View Buttons:

It is a group of buttons located to the left of the Zoom control, and near the bottom of the screen.
It lets you switch the various Word document views.

 Print Layout view− This view displays pages exactly as they will show in print.
 Read Mode− This displays a full-screen view of the document.
 Web Layout − This displays a document view that appears on a Web browser, such as
Internet Explorer.
 Outline view− This lets you display your document in outline form. For this view, we will
first create using Word’s standard heading styles.
 Draft view− This displays only the text of your document as it appears on the printed page.
No headers and footers are shown in this view.

How to close a Word document without closing word?


 Click the File tab (located at the left upper corner) and choose the Close option and your
document will be closed.
 If you have not saved your document on your computer, a warning box will display on the
screen asking whether the document should be saved or not. If you want to save your
document, click Save and give a name to the document, otherwise click Don’t Save.
 If the document is already saved on your computer and wants to save the changes, just click
on Save, otherwise click Don’t Save. So the Word application will not be closed and you will
see a blank Word window.

 A pop-up menu will be appeared, select the Open with

 Select the location where you want to save your document. The default location where to save
the file is the Document folder. You can change according to the choice.
 Type the file name that you want to give to your document.
 By default, your document will be saved in Word Document (*.docx) Therefore, click on the
arrow key in the “Save as type” box, just below the file name. Choose the file format as PDF
(*.pdf) from the below drop-down list.
 Click the Save
 Your file/document will be saved where you have chosen the location.
Method-02:
In this method, you will learn how to convert a word document to PDF? Because technically
what we are going to do is export a Word document as a PDF. Follow the below steps.
 Click on the File tab, in the left column.
 Click on the Export option
 Select the option Create PDF / XPS document in the central left column. Now, once you have
selected it,
 Click on the new button Create PDF / XPS that will also appear in the right column.
 The file will be saved as a PDF in the folder you have chosen. Doing so will preserve the
layout, formatting, fonts, and images of the Word file you were working on. Once you have
saved it in a PDF, you can also transfer it back to Word.
 When you click it, a window will open to save the file. Making sure that the PDF
(*.pdf) option is selected in the File Type box that appears below the file name.
 Click on the Publish button that will appear instead of the Save button.

Save New Changes in the Existing Documents:

If you want to open an existing file/document and do some changes (partially or completely) to
it. Follow the below steps to save the document.
 Press the Ctrl + S keys from the keyboard to save the changes.
 You can also click on the floppy icon available at the Quick Access Toolbar just above
the File tab.

when we open a new document in the Microsoft Word application, the first thing we see is a
blank document. The Microsoft Word interface is the most suitable for creating text documents.

Let’s see how to type in Word document? for this, you may want to create a new document.

 Open a Microsoft Word application.


 Create a new document (click on file tab > new) or work in the previously opened document.
You will see your blank document on the screen.
The blank document is the area where you can write/type your text at the insertion point. Now
click on the blank area of the document. You will see an important thing in your blank
document. At the top left blacked is a vertical flashing bar which is called “cursor”. This is the
insertion point and signifies the place where you can type in Word document. Now start typing
text from the keyboard. Let’s type the word “Khyber Academy” as shown in the above picture
window.
If you want to make a new insertion point in the previous document, just click here and start
typing.
We will also explore some important points to type in Word document.

 To jump a new line, you will never press the “enter button” because it will jump
automatically to the new line.
 To start a new paragraph, you will need to press the “enter button”.
 If you want to create more space at the start of the paragraph or between the words then you
may press the Tab button (one Tab space is equal to five spaces).
 If you made a typing mistake, press the backspace key to reverse the typing and type again the
correct word.

Microsoft Word Backstage View with the File Tab: Lesson: 04

In this lesson, we’ll learn about the Microsoft Word Backstage View with the File tab. The
Backstage view was introduced in Word 2010. It acts as the central place for managing your
documents. The Microsoft Word backstage view helps to create new documents, open, save and
save as, print, share, export documents, and more.
Open Microsoft Word backstage view with the File Tab:
Just click the File tab, located in the upper-left corner of the Microsoft Word Ribbon. If you
don’t have any open documents then you will see a window listing all recently opened
documents as above.

If you already have a document open, then it will display a window with details about the open
document as shown below. The backstage view shows three columns when most of the options
available in the first column are selected.

Options:
The first column of the Microsoft Word backstage view will have the following options:

Option Description

Home In this option, you can see various free templates and recently opened file.

New This option is used to open a new document.

Open Clicking this option, you can see currently or recently opened files and folders.

Recent This option lists all recently opened documents

Open This option is used to open an existing word document.

Info This option displays information about the open document.

If an existing document is opened, it will be saved as is, otherwise, a dialog box


Save
will appear asking for the name of the document.

Save as
A dialog box will be displayed asking for the name of the document and the type of
document, by default it will be saved in word 2010 format with the extension .docx.

Print This option is used to print an open document.

Share This option will save an open document and display options to send the document
using email, etc.

Export This option allows you to create PDF/XPS document

Close Use this option to close the document and exit.

This option allows you to change the theme color and more information about the

Document information:
Clicking the Info option available in the first column displays the following information in the
second column of the behind the scenes view –

 Compatibility Mode: – If the document is not a native Word 2007/2010 document, a Convert
button appears here that allows you to easily update its format. Otherwise, this category does
not appear.
 Protect Document: – You can use this option to protect your word document. You can set a
password so that no one can open your document, or you can lock the document so that no one
can edit it.
 Prepare to share: – This section highlights important information to know about your
document before sending it to others, such as a record of the edits you made while developing
the document.
 Manage document: – If the document has been saved multiple times, you may be able to
access previous versions of the document from this section.
Document Properties:
When you click the Info option available in the first column, various properties are displayed in
the third column of the Microsoft Word backstage view. These properties include the size of the
document, the number of pages in the document, the total number of words in the document, the
name of the author, and so on.

