DEFINITIONS

Microsoft PowerPoint -is a complete presentation of graphics


application or packages. It can also be defined as a software
program to enhance your oral presentation and to keep the
audience focused on your subject.
Presentation –is a combination of slides, handouts,
notes and outlines all in one file

Slide –is an individual page of a presentation. Slides are

similar to the individual pages in a print document, and can


contain text, graphics, and animation.
Slide show –is a display of a series of chosen slides. It is the
way a presentation appears when you are presenting it. When
you display your slides in a slide show, the slides typically take
up the whole screen, and they appear in a sequence (one after
the other).
Animation –is a special visual or sound effect to text or an
object
Transition:- different ways the slides are
introduced to your audience.
Placeholder: Boxes with dotted or hatch-marked outlines that
appear when you create a new slide. These boxes act as
"placeholders" for objects such as the slide title, text, clip art,
charts, and tables. Placeholders are sometimes called “text
boxes.”
Preparing for a presentation
Given the context to prepare a presentation, below are factors to
consider when preparing a presentation;
• The length of presentation
• Targeted audience
• Type of presentation graphics to use
• Date and venue of presentation
• Presentation method e.g. Online broadcasting, use of
Handouts
NB

By considering the above factors, you will be able to plan better


and ensure you have the resources you need. Remember that a
well designed presentation (complete with graphics and
animation) without content is nothing more than a cup of “coffee”
without coffee.

APPLICATION
Start > all programs > ms office > ms power- point (2007)

PARTS OF A POWERPOINT WINDOW
PowerPoint Window has toolbars and panes to help you quickly
create presentations.
a)Title Bar - displays the document name followed by the
application program name. also includes the minimize, maximize,
restore and the close buttons.
b)Menu Bar - The Menu bar contains menus that include all the
commands you need to use to work your way through power point
documents such as Home menu, Insert menu, Design menu
among others.
c)Standard Toolbar - This toolbar is located in the home menu
and allows you to quickly access basic power point commands
e.g. copy, paste and cut icons.
d) Formatting toolbar: This tool bar is also located in the home
menu and it contains short cut icons used to format text in
the slides, for example font type / size / alignment /color
etc. It is also used to create bulleted / numbered lists,
borders…etc.
e) Status Bar - displays slide position and the type of design in
PowerPoint.
f) Office button: In Microsoft power point 2007, the Office
button is located in the upper-left hand corner of the window.
This button allows access to different file commands such
as New, Open, Convert, Save, Save As, and Print among
others.
g) Quick Access Toolbar: The Quick Access Toolbar appears
at the top of the window next to the Office button. It includes
most common commands such as Save and Undo. You can
customize the toolbar by adding command buttons to it. To
add or remove a button from the Quick Access Toolbar, click
the list arrow at the right end of the toolbar to display the
pop-up menu. Then, click the button name from the pop-up
menu list. A check next to the name tells you which function
will be on the Quick Access Toolbar.
h) Slides and outline tabbed pane: this enables one view their
presentation in an outline format as well as a list of all the
slides in a presentation.

Creating blank presentations
 CTRL + N

keyboard

Slide Design

Ms PowerPoint has a wide variety of design choices. At some


point you may wish to change the design and color of the
background of your slide. This section describes how to use
Design Templates to change the appearance of your slides.
It also describes how to insert and manipulate images on
your slide.
DESIGN TEMPLATES
This provides a list of over 20 templates that you can choose from
to apply to the background of your slides. For each template,
you have the option of applying the design to all slides or to only
the selected slide.
Procedure
Select a slide, go to the menu bar > click on design menu. From
the design menu, a variety of templates icons will appear from
which you select the template of your choice. Nb/ to insert the
same template to all your slides, click once on the selected
template. To insert different templates on each slide, right click
on a template > apply to selected slides option.
Color schemes
This option gives you a variety of color schemes to choose
from to apply to your selected template.
Procedure
Design menu > colors icon. From this option you can
choose from a variety of colors the color of your choice.
Animation Schemes
This option will allow you to select different types of animation
that can be applied to either all the slide or selected slides.
Procedure
Click on the Animations menu. From here your can choose
the kind of animation i.e. custom animation.
Slides Layout
Default PowerPoint for each new slide is Title Box and
subtitle Box. However, sometimes it will be easier and
simple to select a layout that fits your needs rather than
reformatting the default layout for each slide.
Procedure
Select home menu from the Menu Bar > layout icon.
A layout dialog box will appear from which you select the
layout of your choice. i.e. title slide layout, title and content
layout, two content layout…among others.
SLIDE LAYOUT CATEGORIES

There are four different types of slide layout categories


a. Text layout
these options are for choosing a layout in which you are
only organizing different text boxes.
NB. There is no room for pictures, charts or graphics.
b. Content layout
these options are for choosing a layout that will only
contain pictures, charts and graphs.
NB. There is no room for text boxes.
c. Text and content layout
these options have for both text boxes, pictures, charts and graphs.

d. Other layouts
these layouts are designed for other media content such as video
clips or audio tracks.
Saving a power point document
CTRL + S
Office button > save
Office button > save as
Close the application and you will be prompted to save

POWER POINT VIEWS
Slides in any PowerPoint presentation can be viewed in a
variety of ways depending on the task at hand.
Normal View - is also commonly known as Slide View. It is
the main working / editing window in the presentation and
the first view you see when you open power point
application.
Slide Sorter View - is a window in PowerPoint that displays
thumbnail versions of all your slides, arranged in horizontal
rows. This view is useful to make changes to several slides
at one time. Rearranging or deleting slides is easy to do in
Slide Sorter view.
Slide show view – This is the view used for presenting to an

audience. The whole screen is taken over by your


PowerPoint 2007 presentation.
Slide master view - Slide Masters are used to create

consistent layouts throughout your presentation. Using


masters you can format titles, backgrounds, colors, dates,
times, and slide numbers. Changes made to the Master
Slide and the Master Layouts are applied to all slides with
that layout.
Changing to the Slide Master View
To edit the Slide Masters, click on the View tab and click the
Master Slide button under the Presentation Views group.

A Slide Master tab will appear next to the Home tab, and the
slide sidebar on the left will display your presentation's
Master Slide along with its accompanying layouts..

To return to the normal view click on Close Master View.


SLIDE MANAGEMENT:
Ways of running a presentation
Press F5 key on the keyboard
Slide show menu > from beginning/ from current
slide/custom slide show.
 From beginning – this option will start the slide
show from the beginning. i.e. from slide one.
 From current slide – this option starts the presentation
from the current slide i.e. the slide currently being worked
on. Not necessarily slide one.
Custom slide show – this option displays only the
selected slides.
Running a presentation cont…
Click on the slide show icon on the status bar.
Navigating through a presentation
Use the arrow keys on your keyboard (←, → or ↑, ↓).
Use the P and N alphabet keys to move to the next or
previous slide.
Use the left or right arrows in the lower left corner of your
presentation.
Right click on your presentation > next / previous.
Ways of ending a presentation
Press the escape key on the keyboard.

 Click on the square box on the lower left side of your slide

show (this is difficult to see at first because it is designed to


blend into you slide show so it won't be noticeable to your
audience. Move your mouse over that location till you spot
it). Select End Show from the pop-up window.
Right click on presentation > end show
