𝐓𝐡𝐞𝐲 𝐰𝐚𝐬𝐭𝐞 𝐭𝐢𝐦𝐞, 𝐟𝐫𝐮𝐬𝐭𝐫𝐚𝐭𝐞 𝐜𝐮𝐬𝐭𝐨𝐦𝐞𝐫𝐬, 𝐚𝐧𝐝 𝐥𝐨𝐜𝐤 𝐮𝐩 𝐫𝐞𝐯𝐞𝐧𝐮𝐞.   We recently worked with a national organisation to fix a problem that was costing them time, money, and customer trust: unallocated EFT payments. Every day, hundreds of payments landed in suspense because of incorrect or missing references. The finance team had to manually investigate, match, and correct these one by one. It was tedious, error-prone, and far from scalable.   Our team then designed and built an intelligent payment allocation solution called 𝐖𝐚𝐥𝐥𝐲 that automates the process using smart matching logic and customer data. Now, payments that would’ve sat idle are identified and resolved proactively, reducing suspense accounts and improving customer satisfaction. The result? Faster resolution. Clearer communication.     A multinational agricultural enterprise operating across multiple continents faced a critical procurement bottleneck: an inefficient, manual purchase order (PO) approval process within Microsoft Business Central (BC). Despite having BC as their ERP backbone, approvals required manual logins, dashboard navigation, and manual data interpretation, resulting in lead times of up to 24 hours under ideal conditions, and way longer during peak periods.   With operations scaling, including the integration of a new subsidiary and the restructuring of an existing farm into multiple business units, PO volumes surged.   The turning point came when the agricultural enterprise collaborated with Cogent to revolutionise its PO process. Cogent developed an intuitive 𝐀𝐠𝐞𝐧𝐭𝐢𝐜 𝐀𝐈 𝐞𝐧𝐠𝐢𝐧𝐞 that understands and reads incoming email requests, effortlessly extracting critical details such as items, quantities, vendor names, and cost centres from diverse formats for Invoices and quotes with handwritten notes to perform complex document extraction and mathematical calculations. It then intelligently identifies the correct approver based on division, spend limits, and their complex approval matrix, ensuring accurate and timely responses from the respective approvers via WhatsApp. No more tedious logins, no navigating complicated ERP dashboards, just straightforward human interaction.   The PO process deployment illustrates the tangible operational value of embedding AI into existing communications channels rather than forcing users into new platforms. The blend of multimodal AI data extraction, business-rule-driven routing, and seamless ERP integration transformed a constrained, error-prone process into a high-speed, low-friction workflow.   This architecture is replicable across industries with distributed teams, high approval volumes, and ERP dependency.