You can also edit various properties by clicking on the property value and if the property is
editable then a text box will be displayed where you can add your text like title, tags, comments,
Author.
Exit Microsoft Word Backstage view:
It’s easy to get out from the Microsoft Word Backstage view. Click the File tab, or back arrow
key, or press the Esc button on your keyboard to return to Word’s working mode.

– 03 of Microsoft Word. You may also read previous lessons to learn the complete Microsoft
Word.
Microsoft Word is application software for writing texts, and different types of documents can be
easily developed in a practical way.

In other words, it is a word processor that allows you to create and edit text. As long as you
know what the parts of Microsoft Word are and what they are used for. With this software, the
user will be able to write and design texts where they will be able to use different fonts, colors,
sizes, with the different commands of Word.

In this section, we will make references to the basic parts of Microsoft Word window 2019. This
program is a part of the Microsoft Office package developed by Microsoft. Along with other
programs, there is a number of visual appearances and program window layout that can make the
works easier. Let’s understand the basic parts of Microsoft Word Window 2019.
Different Parts of Microsoft Word Window:
Quick Access Toolbar:
This bar is one of the most important parts of Microsoft Word Window 2019. It is also located at
the top of the screen, on the left corner just above the File Tab. It is the place for the most
frequently used commands. You can customize this Toolbar by clicking the little arrow that
displays some more commands such as “New” which refers to opening a new
document, “Open” which implies displaying a document that we have saved on our
computer, “Undo” reverse the previous action or “Redo” do the action again, and “Save” to
save the current document.

Title bar:

The title bar is one of the parts of a Word window. It is located at the center and top of the
document window and shows the name of the program or document. There, when we open
Microsoft Word document, we can read the title as Document1 – Word. It refers to a general
name displayed by the program software. When we save our document, we can replace that
name with a personalized one related to our file.
In this bar, on the right side, there are three more buttons known as window controls. It allows to
performs three commands i.e., minimize, maximize, and close the document or file.

The 1st is the “X” icon that used to close the window of the Microsoft Word document we are
working on. And the 02nd component is a double box icon which is located in the center of the
previous ones and used to maximize or enlarge the document. The 03 rd icon is a dash “_” used to
minimize the document we are working on.
File Tab:
In Microsoft Word 2019, the File tab replaces the Microsoft Office button from Word 2007.
Microsoft Office button is the circular button that is located in some operating systems at the
bottom and in others at the top, on the left side. You can click it to see the backstage view. In
this tab, where you can see the previous opened or saved files, create a new document, print a
document, and do other operations.
Ribbon of Microsoft Word:
The Ribbon is one of the basic parts of Microsoft Word widow contains organized commands in
three layers.

 Tabs or Menu: These are the horizontal menu appear at the top of the Ribbon and contain
groups of related commands, i.e., File, Home, Insert, Design, Layout, References, Mailings,
Review, View, and Help are examples of ribbon tabs.
 Groups: These are the organized related commands displaying below each tab or menu. The
name of each group appears below the group on the Ribbon. For example, group of commands
related to paragraph or group of commands related to the font, etc.
 Commands: Commands appear within each group as mentioned above. For example, when
we press the “File” tab, some commands or functions such as “New”, “Open” “Save”, “Save
as” etc. are displayed.

Rulers:

Microsoft Word has two rulers – one is the horizontal ruler and the second is a vertical ruler. The
horizontal ruler seems just under the Ribbon. It is used to set the size of the margins and tab
stops position of the document. The vertical ruler appears on the left side of the document
window and is used to measure the vertical position of elements on the page.

Scrollbar:
It is one of the parts of Microsoft Word widow, which is characterized by being a long bar that is
generally located on the right side of the document. It consists of an open bar containing an
arrow that allows the user to scroll up and down more quickly.

Help icon:

The Help Icon can be used to find online related queries. This provides helpful tutorials on
various functions and commands related to MS word.

Zoom Control Buttons:

The zoom slider allows you to resize the document to view it according to the user’s
requirements. It allows you to zoom in or zoom out from 0% to 500% wide range. The zoom
controls consist of a slider that you can slide left (zoom in) or right (zoom out); you can also
click the plus or minus sign buttons to increase or minus decrease the zoom factor.

Document or Work Area:

If we open MS Word on the computer then we can see different parts of the MS Word window
on the screen. The document or work area is the area where we can type of document, letter,
memo, or simply a communication will be developed. The vertical flashing bar is called Cursor
and the insertion point and represents the location where text can write. It is generally white and
can see when we open the MS Word application. These allow giving width and flexibility to the
document.

Status Bar:

It is located at the bottom of the document and displays the information related to the word
document. From left to right, it shows the total number of pages, word count, language,
translator, error notifications, and sections among other information.

In this bar, we can visualize the document we are working on in five ways, e.g. print layout, full-
screen reading, web layout, outline view.

Dialog Box Launcher:

We can see a small arrow in the lower-right corner of many groups on the Ribbon that display
some commands. By clicking this arrow, the downward window will open that provides more
options about the group.

In this lesson, we will learn how to open Microsoft Word on your computer? It all depends on
how you configured the program during installation. If you have created a shortcut on your
desktop, then just double-click on it to open the application. If you have not created that shortcut
of the program, then you will have to search for Microsoft Word among your list of installed
