THAT’S ALL, THANK YOU!!!
