4.1. Organize user files

What is a file?
• A file is a container in a computer system for storing information.
• Files used in computers are similar in features to that of paper
documents used in library and office files.
• There are many different types of files you can use.
For example,
– Microsoft Word documents,
– digital photos,
– digital music, and
– digital videos are all types of files.

File Explore r
You c a n vie w a nd orga nize file s a nd folde rs us ing a b uilt -in
a pplic a tion known a s File Explore r (c a lle d Windows
Explore r in Windows 7 a nd e a rlie r ve rs ions ).

To ope n File Explore r, c lic k the File Exp lore r ic on on the ta s kba r,
or double -c lic k a ny folde r on your d e s ktop. A ne w File Explore r
window will a ppe a r. Now you're re a dy to s ta rt working with your
file s a nd folde rs .
Common Windows file e xte ns ions
 Wind ows file na me s ha ve two p a rts ; the file 's na m e , the n a
p e riod followe d b y the e xte ns ion (s uffix).
 The e xte ns ion is a thre e - or four-le tte r a b b re via tion tha t
s ig nifie s the file typ e . For e xa m p le , in le tte r.d oc x the file na me
is le tte r a nd the e xte ns ion is d oc x.
 Exte ns ions a re im p orta nt b e c a us e the y te ll your c om p ute r
wha t ic on to us e for the file , a nd wha t a p p lic a tion c a n op e n
the file .
o For e xample , the doc e xte ns ion te lls your c ompute r that
the file is a Mic ros oft Word file .

Common places to look for files
• If you're having a difficult time finding a file, there's a good

chance you can find it in one of the following places:

A. Downloads:

• By default, your computer will place downloaded files in a

specific folder, known as the Downloads folder.

• If you're having trouble finding a file you downloaded from the

Internet, such as a photo attached to an email message, this is

the first place you should look.


B. Default folders:
• If you don't specify a
location when saving a
file, Windows will place
certain types of files into
default folders.
• For example, if you're
looking for a Microsoft
Word document, you
could try looking in
the Documents folder.
• Recycle Bin:
• If you deleted a file by
mistake, it may still be in
the Recycle Bin.
• You can double-click the
Recycle Bin icon on the
desktop to open it.
• If you find the file you
need, click and drag it
back to the desktop or to a
different folder.

us e d a c e rtain applic ation to e dit a file , ope n that applic ation
and s e le c t File > Ope n > Re c e nt from the me nu. The file may
appe ar in the lis t of re c e ntly e dite d file s .
What is formatting?
• Formatting is the process of prepping a storage device, like a hard drive, solid-

state drive, flash drive etc, to store information.

• It creates a filing system that organizes your data and allows you to maximize the

space for your files.

• There are two types of formatting on a USB drive:

i. Quick format: Deletes the file system table and the root folder. This option is

frequently used for USB flash drives to efficiently free up the available space to

transfer or store other files.

ii. Full format: Will scan for bad sectors and write zeros in all sectors, which

deletes all data permanently. This action can take a long time, depending on the

capacity of the drive.
